The administrative assistant/coordinator of your department will receive an email at the beginning of each term outlining course evaluation preparation. This email will include information on what cases do special requests for evaluations need to be filed, what are the upcoming deadlines for special requests, and a link to access the form where you will file all special requests.
ALL classes in the T or S calendar are evaluated during the last two weeks of instruction noted on the academic calendar.
For all classes in the NS calendar, we close your evaluation window 1-2 days before the last day of instruction noted in PeopleSoft, which automatically assures that those instructors who have a final on the last day of instruction do not end up with an evaluation open on the final exam day. Please note that we do not create windows that last greater than 4-5 days for classes that are less than 13 weeks long (only classes that are 13-15 weeks, trimester and semester, receive two-week evaluation windows).
Evaluations are scheduled based on the instructor information and class meeting dates your department staff enters into PeopleSoft. If any information in PeopleSoft is incorrect, it will adversely affect your department’s course evaluations, and IETL is unable to make corrections for you. Please take the time early in the academic term to confirm that:
All instructors to be evaluated for a course are correctly listed as an instructor of record;
All instructors to be evaluated are assigned load for that course; and,
The meeting dates showing in PeopleSoft for the course are accurate, as the evaluation window will be based on those meeting dates.
NOTE: We program classes ending within a day or two of each other into common, shared evaluation windows. We do not create different windows for multiple classes across the university that end on the same day.
Special requests for NS calendar classes should be filed ONLY for travel or exceptional course types NOT early end dates.
Yes. Because the Chapman evaluation form includes several questions that apply to instructor availability outside of class, clarity of student evaluation criteria, overall instructor effectiveness and allow students to provide feedback on practices in addition to formal in-class instruction, the course evaluations for such classes will now be administered during the standard end-of-term evaluation window. Requests for special, early evaluations should be submitted to the IETL only for classes where all instruction and assessment of students ends prior to the stated end of the term.
If my class is in the S1, S2, or W calendar, or any summer session (I-VI) calendar or is a travel course, when will my evaluation window be?
We will schedule your evaluation to open shortly prior to your last week of instruction. Closing dates will be based on travel and final exam dates and may occur prior to the last day of instruction. Consult the email you receive for your specific dates.
Special requests must be approved by the chair and submitted electronically to survey@chapman.edu for:
travel courses with customized (non-standard) windows due to internet restrictions or other travel related issues
any course type that is not typically evaluated (fieldwork, research, internship, thesis, performance workshop for subjects other than music, etc.).
All requests are reviewed immediately after the deadline and approvals/denials transmitted back to the units within a week.
