The HOA has a master insurance policy which covers events which the HOA hosts. This insurance does NOT cover other events happening on HOA grounds - such as private parties.
A resident (owner or renter) must be the one to sign the contract.
You may use ONLY painter's tape which will reduce paint damage. When possible, attach decorations to the trim such as doors/door frames/window frames as these areas are more resistant to damage.
You get one hour before to set up and one hour afterwards for clean up at no charge.
It’s not expected that you do a complete cleaning. We are primarily concerned with pests so focus on wiping up spills, crumbs and taking out the trash. We can’t always have the cleaner come immediately afterwards so food mess can be a problem in attracting pests. Also put all the tables and chairs back in the original positions. The rental and cleaning rates are lower than many other rental places in the area and is an exclusive benefit to our community.
Occupancy limits are: 250 standing only, 116 chairs, 54 tables & chairs.
You will be given key and alarm instructions when you book your event.
Yes, the information for accessing the WiFi is posted at the center.
There are nine 6-foot tables and approximately 60 chairs. You can see pictures on the Pictures page.
The renter is responsible for removing all trash. If the dumpsters are too full, the renter must dispose of the trash at their own residence. DO NOT leave trash bags outside the dumpsters as wildlife will make a mess of the trash. Note that there are security cameras on site and anyone discovered violating rules will have future rental and use privileges suspended. Be sure to view the How-To page to see how to disengage the dumpster lock.
You must cancel in writing at least 30 days prior to the event date. An email to chharents@chha.org is sufficient.
First, check that the desired date and time is free using the Calendar. If so, submit a new request on CHHA.ORG and indicate in the notes that this new date is to replace the previously requested date. Or email directly chharents@chha.org with the details of the requested changes.
Beer and wine may be allowed at the HOA Board's discretion. Attend a monthly HOA meeting to secure permission prior to your event. You can email office@chha.org to receive a link to the monthly virtual meeting.
Your rental does not include exclusive use of any outside space adjacent to the center. The pool, when open, is available for your use - see other FAQ related to pool use.
During pool season (Memorial Day to Labor Day), renters may use the pool subject to all the regular pool rules. The pool deck is a shared space and is not reservable for your exclusive use. Renter must pay guest fee for all non-residents. To assist the pool personnel in managing pool use, fill out and submit this Pool Access Permission Letter to the front desk at the start of your event. See www.chha.org/pool-rules for pool rules and fees.
Write checks to "CHHA". This is an acronym for our community name "Chantilly Highlands Homes Association".
