Step 2. Deliberative Forums

Have you completed Step 2? The following tools, see below, are specific to Deliberative Forum event types. The modification and download options are applicable to pre- and post-survey tools.

Modification of Paper Version

Level of Difficulty: Easy

Estimated Time: 5 minutes

Considerations: Use this if you are unsure of the internet access at the event location. We always recommend having a couple of hard-copies on hand just in case something permits a user from completing the survey online.

What you need to have to accomplish:

  1. Download either the WORD Version or PDF Version of the following tools.

  2. The only edits we recommend are updating the Community Issue, Option 1, Option 2, and Option 3 on the top of Page 2 (see image below).

Participant Pre-Program Survey

Description: This survey should only be completed by those attending a deliberative forum. This should not be completed by those attending a Town Hall event (select for Town Hall Meeting tools).

Considerations:

  • For convenience to participants it is recommend to distribute a paper version of this survey as participants arrive to the event, and after the event an administrator (Extension Agent) will upload participant survey responses to the online survey tool using the customized URL developed in step 3.

  • Spend 5-20 minutes to create an event-specific survey pre-forum survey tool.

Steps to get generic printable survey tool:

  1. To edit in Word, access the Pre-Forum Survey Tool Word Version.

  2. Select File in the tool bar.

  3. Select Download.

  4. Select Microsoft Word (.docx). Typically, you will be asked where you want to save the document and how you want to name it. If this occurs we recommend adding the event date and county name as a pre-fix to the document name (i.e., 06152020ProtectIRL).

  5. Locate the downloaded/ saved file on your hard drive.

Recommended modifications to paper-version of the survey tool:

  • Once opened in Microsoft Word, locate where the document has blanks for Community Issue and Options (top of page 2).

  • Type in the community issue and the options associated with the event. The image to the right provides an example that was done for an event occurring for the Indian River community.

  • You are welcome to stop at the previous step. Only read the following recommendation if you have a very concise community issue, option 1, option 2, and option 3. You can take it one step further by copying and pasting the Community Issue, Option 1, Option 2, Option 3 in places throughout the survey to reduce the cognitive load on participants (see example image below).

Participant Post-Program Survey

Description: This survey should only be completed by those attending a community forum. This should not be completed by those attending a Town Hall event (select for Town Hall Meeting tools).

Considerations:

  • For convenience to participants it is recommend to distribute a paper version of this survey before participants leave the event, and after the event an administrator (Extension Agent) will upload participant survey responses to the online survey tool using the customized URL created in step 2.
