Use this Create Labor Distribution Profiles job aid to create and modify Labor Distribution Profiles (LDPR), which are replacing the previously used accounting templates and accounting profiles in CPPS. LDPRs can be applied at the position level for default accounting and/or on a timesheet level for activity- or project-based accounting.
Before you begin, make sure:
You have the chart of account elements for the specific position or activity.
The home department and home unit need to match the PSMT (position).
Important Information - Labor Distribution Profiles:
LDPRs can be set at timesheet, event, position, or department level. State entities need to decide how they would like that to operate.
On the Home Page, click the LDPM QuickLink.

Use Global Search to navigate to the LDPM page: Click the expand/collapse (🞂) icon in the search bar, select Page Code, enter LDPM, and select LDPM from the list.
The LDPM Activity Folder page opens.
2. Click Create to open the Create Transaction page.
3. Complete the required fields on the Create Transaction page.
Code (required): Auto-filled with LDPM.
Transaction Dep (required): Enter your home department
Transaction Unit: (Not required)
Transaction ID: Not required even though it is marked as required.
Note: It will automatically populate after step “the auto numbering check box” is completed.
Select the Auto Numbering check box.
4. Click Continue.
5. Enter the required fields under the Labor Distribution Profile Tab.
From (required): Enter the from Date in MM/DD/YYYY format or use the calendar picker to select the date.
To (optional): If there is an end date for the LDPR, enter the date in MM/DD/YYYY format or use the calendar picker to select the date. If there is not an end date, leave this field blank.
Note: An end date should be specified if the funding source has an expiration, for example, the end of the federal fiscal year. Otherwise enter 12/31/9999 for an open-ended funding source.
Home Department (required): Enter the four character home department code or use the filter to make a selection.
Note: LDPR Home Department has to match Position Home Department.
Labor Distribution Profile (required): Enter the Labor Distribution Profile title in a 5 digit alphanumeric code format.
Note: The LDPR title field supports up to 5 characters; however, it can be less.
Note: The LDPR title field cannot contain the following special characters: &_*%?:;=()/[]\|#@<>
Short Description (required): Enter a short description for the LDPR profile; this field supports up to 15 characters.
Note: The LDPR title field cannot contain the following special characters: &_*%?:;=()/[]\|#@<>
Long Description (optional): Enter a long description for the LDPR; this field supports up to 50 characters.
Note: This information is being shared with the UKG interface. Even though it is not required to process the transaction, it is recommended that the field be populated.
The Labor Distribution Profile Management Page opens and the Labor Distribution Profile tab is automatically selected.
6. Select the Labor Distribution Profile Detail tab.
7. Click the Insert (+) icon to add a new line.
A new row is added for entry of LDPR data.
8. Complete the fields in the new row:
Line Number: This field is automatically populated.
Fund (required): Enter the 4 digit code or click the picklist to search and select the appropriate code.
Department (required): Enter the 4 digit home department code or click the picklist to search and select the appropriate code.
Distribution Percent (required): Enter the appropriate percentage of the fund in a decimal format. For example, 50% is entered as .50.
Note: If there are expenses being dispersed across multiple funding sources, they need to total 100% or 1.00.
Appr Unit (Appropriation unit): (optional)
Note: While this field is not marked as required with an asterisk *, it is a critical element to ensure funding sources are allocated correctly and prevent the need for additional journal entries.
Unit: (optional)
Attachments: Use the paperclip attachment icon to add relevant attachments.
Note: The user can expand the columns in the grid by clicking the gear icon.
Note: The user should also click the caret to expand the full chart of account elements and enter data as needed.
9. To add additional allocation lines, repeat steps 6 - 7. Continue entering additional lines until the allocation instructions are complete.
Note: The distributions across funding lines must total 100% or 1.00.
10. Click the Save button at the top of the page. This action saves the data entry and ensures you don't lose your work when validating or submitting the transaction.
11. Click the Validate button at the top of the page. This action validates data entry and checks for errors.
Confirm that the transaction validated successfully.
If errors are returned, correct the issues in the applicable sections and click Validate again.
12. Once validation is successful, click the Submit button at the top of the page. This action finalizes the transaction and routes the transaction for review and approval.
Confirm that the transaction was submitted successfully.
13. Click the Close button at the top of the page. This action returns to the activity folder.
14. On the Home Page, use Global Search to navigate to the LDPR page: Click the expand/collapse (🞂) icon in the search bar, select Page Code, enter LDPR, and select LDPR from the list.
The LDPM Activity Folder page opens.
15. Click a card in the Recent Searches section to re-run a search you ran previously or enter information into the filter fields to search for your LDPR.
16. Click Apply.
17. Locate the LDPR you wish to modify in the grid results table at the bottom of the screen. Click View.
The Labor Distribution Profile page opens with the Labor Distribution Profile tab automatically selected.
18. Click the tab-level three-dot menu, and select Modify Labor Distribution Profile.
19. Update any of the fields in either the Labor Distribution Profile tab or the Labor Distribution Profile Detail tab.
20. Follow steps 9-12 above to save, validate, submit, and close the transaction.
