To provide financial support and facilitate the hosting of international conferences, workshops, or meetings by the Constituent Units of UP, provided that such events are aligned with the University's vision and mission.
ELIGIBILITY
Individuals who are eligible to apply for the grant are limited to Permanent UP Faculty, Research, Extension, and Professional Staff (REPS), and Staff Members. They may apply for the grant twice a year. However, applying for multiple grants for a single event simultaneously is strictly prohibited.
Furthermore, if an applicant's unit already has a pending submission of reports, such as liquidation, the applicant is not eligible to apply for the grant until the previous grantee has completed the necessary documentation.
APPLICATION PROCESS

Kindly use a UP Mail account in accessing the form. Our office will process the application based on merit and availability of funds.
2. The form will require you to upload the following files as part of your application:
International Conference Proposal (must include Rationale, Objectives, Expected Significant Output, List of Proposed/Invited International Speakers with position affiliation, and must not be more than five (5) pages)

Estimated International Conference Budget
Plan for Utilization of Estimated Income Generated from the International Conference (if applicable)
Please be reminded of the following instructions for the attachments:
Name all files with your SURNAME first (e.g. DELA CRUZ_Hosting Application.pdf).
Convert all text/document/excel files to PDF format (100 MB maximum)
3. Once all signatories have been completed, the application should be submitted via DRS.
GRANT COVERAGE
FACE-TO-FACE EVENTS
The financial coverage for face-to-face events includes Maintenance and Other Operating Expenses (MOOE)-type expenses, such as Secretariat Meetings (food), Kits (materials), Other Supplies, Reproduction/Printing, Communication, Food and Lodging, Transportation, and Outsourced Services.
The maximum grant for these expenses is ₱200,000.00. It is expected that the Constituent Unit or other agency/organization co-funds the event, and such contribution should be indicated in the proposal.
2. VIRTUAL EVENTS
The eligible Maintenance and Other Operating Expenses (MOOE) that can be covered under this program are as follows:
Communication expenses
Outsourced services
Web hosting and maintenance fees
Expenses related to the production and hosting of virtual conferences or lectures
Resource fees for invited speakers or experts and/or professional hosts/emcees. The computation formula indicated in the Department of Budget and Management (DBM) Budget Circular 2007-1, “Guidelines on the Grant of Honoraria,” should be used as a guide.
Resource fees for the technical and support staff (maximum of three members) who will provide assistance in hosting the conference or lecture. The stipulated rates in Memorandum No. CGCG 05-06, “Implementation of New Honoraria Rates,” should be used.
Please note that the maximum grant amount for these expenses is ₱200,000. Co-funding from the Constituent Unit or other agencies/organizations must also be indicated.
NOTE
Any form of TOKEN and HONORARIA, are not allowed and must not be included in the proposed estimated budget.
