Below is the general recruitment process. You may use the links below as a guide from the beginning of the process until an offer is ready to be made.
Requisition Creation: The process begins with the department creating a requisition for the position they wish to fill. This requisition outlines the role's requirements, responsibilities, and necessary qualifications.
Intake Meeting: Once the requisition is created, the recruiter and the hiring manager will have an intake meeting. This meeting allows the recruiter to gain a deep understanding of the position, its specific needs, and the desired candidate profile. Clear communication is key during this step!
Posting the Position: After the intake meeting, the recruiter proceeds to post the position in Taleo (ATS) and on various job boards, company websites, and other relevant platforms. This ensures maximum visibility and attracts a diverse pool of potential candidates.
Sourcing and Searching: Once the position is posted, the recruiter utilizes various recruiting strategies to source and search for potential candidates. This includes leveraging online platforms, attending job fairs, and proactively reaching out to potential candidates.
Candidate Review: As responses and applications start pouring in, the recruiter diligently reviews each candidate's qualifications, skills, and experience. Qualified candidates will be moved to the hiring manager's pipeline in Taleo. The recruiter will notify the Hiring Manager when new candidates are ready to be reviewed.
Interview and Reference Checks: The department will schedule interviews with their shortlist of qualified candidates. The hiring manager and team conduct thorough interviews to assess the candidate's fit for the role. Additionally, the department will conduct reference checks to gather insights about the candidate's past performance and character.
Follow-Up: After the interviews and reference checks, the department follows up with the recruiter to discuss their thoughts and impressions of the candidates. Open and transparent communication between the recruiter and the hiring manager is vital.
Offer Process Initiation: Once the final candidate is selected, the department contacts the recruiter to initiate the offer process. The recruiter will complete a Salary Guidance and send it to the Hiring Manager & team for review. When a salary is approved, the department will notify the recruiter, and the recruiter will extend the offer as long as all prerequisites are met (approved position number and salary).
Post Offer Process: The Hiring Manager & team will be responsible for dispositioning candidates not considered in Taleo.

❏ Call employee to confirm start date, time, place, dress code, etc.
❏ Prepare employee’s calendar for the first couple of weeks
❏ Order office supplies, technology equipment, arrange for access to common drives, and coordinate network roles and authorizations
❏ Email department/team/functional area of the new hire
❏ Set up meetings with critical people for the employee’s first few weeks
❏ Arrange pertinent trainings required for the job
❏ Touch-base with employee once receive the final clearance
❏ Confirm orientation schedule and provide new employee with contact information
