Flights

We have hired an international travel agency, Carlson Wagonlit (CWT), to help you make your flight arrangements.

Arrival and Departure Timing:

1. Activities will begin the Monday evening. Please have your flight arrive prior to 2:30pm PST on Monday and leave no earlier than 5:00 pm on Thursday.
2. You can arrange your flights to extend your trip before and/or after the Grand Prize trip events - anything over 4 nights hotel will be at your own expense.
   1. Option 1: have Google pay for your hotel Sunday, Monday, Tuesday, and Wednesday night or
   2. Option 2: have Google pay for your hotel Monday, Tuesday, Wednesday, and Thursday night

Baggage

We will reimburse you for any checked bag fees so please be sure to keep receipts for any fees you incur from checking your baggage. Receipts should be submitted to gci-trip@google.com within one week of your return flight home and funds will be added to your account.

Flights for you and a parent/guardian

All flights will be booked by CWT directly. They will use the information from the travel registration form to determine the best flights from your home airport to San Francisco.

1. CWT will email you a sample itinerary for you to approve or request changes within 7 days after you submit the Travel Registration Form.
2. Closely review the itinerary, checking that the names, passport numbers, email addresses and the dates and times are correct. Then respond to their email and let them know that the itinerary is correct or needs to be updated.
3. CWT will purchase and book the flight for you.
4. Once you approve the itinerary via email to CWT and it has been booked, the flights can not be changed. If you decide to change the flight after tickets have been issued then you will be responsible for all additional fees associated with the change.
5. If you have questions about your flight: After you have received the proposed itinerary from CWT via email you can contact CWT directly using the email or phone number on the itinerary. Be sure to reference your Meeting ID.

Flights for additional family members

If you would like CWT to book flights for any additional family member they can do that for you but they will charge you a booking fee in addition to the flight cost ($57 per ticket for international flights and $37 per ticket for domestic flights). Please fill out the “Additional Parent/Sibling?” section with the appropriate details.

These additional family members will be responsible for the cost of their flight tickets and the booking fee with CWT. CWT will contact you for your credit card information once the flight itineraries have been approved by your parent.
