Stand Booking Procedures
1) Submission of documents
To enroll as an exhibitor, you will need to submit the below-listed documents.
Stand Booking Request Form (click and download). For instructions on how to fill out your application, please refer to the How to Fill Out the Stand Booking Request Form subsection on this website.
Copy of Company's Tax Identification (Form W-9 in the USA)* - If you are not sure what the equivalent of Tax ID is in your country, please click here for more information (please be sure to also provide an English or Spanish translation of your Tax ID document if it is in a language other than English or Spanish).
Passport copy of the Company's Legal Representative* (person who is signing the Stand Booking Request Form).
Company Statement (click and download template) - This document needs to be signed and stamped (if available) on company letterhead*, confirming that the person signing the application and future contract is duly authorized by the company to do so and has the capability to represent it.
2) Booth Assignment
When you submit your documents, you will have filled out your desired booth size and cost in your Stand Booking Request Form.
In response, you will either receive an email with your assigned booth or a choice of booth options that match your criteria (depending on the availability of spaces on the floor plan).
3) Contract & Invoicing
Having completed the two previous steps, you will receive an official contract from Corferias, which must be filled out and signed by the company's legal representative and emailed back to them.
Once the signed contract has been received, your invoice will be issued by Corferias, with a payment scheme as follows:
• 40% Due Upon Admission
• 30% Due before February 28, 2024
• 30% Due before July 26, 2024
After payment has been made, a copy of the transaction receipt should be emailed to Corferias as proof.
Note: In accordance with the contract’s Terms and Conditions, cancellation or withdrawal from ColombiaPlast 2024 after admission results in a penalty fee of 30% of the total exhibit space price.Visa Invitation Letter
We’d like to share important information regarding the application for a Visa Invitation Letter to enter Colombia, which is issued by Corferias to support exhibitors in obtaining their visas from the Consulate.
Persons with valid Schengen or US visas can visit Colombia without applying for online or consular visas as long as they are not staying for more than 90 days.
It should be noted that Corferias cannot interfere in the process or result of obtaining any visa from any Consulate, as it is an exclusive procedure of the Colombian Foreign Ministry, which has its own rules and regulations. The Visa Invitation Letter is merely used as a means of substantiation for the exhibitor to certify that they will participate in one of our trade fairs, but it does not guarantee that the visa to enter Colombia will be granted.

*NOTE THAT IN ORDER TO SUBMIT THE VISA REQUEST LETTER, THE EXHIBITOR MUST HAVE ALREADY COMPLETED THEIR DOCUMENT SUBMISSIONS TO BOOK THEIR STAND AND HAVE BEEN ISSUED THEIR RESPECTIVE CONTRACT, SINCE THE CONTRACT NUMBER AND COPY THEREOF WILL BE NEEDED TO FILL OUT THE REQUEST.
The exhibitor must please submit the following in a single PDF file:
Visa Invitation Letter Request (within this letter you must mention the full names of the people traveling, their passport numbers, the contract number with Corferias, stand number, pavilion and consulate, country and city to which they are going to apply for their visas).
Legible copy of the passport of the people traveling.
Copy of the air tickets with the date of entry and departure**
Copy of hotel reservations for the time spent in the country **
Copy of the contract between Corferias and the exhibitor.
** It is important that the dates of the flight tickets along with the dates of stay at the hotel coincide with the dates of the fair as Corferias cannot be responsible for stays on dates other than those of the normal execution, assembly and disassembly of the fair.
To complete the request, 100% of the documents must be sent, otherwise, the letter will not be issued if any of the above requirements are not complete.
Once you receive your Visa Invitation Letter, you must fill out the online Colombian Visa Application form through the following link: https://www.cancilleria.gov.co/en/procedures_services/visa/requirements (click on Inglés on the top menu bar to view the website in English) and upload all the required documentation.

Processing and delivery times for the letters are as follows:
Exhibitor Online Platform (EXTRANET)
You will gain access to an Exhibitor Online Platform (EXTRANET) where you will have a virtual presence by uploading information about your company and can also sign up for badges and guest passes, among other things.
To log in, click on the above access link and type in the User and Password you will be provided.
Please be sure to upload the following to your online profile:
Brand logo (630x300 px and 800 x 800 px)
Company description (maximum text 500 characters)
Vertical banner (400x640 px)
Video (link from YouTube)
Brochure (pdf less than 2Mb)
Social networks (links to each company's social network)
Contact-us form (receiving email account)
Whatsapp button (commercial cell phone number with the app)

Badges & Guest Passes
You can order the exhibitor badges for your personnel and guest passes for your clients in the Exhibitor Online Platform (EXTRANET) by following the instructions below. Please note that no changes can be made once the badges are generated.
The passport number of the badge holder is mandatory and will be used for internal identification purposes only.*
Do not include special characters or accents, like (') or (ñ).
The number of free badges and guest passes you are entitled to correspond to the total sqm you have reserved (see below table image). You may purchase additional badges if necessary.
Badges will NOT be generated if the information on the online form is incomplete.
Badges are personal and non-transferable and must be carried as a means of identification to enter the fairgrounds.
Badges for international exhibitors can be picked up on the 1st day of assembly of the Fair (see Dates section of this website). All open balances must be settled before you can be provided your badge. Badge pickup is at CORFERIAS' Offices, located on the ground floor of the Hotel Hilton Corferias (see Venue, Hotel, Travel & Safety Tips section of this website). At the reception desk, please inform that you are an International Exhibitor and that you are coming to claim your badges. You will need to present your passport as a means of identification. If you require your badges before the assembly dates, please email Leonardo Henriquez lescandon@corferias.com to let him know which day you would like to pick them up.
If additional badges are required, they can be purchased. Cost and other information can be found in the Exhibitor's Handbook (coming soon!).
Services
The exhibitor can request extra services at the Exhibitor Services Center for an additional cost, such as more KW, water and drainage, furniture, and wired or Wi-Fi internet.

Stand Assembly
If you are utilizing your own stand constructor, please make sure the appropriate construction guidelines are followed per the Exhibitor Handbook.

Tips for Successful Participation
Be mindful of traffic if you're not staying at the Hilton Bogota Corferias which is at the fairgrounds. On average it takes about 26 minutes to drive 10 km (6.2 mi), which can increase to about 37 minutes per 10 km (6.2 mi) during rush hour.
If Spanish is not your forte, we suggest having an English to Spanish translator since the majority of the Colombian population does not speak English.
If possible, bring promotional material in Spanish.
We encourage you to also roam around the show area to visit Colombian exhibitors because there are large distributors participating in the trade show.
Safety: During the show, please make sure to always keep all your personal belongings in a safe place and do not lose sight of objects such as your wallet, mobile, and laptop.
Exiting the Fair
Before the end of the fair, the exhibitor must have completed all payments for any services contracted before or during the fair.
Corferias will issue a certificate of good standing (Certificado Paz y Salvo), substantiating that the exhibitor has no outstanding debts or missing documentation with the corporation.
Booth Dismantling
If you are utilizing your own stand constructor, please make sure the appropriate disassembly guidelines are followed per the Exhibitor Handbook.
