Brief Overview of Student Application Process & Related Departmental Databases
- The Department begins accepting Graduate Applications around Oct 15 for the following September each year. They only accept applications for September, except in exceptional circumstances which must be approved by the Admissions Chair and Graduate Associate Chair.
- Applicants submit an application through FGSR's application system (GSMS). In the CS Department, students are also asked to complete the departmental Graduate Application Review System (GARS). Faculty members can review applicants' information on GARS.
- Once students are admitted, they are added to GradDB, the Department's internal Graduate Database. [See more on GradDB below.] Through GradDB, a letter is sent from the Department indicating that they are recommending admission to MSc or PhD. This letter also includes whether the students are receiving funding from the department, and for PhDs, from their designated supervisor. (MSc students choose a supervisor within the first 2 months of their program)
- New students accept or decline the official admission offer on GSMS and the Departmental funding offer on GradDB.
- When the admission process is finalized, the student's files are moved to active students on GradDB. Their progress throughout their graduate program is tracked on GradDB including Supervisor, Funding, Program Requirements, Progress Reports, Candidacy and Final Exams.

- Computing Science Admission & Funding letter is sent through GradDB
- MSc students choose supervisor - Professor accepts or declines on GradDB
- Professors approve RA & GRAF funding appointment letters that have been created on GradDB
- MSc, Candidacy, and PhD exams are scheduled through GradDB
- Student Progress reports - students and supervisors complete the annual progress report on GradDB
- PhD Students are admitted with a supervisor which is already entered on GradDB

- For space access, professors who supervise a student are designated as "Sponsored People" to their students. This part of the Intranet tracks the access that has been given to students. They can locate the access information by going to "People & Access" and choosing "My Sponsored People" from the drop down menu.If they supervise a student, we indicate them as the student's sponsor.
- All grad students have some basic access to the CS Intranet and if the student needs additional access to a lab, etc. to be put on their oneCard, the Supervisor emails Karim Ali, the Amii lab coordinator, and he looks after access requests.
- When a student finishes their program, Karen Berg sets an end date for the student a month from the date of their exam. Two weeks before the end date an email is generated and sent to the supervisor asking if they want to extend the end date. TBD manages the extensions and terminations of student access. If the supervisor wants an extension, they indicate that and she can extend the end date of the student's access.
