Once grades are entered, advisors are required to review comments before they can be published to students and parents. In the case of shared advisories, only one advisor is required to read each student's comments-- you may wish to strategize with your co-advisor to divide up the comments, for example. As you review your advisees' comments, consider these guidelines from Ken:
"When reviewing comments, please pay particular attention to,
1. The tone of the comment. What’s the likelihood that students and/or parents might receive a different message than the author intended? Impossible to know for sure, but worth reading the comment with that lens nonetheless.
2. Stick to observable behaviors. It’s one thing to write “Ken does not complete his homework on a regular basis” and another to suggest that “Ken is occasionally lazy in his approach”.
3. Grammatical errors including pronoun errors. These errors often come to the surface when folks cut and paste generic comments."
In addition, please read comments with an eye toward the student's ILP if applicable. We want to make sure that comments communicate to the student and parent that we as a faculty are aware of the student's ILP and make comments in the context of that student's accommodations.
You can review comments at any time, and you do not have to review them all at the same time. To see which of your advisees have comments ready to review, log into the Faculty Portal. In the right-hand menu, look for a green button.

The "Review Grades and Comments" screen will show your advisees and which comments are available for review. In this example, I have 4 available for review, and 60 marked "Not Ready." All reviews can be completed at this time-- even those marked "Not Ready."
Editing Comments
As you review the comment, you have three options.
Mark Complete: The comment is approved and ready to publish.
Small edits or Typos: Edit them directly in the text box. You are making edits directly into the student's comments. This is likely most appropriate for correcting typos or grammar.
Write Review: Give feedback to the original teacher suggesting adjustments to the comments. This is likely most appropriate for suggestions of tone, content, or additional context such as ILPs. Your comments will be e-mailed to the original teacher, and the onus will be back on them to edit or discard as appropriate. They can notify you when the edits are made, and advisors can "Mark Complete" when appropriate.
Word of Caution
If you share your advisory with a co-advisor, only one of you is required to mark the comments as "Complete." If your co-advisor marks a comment as complete, it will still appear as "Ready for Review" to you. This is a result of our two-advisor model, and is not something we can change at this moment. Each comment only needs one review, and clear communication with your co-advisor will ensure that each student is covered, and you don't duplicate your efforts.
