Once you have the date of the event set, please follow these steps:
Email the Digital Marketing Manager if you would like support promoting this event on social media and/or in newsletters. Email the Communications Manager if you need a press release, Governor video, or media pitch. Please make sure to include:
Date and time of event
Event description
Who you want to attend the event (audience)
Cost associated with event
Your marketing and/or communication needs
Add your event into the OEDIT Content Calendar (make sure to color code the event based on your division).
You will either need to use Google Forms or Zoom to capture event registrations for smaller events. For larger events, you will need to use Cvent. OIT does not allow the use of Eventbrite, as they do not meet the state's terms and conditions for data privacy.
We currently utilize HubSpot for our email marketing. Each division is responsible for managing their own email lists. The OEDIT Email Guide includes all of the lists that exist in HubSpot. The SBDC Network operates through their own Constant Contact account. You will need to reach out to that division to learn more about their email marketing.
As a reminder, we encourage all staff members to invite partners to join our Regional Partners email list. We crafted an email template for you to use or customize that includes a link.
The Digital Marketing Manager assists in reviewing newsletters, event emails, or any other types of emails. If you or someone in your division needs access to HubSpot, please reach out to the Digital Marketing Manager. You will need to go through an hour-long training before gaining access.

We may be able to assist in creating small collateral pieces from name badges to flyers to posters in-house. If we are not able to create the design for you, we have a graphic designer on retainer who can assist with larger projects like annual reports and booth design. Please reach out to the Communications Manager if you need design support.
If you use our graphic designer, you will need to:
Submit the invoice to the purchase order set up by MarComm.
Submit an internal fund transfer request to reimburse MarComm for the expenses. The accounting department can support you if you do not how to submit that request in Salesforce.
We also pay for software called The Noun Project that provides us access to millions of icons. Please reach out to the Digital Marketing Manager if you would like access to that account.
Marketing and Communications has a subscription to Adobe Stock. If you would like access to the account, please contact the Digital Marketing Manager.
Each division is responsible for maintaining their division pages. Program managers are responsible for maintaining their program pages.
If you need:
basic edits to an existing page, talk to your division's content manager (see list below). Every division has content managers who have access to edit the website. If they need support, they will reach out to the Digital Marketing Manager.
larger edits to an existing page (e.g. restructuring of content, different design), submit an internal website request form so the Digital Marketing Manager can support the request.
to create a new page, submit an internal website request form so the Digital Marketing Manager can support the request.

We utilize a software called Sprout Social to schedule and post across all channels. We can provide strategic support, competitive analysis, and general advice for all departments seeking to improve their social presence. All departments have access to HubSpot, where you can schedule out posts for your department's social accounts.
