Google Keep is a great way to transfer information between devices such as a desktop computer, laptop, Chromebook, tablet or smartphone. The Keep app is available for Windows, Macs, Android, iOS, and Chrome. It automatically synchronizes between all platforms in real-time, so you don't have to think about saving, backing up, or which device you are working on. If you want to transfer a URL link, email address, phone number or any small text note, using Keep is the best way to do it.
Digital Samurai uses a dedicated Keep note called "TRANSFER Note" That is easily accessed via a Keep "bookmark" called a label. Just like the Dropbox based "in TRANSFER" system for files, Keep TRANSFER Note is designed to be empty most of the time. That means users must always cut information from the note, not copy. Keeping the TRANSFER Note empty mitigates any possible confusion that may arise regarding which note was transferred.
TRANSFER Folder is one of our most important protocols. Everyone who works with Digital Samurai has a folder located at the top of the root directory of their data drive called “!01-TRANSFER Folder”. This folder has a singular purpose. All files transferred between Digital Samurai and the client go through the TRANSFER folder. Think of it as a physical mailbox or a FedEx box. Transfer folder is a way station, a stopping point on a journey, not a permanent location. Nothing stays in TRANSFER folder, and it is always meant to be empty.
When a file is sent or received, it is immediately moved out of TRANSFER folder to the appropriate job folder. When the client sees the words “in TRANSFER,” they know exactly where to look for the file, and there is no chance of choosing the wrong file because TRANSFER Folder is always emptied before receiving the current file.
Google Drive acts as the dashboard for all Google G Suite business software. Google Docs, spreadsheets, slides, forms, draw, sites and other Google apps are all housed in the Google Drive interface.
Google's powerful collaborative tools are integrated into all Google Drive products. When Google apps are shared with team members via their email address, the shared file shows up in the "Shared with me" link in the upper left-hand corner of the interface, which makes it easy to find because it's always in the same place no matter which file is shared.
Just like with "in TRANSFER," everyone who works with Digital Samurai understands that when they see "Shared with me" they know exactly where to look.
The Speech-to-Text Scratchpad is one of the most powerful communication and collaborative tools in the Digital Samurai toolbox. Scratchpad is an always-open Google Doc that leverages Google's speech-to-text tool, available in every Google Doc.
Scratchpad also leverages G Suite's powerful collaborative tools allowing all stakeholders involved in a given project to effortlessly collaborate on copy and share content as required.
The Grammar Scratch Pad works in conjunction with the Google Docs based Speech-to-Text Scratchpad. Creating copy for marketing is a collaborative process. Doc's collaborative tools and Speech-to-Text tools make it ideal to use for creation and integration of copy, however, for polishing the grammar and flow, Grammarly is an excellent way to do it.
Digital Samurai uses the same strategy as with the Speech-to-Text Scratchpad and the Keep TRANSFER Note. Grammar Scratch Pad is blank until copy is pasted there for editing. Once grammar is checked and edited, the copy is cut from Grammar Scratch Pad and deployed as required.
