It's important that we credit those who we work with. As you prepare a presentation, poster or article (including any for class) be sure to not only acknowledge your community and/or agency partners, but to include them in shaping your submission or product. Things to consider:
How will credit be given to community and/or agency partners (verbal and/or in writing? through use of logos?)?
Are they listed as authors? If not, why?
Have they consented to their work being submitted/included?
Have/will they been involved in crafting the submission/proposal/ product? If not, why?
Use this check list before submitting!
Download the checklist to help manage your submission timeline. -------->
The Center can pay for your poster if you're presenting on Center-funded work. Visit this page to learn more and see samples of student poster presentations.
The Center can't reimburse you for anything that's being provided by meeting organizers (i.e., if organizers are providing you with lunch and you choose to go elsewhere, we cannot reimburse you).
The Center can reimburse you for meals, transport/milage and lodging per governmental per diem rate for the city and state you're traveling to.
–If your meal costs more than the per diem, you will need to pay the difference (i.e. your dinner was $125 but the per diem rate is $75, you will only be reimbursed for $75). Know what these rates are before you go and include them in your proposed budget.
If you choose to extend your trip and add some personal days on either end of the conference, you need to obtain a comparison flight price for when you eventually submit your reimbursement. You must take screen shots of the comparison prices and include them in your reimbursement process through Chrome River (below).
Learn more in the below Google doc! You could also do a take-over if you want people to get a better understanding of your day-to-day, which includes the work you do through your deployment/internship.
Email Sara at mch@umn.edu if you're interested.
You should use the below processes for other conferences, too.
The Center would love to hear about your experience at the meeting. When you submit your reimbursement, please send along a short paragraph (3-5 sentences; more if you'd like!) on what you presented and your overall impressions of the meeting. We'll use these to share about your good work and to encourage future attendance.
It can take up to several weeks to process so submit your reimbursement from the Center using Chrome River within one week of returning from the meeting.
Carefully review a Chrome River how-to here (see form, right).
Log into Chrome River before you go to familiarize yourself; it can be a little tricky.
Upload receipts/costs as you go.
Your justification should contain the 5 Ws (who, what, where, when and why) and be detailed as it will ultimately be approved by an EpiCH accountant, not anyone at the Center. Please edit the below to use for your justification and include in ChromeRiver.
Making Lifelong Connections (MLC) is an annual meeting [dates] in [city, state] hosted by the MCH Bureau (MCHB), which funds the Center. MLC brings current and former MCH trainees the valuable opportunity to connect, share their work and research, and participate in professional development sessions together and with MCHB project officers. Trainees must apply to and be accepted to attend this meeting. This year's theme was [insert], and I was one of only a handful of trainees selected to present my poster/work [poster/presentation title]. By attending this meeting, I was an ambassador for the Center. My attendance and presentation promotes the MCH Program and raises visibility of the Center, and the skills I gained while attending enhance the work I do through my Center-funded deployment.
