Third Floor Conference Room A/V Instructions
Need support with using the A/V equipment?
Overview of AV equipment is provided during your walk-thru prior to your event.
Note: We do not have staff to provide on-site AV trouble-shooting.
If you are bringing your own AV equipment or need specific set-ups, we recommend that you bring your own AV tech savvy person to help set up your event's tech.
** IMPORTANT NOTE - Updated March, 2025
We have updated (simplified) the projector & screen controls and installed new AV equipment.
If you have not had a walk-thru since the AV upgrade, it is recommended to request a refresher prior to your next event!
Room Overhead Lighting
Two switches (dimmable) on each side of the main entry door.
Available Tech
Sit/Stand Lectern (hight adjustment button is on right side, just below desktop
Lectern desktop microphone

(2) JBL Presentation Speakers (wall mounted)
(2) Panasonic Projectors - Front and back facing (mirrored images only).

Adapters
You may want to bring your own adapters/dongles, as ours often walk away and/or are prone to failure.

AV Tech Operation
Simplified
Turn on the main POWER button on the AV cart (located behind lectern)
This will turn on the speakers, microphones, bluetooth.
Turn on the projectors/Screen
Wait for projector to fully start.
Plug in your computer to the HDMI cable (typically on the lectern or on top of the AV Cart).
You may have to adjust your computer settings in order to connect.
If you have issues with the connection, unplug and start the process over
Believe it or not, it often resolves the issue
Also check that the connections are properly plugged in.
Projector/Screen
There a black wall controls mounted to the left wall (facing the screen).
Ensure that the wall control displays "LECTERN POSITION 1 (button lighted up).
Select "PROJECTOR ON" to turn ON the projector and lower the screen.
When finished, select "PROJECTOR OFF" to turn OFF the projector and raise screen.
To Switch Projection to South Side of Room
From the other wall control, select the "PROJECTOR ON" button.
Once the screen is down and the projector is on, press the "LECTERN POSITION 2" button.
This will switch the screen to the back of the room.
To Mirror Projection on Both Screens
Return to the lectern and from the wall control, select LECTERN POSITION 1" button.
This will turn on both screens.
To Raise or Lower the Screen:
Select SCREEN UP or SCREEN DOWN button
AV Connections
Video
Connect the HDMI cable into your source (laptop) (FOLLOW SIMPLE INSTRUCTIONS FIRST - see above).
We provide an adapter/dongle, but they often disappear! We strongly adivse that you bring your own adapters that match your own computer(s).
You can also connect to the projector wirelessly via iPad or mobile phone.

Bluetooth Audio
There are two sound source options available when using the projector:
1.Bluetooth Audio to speakers (connect computer or phone to "MX622BT")
2.HDMI connection from computer to projector and built-in speakers.
Be sure that your source sound settings are set accordingly.
Display
The projector(s) and screen(s) are controlled from the wall controls, on the wall nearest the lectern.
Connecting Phone/Computer to Room Audio
Turn ON your source device's Bluetooth via the settings
Select "MX622BT" as the Bluetooth source.
Volume control is on the mixer in the AV rack, labeled Bluetooth.
If no sound, check the volume on your source device.
Desk Microphone
Turn on main power button on the AV cart.
Lectern microphone automatically powers on when AV cart is powered ON.
If you are not hearing sound, check to ensure ALL components in the AV Rack are powered ON.
Adjusting Volume
Use the "MASTER VOLUME knob on Mixer (2nd component from top - first knob on left)
See "Default Component Level settings" (photo below)
Wireless Microphone
Remove the wireless microphone from its charger (on top of AV Cart)
Slide the ON/OFF switch to the right to turn ON
If no sound, check "Default Component Settings" photo below.
Turn OFF mic when finished and return to charger
Using the DTEN for Zoom Meetings
The DTEN has a built-in microphone and speakers for video conferencing.
Plug in the DTEN to wall outlet for power source.
Connect attached ethernet cable to the wall port labeled 'ethernet'.

Turn the DTEN on using the power button on the back of the screen on the right.
Use the stylus to select Zoom.
Join an in-progress Zoom meeting by entering in the Meeting ID and Passcode.
Where to find the Meeting ID and Passcode for meeting in-progress?
In Zoom, under Participants > Invite... > Room System
Adjust volume using buttons back of the unit on the right.
For Faster Zoom Login
INVITE the DTEN to your calendar event.
This makes it a one-step login on the DTEN on date of your event!
*How to: From your Google Calendar event
Go to "Rooms" and select "100Panetta3rdFloor-Zoomcart"
You will find this under Rooms in your google calendar event
This will add your event to the DTEN, and your Zoom meeting will appear on the screen when you arrive for your event. One click, and you're in!
Standard Setup
If sound is not working, return ALL settings to DEFAULT as shown above.
