This site is for Regional Fair directors and staff. Please direct all other to the GSEF public site at www.georgiacenter.uga.edu/gsef.
All Regional Science & Engineering Fairs should be completed by February 17, 2024. Your judging team selects students to advance to the Georgia Science & Engineering Fair. The number of slots allotted to each Regional Fair will be emailed to Regional Fair directors in late Fall 2023.
To attend GSEF, all students selected to advance from a Regional Fair (“Finalists”) must:
1) Submit all FORMS to Regional Fair;
2) Pay the REGISTRATION FEE;
2) Complete the online GSEF PROJECT QUESTIONNAIRE.
RSEFs are asked to support Finalists through the GSEF registration process by completing the steps below.
STEP 1 (right away) - Distribute Documents and Instructions to Finalists
At your awards ceremony or immediately upon the conclusion of your fair:
1) Give/send each finalists the following four (4) documents:
a. GSEF Registration Instructions
b. GSEF Participation Agreement - required for every STUDENT
e . Event Handbook
*Preferably, the students will fill out the Forms Cover Sheet themselves and return it to you (to help them understand forms requirement). Alternatively, you may complete these on behalf of your finalists
2) Instruct finalists to go online and complete the GSEF Project Questionnaire. The link and instructions are provided in the GSEF Registration Instructions PDF. The Project Questionnaire must be completed within three (3) days of the conclusion of the Regional Fair.
3) Instruct finalists to return to you the following signed/completed items within three (3) days of the conclusion of the Regional Fair:
a. GSEF Participation Agreement
b. Forms Cover Sheet
c. $39-per-student registration fee (if not paid online or by district/RSEF)
d. Required research forms (Abstract, Form 1, 1A, 1B, etc.) that you do not already have on file.
GSEF will accept paper OR electronic (PDF) versions of forms. If collecting paper forms, please send PHOTOCOPIES. Students should keep originals.
You may wish to customize the Post-RSEF Email Template to send to your finalists.
STEP 2 (within 3 days) - Email 'Projects Advancing to GSEF' Spreadsheet to GSEF
As soon as possible after your Regional Fair (preferably next day; no later than 3 days), download the Projects Advancing to GSEF spreadsheet, complete the sheet with your finalist information, and email it to gsef@georgiacenter.uga.edu. We will use this information to verify project registrations and forecast category coverage.
STEP 3 (within 10 days) - Send Your Project Packets and Reg Fees to GSEF
Once students have given you their completed forms and registration fees, assemble project packets (paper or PDF) in the following order:
Forms Cover Sheet
GSEF Participation Agreement(s) - one per student
Official GSEF Abstract
Form 1
Form 1A
Research Plan/Project Summary
Form 1B - one per student - signed by RSEF
Forms 1C thru 7 - as required for research
IF SENDING PAPER PACKETS:
Staple the documents together in order (one packet per project). Stack the packets in alphabetical order by last name of Student (or Team Leader). Add registration fee checks (see below) and mail the bundle to:

IF SENDING PDF PACKETS:
Combine forms into one PDF per project. Title each file in this format: LastnameFirstname (no spaces); e.g., DoeJane. Upload all PDFs to a folder on Google Drive. Make folder shareable and share with “GSEF@georgiacenter.uga.edu.” If you are not able to combine the forms into a single PDF (or if doing so messes up the form fields), drop individual PDF forms into individual subfolders on Google Drive using the LastnameFirstname naming format for each folder. Share folder with GSEF. Once you have shared the folder with GSEF, we will download all materials to our local drive. Please alert GSEF (gsef@georgiacenter.uga.edu) if you make any additions after that point.
REGISTRATION FEES:
The GSEF registration fee is $39 per student (not per project) and may be paid by RSEF, district, school, student, parent, etc. Fees may be paid by check or credit card; source and method of payment should be indicated on the Forms Cover Sheet. If the Forms Cover Sheet is unclear about how GSEF should expect payment, please include a note with the packet clarifying.
Paying by Check: Collect check payments and try to send all of them with the packets, but please do not delay mailing your packets if a check is late coming in from a parent or school. Checks should be payable to “University of Georgia” with the name(s) of student(s) covered by the payment in the memo line or elsewhere on the check.
FOR PAPER PACKETS: Paperclip each check to the front of its project packet. If a check is for several projects, clip/rubberband packets together and attach check on top. Be sure there’s a student name associated with each payment.
FOR PDF PACKETS: Mail checks to GSEF as a bundle, and please make it clear which checks cover which students.
Paying by Credit Card: Payments can be made at bit.ly/gsef2024payment in Firefox or Edge. Encourage parents/teachers/schools to tell you their intention of paying online so you are not awaiting checks; you may wish to require that they show you the payment receipt.
