1. Dress Code
Business Attire
Clothing appropriate for professional settings and thesis defense.
The goal is to project professionalism, competence, and respect for the research conference environment.
Avoid wearing jeans, t-shirts, athletic wear, shorts, flip-flops, overly casual or revealing clothing such as crop tops or mini-skirts, tank tops, beachwear, or sleepwear.
2. Presenter ID Download and Printing
IDs may be printed on any of the following materials: sticker paper, specialty paper, board paper, or regular bond paper. If the ID is printed on paper that doesn’t have a sticky back, presenters should bring a lanyard with an ID holder or double-sided tape to attach it.

3. Venue Setup
Two halls* will be used:
Plenary Hall (Arabian Hall) – for ongoing roundtable presentations.
Waiting Hall (Ordos and Sandy Halls) – for presenters scheduled in the next time slot.
4. Waiting Hall Guidelines
The Waiting Hall can accommodate a maximum of 140 presenters at a time.
Presenters are advised to arrive at the Waiting Hall 30 minutes to 1 hour before their scheduled presentation.
Early arrivals beyond one hour prior to schedule may be asked to wait outside due to space limitations.
5. Attendance and Entry
Presenters must sign the attendance sheet before entering the Plenary Hall for their presentation.
Prior to entering the Plenary Hall, they must prepare the five-minute research video to be played via their laptops.
6. Presentation Proper
Once presenters enter the hall and proceed to their assigned roundtables, they should set up their laptops and wait for their turn to play their video presentations, following the scheduled order.
In the event that a presenter encounters technical difficulties and is unable to play their video, the next presenter will proceed to ensure the smooth flow of the session. If the issue remains unresolved by the end of the roundtable, the video will no longer be played. Instead, the presenter will be asked to briefly narrate the key points of their study. Please note that in such cases, the study will be disqualified from consideration for the Best Presenter Award but will still be evaluated for the Best Paper Award.
After presenting, each researcher will be issued one Certificate of Appearance before leaving the table.
7. Snack Claiming Procedure
After completing their presentation, each presenter is entitled to one (1) snack, which can be claimed at the designated snack distribution area. Presenters must submit their printed ID to claim their snack.
Once the snack has been claimed, presenters are expected to leave the venue and return to their respective school or office.
