Stand Booking Procedures

1) Submission of documents

To enroll as an exhibitor, you will need to submit the below-listed documents. 

*Information and proof of business identity is required by Colombian Federal Law. The Colombian government is committed to preventing illegal business practices, such as narcotics trafficking, money laundering, and bribery. By law, this is a standard procedure that MDNA and our co-organizer Corferias must comply with. Please be assured that any propriety and private information and documentation provided is kept strictly confidential. This long-standing procedure is something that all international exhibitors at trade shows in Colombia must comply with in order to conduct business there and is a security measure designed also for the exhibitor's own protection.

2) Booth Assignment

When you submit your documents, you will have filled out your desired booth size and cost in your Stand Booking Request Form.

In response, you will either receive an email with your assigned booth or a choice of booth options that match your criteria (depending on the availability of spaces on the floor plan)

3) Contract & Invoicing

Having completed the two previous steps, you will receive an official contract from Corferias, which must be filled out and signed by the company's legal representative and emailed back to them.

Once the signed contract has been received, your invoice will be issued by Corferias, with a payment scheme as follows:

40% Due Upon Admission

30% Due before February 28, 2024

30% Due before July 26, 2024

After payment has been made, a copy of the transaction receipt should be emailed to Corferias as proof.

Note:  In accordance with the contract’s Terms and Conditions, cancellation or withdrawal from ColombiaPlast 2024 after admission results in a penalty fee of 30% of the total exhibit space price.

Visa Invitation Letter

We’d like to share important information regarding the application for a Visa Invitation Letter to enter Colombia, which is issued by Corferias to support exhibitors in obtaining their visas from the Consulate.

 

Persons with valid Schengen or US visas can visit Colombia without applying for online or consular visas as long as they are not staying for more than 90 days.

 

It should be noted that Corferias cannot interfere in the process or result of obtaining any visa from any Consulate, as it is an exclusive procedure of the Colombian Foreign Ministry, which has its own rules and regulations. The Visa Invitation Letter is merely used as a means of substantiation for the exhibitor to certify that they will participate in one of our trade fairs, but it does not guarantee that the visa to enter Colombia will be granted.

*NOTE THAT IN ORDER TO SUBMIT THE VISA REQUEST LETTER, THE EXHIBITOR MUST HAVE ALREADY COMPLETED THEIR DOCUMENT SUBMISSIONS TO BOOK THEIR STAND AND HAVE BEEN ISSUED THEIR RESPECTIVE CONTRACT, SINCE THE CONTRACT NUMBER AND COPY THEREOF WILL BE NEEDED TO FILL OUT THE REQUEST.

 

The exhibitor must please submit the following in a single PDF file:

 

** It is important that the dates of the flight tickets along with the dates of stay at the hotel coincide with the dates of the fair as Corferias cannot be responsible for stays on dates other than those of the normal execution, assembly and disassembly of the fair.

 

To complete the request, 100% of the documents must be sent, otherwise, the letter will not be issued if any of the above requirements are not complete.


Once you receive your Visa Invitation Letter, you must fill out the online Colombian Visa Application form through the following link: https://www.cancilleria.gov.co/en/procedures_services/visa/requirements (click on Inglés on the top menu bar to view the website in English) and upload all the required documentation.

Processing and delivery times for the letters are as follows:

Exhibitor Online Platform (EXTRANET)

You will gain access to an Exhibitor Online Platform (EXTRANET) where you will have a virtual presence by uploading information about your company and can also sign up for badges and guest passes, among other things.

To log in, click on the above access link and type in the User and Password you will be provided.

Badges & Guest Passes

You can order the exhibitor badges for your personnel and guest passes for your clients in the Exhibitor Online Platform (EXTRANET) by following the instructions below. Please note that no changes can be made once the badges are generated.

Services

The exhibitor can request extra services at the Exhibitor Services Center for an additional cost, such as more KW, water and drainage, furniture, and wired or Wi-Fi internet.

If you are utilizing your own stand constructor, please make sure the appropriate construction guidelines are followed per the Exhibitor Handbook.

Tips for Successful Participation

Exiting the Fair

Before the end of the fair, the exhibitor must have completed all payments for any services contracted before or during the fair.

Corferias will issue a certificate of good standing (Certificado Paz y Salvo), substantiating that the exhibitor has no outstanding debts or missing documentation with the corporation.

Booth Dismantling

If you are utilizing your own stand constructor, please make sure the appropriate disassembly guidelines are followed per the Exhibitor Handbook.
