The project request is a tool used to outline/define the project scope, schedule, and resources. Once a completed request is submitted, the project portfolio manager will route your request to the DoIT leadership team for review; at which point they review and assign the appropriate DoIT resources and /or determine next steps.

DoIT requires at least 30 days notice, prior to desired completion. Timeline of project request approval varies, based on several factors, including, but not limited to: project complexity, resource availability, and information provided by the customer.

* If you are requesting a new service, your request will be routed through the vendor management process. The vendor management process will require a contract review, security assessment and possibly an accessibility review.
Project review and final decision is based on requirements outlined your project request and resource availability. Incomplete requests will delay the review process. Please complete the project form to the best of your ability.

DoIT Project Intake Procedure
Purpose: To review and evaluate a proposed project during the initiation phase to make a decision on whether to approve or reject project.
Scope: Project Intake is an iterative process that Begins with receiving a Project Idea/Concept and Ends with Project Document decision (approval or denial).
- Customer submits project idea/concept request via DoIT Project Request (DoIT Project Request Form)
- DoIT IT Project Portfolio Manager receives project request and routes project request to DoIT LT for review
- DoIT IT Leadership Team Sponsor will present proposal (project request) at weekly leadership meeting.
- If more information is needed, DoIT Leadership Team Sponsor or DoIT Team Member (identified by DoIT LT) may conduct Technical Meeting(s) with Functional Sponsor and Stakeholders (as needed) to clarify project request prior to approval.
- If project request is reviewed AND approved by the DoIT LT, then DoIT Leadership will assign resources to the project and initiate and will update the project portfolio status (in progress or scheduled).
- DoIT Leadership Team Member or DoIT IT Project Portfolio Manager will communicate the status of the project with requester.
- DoIT IT Project Portfolio Manager will update the status of the project within the project portfolio.
