The President leads the society and ensures everything runs smoothly by overseeing operations and guiding the council. They represent the society to external organizations, student groups, and industry partners, while chairing meetings and keeping discussions focused and on schedule. The President holds council members accountable, delegates tasks, and ensures that student concerns are addressed. They also manage key administrative responsibilities such as submitting reports, maintaining the constitution, and overseeing finances, including signing authority. In addition, the President attends important meetings on behalf of the society, collaborates with other leaders, and organizes major events like the Annual General Meeting and elections.
The Academic Portfolio is responsible for all academic-related initiatives and acts as the link between students and the Chemical & Petroleum Engineering department to address academic concerns. The team organizes key events such as student-professor mixers, technical elective information sessions, instructional feedback sessions, internship-related events, and the First Year Fair, along with other academic initiatives. They also maintain relationships with external groups like the Chemical & Petroleum Engineering Graduates Association (CPEG) and support faculty feedback processes by collecting student input. The Vice President Academic oversees the portfolio, including Academic Commissioners, and works with the Vice President Finance to ensure the financial feasibility of events, while Commissioners assist in planning events, gathering feedback, and supporting all academic initiatives.
The Communications Portfolio manages all society communications and digital platforms, including the website, social media accounts, and account passwords, while maintaining important documents and reports. They document and distribute meeting minutes, coordinate announcements about upcoming events, and ensure public promotion through channels like Instagram, LinkedIn, D2L, posters, and email. The portfolio works with the ESS VP Communications to promote events on Udderly Informative and the ESS D2L shell, responds to messages, and oversees all representatives. They also collaborate with the Vice President Finance to ensure events and initiatives are financially feasible.
The Events Portfolio organizes and runs social and engagement activities for the society, including events like CESS Pool, Membership Drive, Movember Kegger, Frosh, and ENGG Week, as well as collaborations with other clubs. They oversee the planning, execution, and follow-up of all society events, ensuring student engagement across the Chemical and Petroleum Engineering department, with a focus on first-year students. The portfolio manages the ENGG Week Committee, maintains the CESS ClubHub, and works with the Vice President Finance to ensure events are financially feasible.
The External Portfolio manages all society interactions with professional organizations, industry, and external events. They organize and oversee delegations to conferences such as the Canadian Chemical Engineering Conference (CCEC) and the World Congress of Chemical Engineering (WCCE), as well as industry tours, mixers, and professional development events in collaboration with groups like CSChE, IChemE, and AIChE. The portfolio acts as a liaison between students, faculty, and external organizations, maintaining clear communication and transparency throughout the planning, selection, and funding processes. They assist with funding applications, accountability reports, and event logistics, encourage student participation in external opportunities, and oversee Trip Directors while supporting all external initiatives alongside the Vice President External and Vice President Finance.
The Finance Portfolio manages all financial matters for the society, including maintaining the annual budget, reimbursing approved spending, and overseeing all transactions such as cheques and electronic fund transfers. They handle funding applications and accountability reports for undergraduate funding sources, secure corporate sponsorships, and maintain relationships with sponsors. The portfolio works closely with the President and other Vice Presidents to ensure the financial stability and feasibility of events and initiatives, updates sponsorship materials as needed, and maintains accurate bookkeeping for the society’s cash and float.
The Internal Portfolio manages all internal affairs of the society, including maintaining a list of active members, organizing membership drives, and overseeing council activities such as retreats. They handle department merchandise, including sweatshirts and jackets, and ensure smooth transitions at the end of each term. The portfolio represents the Chemical and Petroleum Engineering department on boards like the University of Calgary Engineering Endowment (UCEE) and the Schulich Student Activities Fund (SSAF), works with the Vice President Finance to ensure events and initiatives are financially feasible, delegates tasks to representatives, supports all internal initiatives of the society.
Representatives act as the link between CESS and students in their respective years, including first, second, third, fourth, and internship students. They maintain homerooms, make public announcements about CESS events, and present updates from committees such as the Graduation and Yearbook Committees at council meetings. Representatives also support academic and social initiatives, organize year-specific events like the Internship Mixer in collaboration with the Academic portfolio, and represent their peers during instructional feedback sessions. They assist Vice Presidents and Commissioners as needed and help ensure communication and engagement between CESS and all students in the department.
