What should I do if I am scheduled to present two different studies at the same time but in different roundtables?
A: Please email depedcavite.research@deped.gov.ph to request a schedule adjustment. One of your studies will be moved to the same table as the other so you can present both during the same time slot without conflict.
What should I do if I am scheduled to present two different studies at different times but in different roundtables?
A: Please email depedcavite.research@deped.gov.ph to request a schedule adjustment. One of your studies will be moved to the same roundtable and time slot as the other, allowing you to present both consecutively without scheduling conflict.
I have multiple studies—I am the presenter for some, while my co-authors will present the others. Can I request to have all of my studies scheduled in the same time slot and table so I can attend all presentations?
A: Each presenter is assigned a specific time slot and table, with only one presenter allowed per study unless under special circumstances. The schedule was planned based on multiple factors, including panel availability and presenter locations. Because of this, we are unable to grant requests to group all your studies into one time slot.
Can I request a change in schedule or panelist assignment?
A: No. The schedule and panel assignments for roundtable discussions have been carefully planned based on presenter availability, panelist schedules, and to avoid conflicts. Presentations during roundtable discussions are also evaluated for awards such as Best Paper and Best Presenter. Changing panel members may compromise the fairness and integrity of the evaluation process, so such requests cannot be accommodated.
What happens if I cannot attend my roundtable presentation? Can someone else present on my behalf?
A: Yes, under the following conditions:
If you have a co-author: They may present on your behalf. However, you must send a formal letter to depedcavite.research@deped.gov.ph, signed by your immediate supervisor and addressed to SDS Rosemarie D. Torres, CESO V, authorizing the substitution and providing a valid reason for your non-attendance. Supporting documents or attachments may be included to justify your request. This request is subject to the approval of the Schools Division Research Committee (SDRC).
If you do not have a co-author: You may designate a school personnel to present for you. However:
Your study will be disqualified from the Best Presenter Award.
The Certificate of Participation and Recognition will include the name of the actual presenter, not the original author(s).
Q: Can I request a change of schedule or panelist assignment?
A: No. Since this is a livestream presentation, authors are not required to be present during the video playback, and changes in the schedule will not affect the presentation process. Additionally, panel assignments cannot be changed, as presentations are part of the official evaluation for awards such as Best Paper and Best Presenter. Any change in panel members may raise concerns about fairness and the integrity of the scoring process.
