The Panopto app on your SLU-managed computer -- not recommended for this cleanup process; this can be somewhat confusing, since it will show both recordings stored in the Panopto cloud and any recordings stored on the hard drive of your computer
The Panopto Video folder in your Canvas course sites -- Offers a nice alternative for managing course-specific Panopto recordings, since it allows you to go course-by-course. Please note: this approach only works if you make course-specific Panopto recordings available to students via the Panopto Video tool in your Canvas course navigation menu
In the Panopto web tool via MySLU, recordings appear in different places, depending on how they were initially created. Using the navigation menu in the Panopto web tool, look for ...
My Folder: This folder contains non-course recordings and Panopto folders you have created. My Folder typically does not include recordings used in Canvas courses, unless you have moved or copied course-specific recordings into My Folder or a folder contained within My Folder. Thus, to see course-specific Panopto videos shared with students via Canvas, you will need to go to the Browse tab in the Panopto navigation menu.
Browse: Here, you can see all the video content you have access to, including videos you created/own and videos shared with you personally or with all members of the University. Click on My Folders (with an "s," not to be confused with My Folder, described in the previous bullet) to see all your Panopto content in one place, including videos stored in My Folder, recordings previously created for use in Blackboard courses, and recordings created for use in Canvas courses. Under the Browse tab, you can view course-specific recordings organized by course folder.
Everything: Here, you see a list of all the recordings you have access to in Panopto, including recordings you’ve created, recordings shared with you personally, and recordings shared with all members of the University. Unfortunately, it is difficult to view recordings by folder when accessing content through the Everything tab. Recordings are presented individually, in list format. Therefore, it is not recommended that you use the Everything tab to manage recordings.
Archiving Panopto recordings requires more effort than Deleting recordings because you can only Archive one recording at a time. This is by design. Panopto does not want you to accidentally Archive a recording, since it takes 24-48 hours to restore the recording to a viewable state. However, for a cleanup effort like this one, this design makes the task of Archiving more challenging.
Recommended approach to Archive Panopto recordings:
Sign into the Panopto web tool (via MySLU).
Select Browse from the main navigation menu.
Under Browse, click the My Folders tab (vs. the All Folders tab). This will allow you to view all recordings you own/created in one place, by folder, including course-specific recordings.
Open the folder that contains recordings you wish to Archive.
Click on the recording you wish to Archive.
Click Settings. This open a window with new options in it.
Then, Click Manage.
Then, scroll down to Archive Video.
Then, Click the Archive. You should get a pop-up asking if you are sure you want to Archive. Click Ok, and the video will be Archived.

Videos in the Archive can be retrieved, but it will take 24-48 hours to access the video. See How to Restore an Archived Video in Panopto for more.
You may restore recordings from the Panopto Archive. It takes 24-48 hours for the recording to be viewable again. See How to Restore a Panopto Recording from the Panopto Archive for detailed instructions. Restored recordings are returned to the folder from which they were archived.
You will receive an email from Panopto when the Archived video has been restored and the recording is viewable.
You also may export Panopto videos and save them elsewhere (e.g., personal storage device, OneDrive, Google Drive, etc.). See How to Download and Save a Panopto Video for detailed instructions.
Please note: if your Panopto recordings contain any student-identifying information (including student images, comments, names, etc.) or proprietary University information, those recordings should not be saved to a personal storage device.
For the first phase of this cleanup project, if you do not wish to preserve videos that have not been viewed in the last 24 months, you do not need to take action. The automatic deletion process that begins on June 1 will move those recordings to the Recycle Bin, and they will be permanently deleted after 90 days. If you prefer to delete recordings on your own, the information below will be helpful.
Individual users may delete Panopto recordings one-at-a-time or in batches (either by deleting a whole folder or by selecting multiple recordings for deletion).
Recommended approach to Delete Panopto recordings:
Sign into the Panopto web tool (via MySLU)
Select Browse from the main navigation menu.
Under Browse, click the My Folders tab (vs. the All Folders tab). This will allow you to view all recordings you own/created in one place, by folder, including course-specific recordings.
For each folder, you can:
[left click] Open the folder to see the recordings within that folder. From inside the folder, you can delete one or more recordings. See How to Delete a Panopto Recording for more details. OR...
[right click] Delete the entire folder and all its contents. Just click on Settings, then inside of Settings, click on Manage. Under Manage, you should see an option to Delete Folder.
Deleting Panopto recordings moves them to your Panopto Recycle Bin, where they remain for 90 days. During that 90 days, you may restore deleted recordings. After 90 days, the recordings are deleted permanently and are no longer recoverable.
Deleted Panopto recordings move to the Recycle Bin for 90 days before they are permanently deleted. During that 90-day window, you may restore recordings back to the folder from which they were deleted. See How to Restore a Panopto Recording from the Recycle Bin for detailed instructions.
Please note: the Recycle Bin does not show recordings in their original folders. This means you only see a list of individual recordings within the Recycle Bin.
After the 90-day window, recordings are permanently deleted and cannot be restored.
Phase 1 of the cleanup effort focused on recordings that had not been viewed in the previous 24 months, regardless of recording creation date. Future phases of cleanup likely will use a combination of last-viewed date and creation date to identify recordings for deletion. Future cleanup efforts will be well-communicated to the SLU community and involve ample lead time to preserve recordings.
As a matter of regular maintenance, we encourage you to review the last-viewed date for videos. In Panopto, the way you learn more about when videos have been viewed is by looking at the Stats, either for a single video or for a folder.
