Money is an important aspect when it comes to running a club. One of the ways you can raise money for your club is to have a fundraiser.
To be successful when it comes to fundraising, students should learn and achieve:
Filling out meeting minutes, ERF, & RPO forms.
Making a flier for the item(s) you’re selling.
Getting the item(s).
Making the item(s) you’re selling (if you need to).
Communicate to your advisors (set up, cash box).
Counting how many items are sold and the money.
Making sure the money is safe.
To add on, there are rules you have to follow:
In order to be eligible to fundraise, you have to fill out a Fundraiser Form, ERF Form, and an OPEN PO. Do this 1 month prior.
Fill out RPO Forms as soon as the item(s) are bought so there is no back up.
An advisor ALWAYS has to be with you while selling.
The cash box should never leave anybody’s sight. If lost or stolen, the people who are running the fundraiser will be responsible.
The WHOLE group is in charge of set up, selling, AND cleaning up.
The WHOLE group is responsible for counting money with an advisor AND making sure it is given to the advisor in the end.
The advisor is responsible to give the cashbox to an Admin.
Now, here are the specified steps on how to plan and run a fundraiser:
1 Month Before Fundraiser:
Plan a date and time.
Talk to your advisor if they are available for that date and time.
Plan what you are going to sell for the fundraiser.
Sign and turn in a Meeting Minutes, ERF Form, and a PO (PO for reimbursement or Pre-Approved PO). Can be found under "How To" > "Fill Out Forms". Make sure to hold a meeting!
Make a shopping list for the item(s) you will need. If you need anything ordered online and shipped to you, buy that ASAP.
Start a flier for your fundraiser.
1/2 Weeks Before Fundraiser:
Make sure people know about your fundraiser! Post your flier and make it known.
Make sure your fundraiser has been approved by using the Fundraiser Calendar.
Day Of Fundraiser:
During brunch or lunch, depending on when you have your fundraiser, ask your advisor for a pass to leave one of your periods early. Explain to them that you need to set up for your fundraiser. To add on, remind them to pick up your cash box.
Leave your period early and set up the fundraiser.
Make sure you have your cash box, cash box form, and tally sheet.
Assign one person to do the cash box, one person to do the selling/tallying, and another person to do the communicating.
Clean up the station. (Important: Please make sure to clean, fold, and put the table away. A lot of people forget to do that.)
Count the money with your advisor and fill out the paper. Put the money in the bag and seal it. Leave the bag of money and the money-counting paper in the cash box
Return the cash box to the advisor and make sure they lock it away safely or give it to an admin.
