After installation, you can use this add-on, through extensions > Division Finance System> Process Advice. If it loads the dialog window without any error, you can start using it. But if you are not registered user, you will ask to fill a request form. Note that after filling up the request form, in 1-2 days, you will be provided a spreadsheet in which you can use the add-on for trial basis and if you subscribe for our services package, then it is complementary or free until your package expires.
If any required data is not available in the sheet, like "no voucher is filled by range office", then you should ask your range office to fill up the voucher data using our RFS add-on. Because if no voucher data is uploaded then there is no need to process the advice to pass the vouchers. To process the advice, you have to add LC in hand data to 'LC SHEET'.
To see how to use the add-on, especially how to select vouchers, filter vouchers, search vouchers and how to use other menu options, you should visit our help page, and you should watch the video.
We have uploaded some videos and more will be uploaded soon. Keep visiting our help page and/or our YouTube channel AH Techno Services > Forest Finance System (Playlist).
Q. 1: What is requirement for processing advice ?
There must be LC SHEET and LC Data in it. First you have to enter LC Data in your division 'Master Data' Spreadsheet.
There must be "Master All" Spreadsheet and at least one voucher, which is not passed yet.
Q. 2: How to process advice ?
Watch the video to process the advice and to use different functionalities. It is also available on Help page.
If you are using the 'process advice' menu first time, then it is strongly recommended to watch the video.
If it can't load the Dialogue window to process the advice, then please see the requirements to process advice.
If it has loaded the vouchers data, then to select a voucher to process, just click somewhere on the row of that voucher. The background of that row will become yellow and it will show you the total of selected at the bottom of that window.
If you want to search for some specific voucher, then use different filter options, you can filter on 3 different levels. You can search the party name or voucher number or any other column data in the search box. Then you can use the 'select' button to select all filtered vouchers.
You have to select the vouchers, for which scheme and class, you have LC in hand. If the button 'Show LC' becomes red, then at least one of LC of selected vouchers is higher than the 'LC in hand', click on the button 'Show LC', you will find the red colour of that LC. Then you can filter on that Scheme in Level-1 and Class in Level-2 to see all vouchers of that Scheme and Class. Then you can click on the selected voucher to deselect it. Once the 'Show LC' button changes from red to usual, your LC Data is okay.
At last you have to enter the Advice number (manually) near the 'process' button.
Finally to process the advice click on 'process' button. If the advice number is already passed than you will be asked to enter another advice number.
Q. 3: What is next step after processing advice ?
Once you process the advice you can assign cheque numbers to advice for different cheques, right now you don't know the amount just provide the cheque number. Then using the menu 'Bank reports for advice', you can download the reports to submit in different banks and you will find the amount of cheque too.
