Activity Requests

Description

The Open Education Data Dashboard uses the term "Activity Request" to refer to email requests sent out to instructors in open education programs through the Data Dashboard. A request can be either a  textbook review request, or an adoption/enrollment update request.

Activity Requests can be managed under the Activity Requests tab.

Create a New Request

Step 1: Activity Details

2. Give the Activity Request a Name and Deadline.

3. Check the box if you are offering incentives to participants and want to use the Dashboard to track them. For example, if you are providing stipends to faculty who complete a textbook review, indicate that here so that you can record whose stipends you have paid out in the Dashboard later on in the process.

4. Add notes if desired.

Step 2: Communications

5. Enter the date you want the Dashboard to send participants the activity request invitation email.

6. Enter an email address for faculty questions. Replies to the invitation and reminder emails will be sent to this email address.

7. The part of the invitation email contained within the white box is editable by you. Edit the email text as desired. If you'd like to save the text as the default text for future invitations, select the Save as default for all Review Invite invitations checkbox.

8. You can ask the Dashboard to send as many as three activity request reminder emails to participants. To do so, check one or more of the Send Reminder X checkboxes and select a date to send the reminder(s).

9. The part of the reminder email contained within the white box is editable by you. Edit the email text as desired. If you'd like to save the text as the default text for future reminders, select the Save as default for all Review Invite reminders checkbox.

Step 3: Survey

10. If you'd like to ask participants to also complete a survey, check the Include post-activity survey checkbox.

11. Select Question Bank questions to preview the available questions and response structure.

12. To add a question from the list to your survey, select the question and click the Add Selected Question ↓.

13. To save the current survey as the default survey for this request type, check the Save as default survey for Review Invite requests checkbox.


Step 4: Participants

14. Select the programs (and, for systems/consortia, institutions) that you'd like to select participants from.

15. If you'd like to filter out people who've been contacted or have been updated recently, select the Only include people checkbox and either without adoption/enrollment updates or who haven't been contacted options, then select a date.

16. Click the Update List button.

17. Unselect anyone on the list to whom you don't want to send an activity request invitation. To reset the list of possible participants, click the Change Filters button, and restart on step 14, above.

18. Click the Preview button to see a summary of the activity review, then click the Send / Schedule button to complete the process.

Congratulations! You've created an activity request.

To return to editing an unfinished activity request or to view a summary of a completed activity request, click the Activity Request name in the Activity Name column.

To view progress and details about who has completed the activity request, click the number tally in the Completed column. This is also where you can extend or change the deadline for recipients on an individual basis, by clicking on the date listed in the Deadline column.
