After installation, you can use this add-on, through extensions > Division Finance System> Process Advice. If it loads the dialog window without any error, you can start using it. But if you are not registered user, you will ask to fill a request form. Note that after filling up the request form, in 1-2 days, you will be provided a spreadsheet in which you can use the add-on for trial basis and if you subscribe for our services package, then it is complementary or free until your package expires.
If any required data is not available in the sheet, like "no voucher is filled by range office", then you should ask your range office to fill up the voucher data using our RFS add-on. Because if no voucher data is uploaded then there is no need to process the advice to pass the vouchers. To process the advice, you have to add LC in hand data to 'LC SHEET'.
To see how to use the add-on, especially how to select vouchers, filter vouchers, search vouchers and how to use other menu options, you should visit our help page, and you should watch the video.
We have uploaded some videos and more will be uploaded soon. Keep visiting our help page and/or our YouTube channel AH Techno Services > Forest Finance System (Playlist).
Requirements:
There must be LC SHEET and LC Data in it. First you have to enter LC Data in your division 'Master Data' Spreadsheet.
There must be "Master All" Spreadsheet and at least one voucher, which is not passed yet in Master All sheet. If there is no data in that spreadsheet, then ask your ranges offices to fill voucher data using our "Range Finance System" add-on.
How to process the advice:
Watch the video to process the advice and to use different functionalities. It is also available on Help page.
Once the advice is processed, the next step is to "Assign cheque numbers' to advice.
Keep all banks cheque book with you and then click on this menu, then it will ask for cheque numbers for payment in different banks. You may write same cheque number for more than one banks, that is up to you that from which bank you want to give the cheque. Suppose for 'HDFC Bank' and 'IDBI Bank', you want to give cheque numbers from your 'SBI bank account', then write the same cheque number of your SBI bank in front of all those banks.
Once the cheque numbers are assigned, to know the amount to write on cheque and to create the reports to be submitted to different banks, use the menu "Bank reports for advice"
Once you have processed an advice and assigned the cheque numbers to the advice, you may download all the reports in few clicks using this menu. It will download PDF reports as well as excel or word files too. Take print on paper, stamp and sign then submit to the banks along with cheque to process the payment.
For a particular advice, to know how much rupees are deducted under different heads like TDS, GST, Profession Tax etc. use this menu. It will show you the amounts.
If it is required to change the advice date, but don't want to change any other data of advice, then one can use this menu.
If it is required to change the advice then first delete the whole advice and then process the same advice number again.
One can download the GST deduction report and TDS deduction report to submit to corresponding agencies at the end of the month.
One should use it after the end of the month only. It will assign new voucher numbers in particular order to the vouchers of this month. It will create and download the form number 35 in any format you want. If you choose word format, it will download word and PDF file both. If you choose excel format, it will download excel as well as PDF.
One should use it after the end of the month only. It will create the data as required for the cashbook and then it will provide you the link of that spreadsheet to manually add subtotals and other data.
