Issues/Concerns/ Complaints (i/c/c) Procedure March 2018

As an introduction, it is worth reminding ourselves that we are connected to W T B C either because we enjoy bowling, watching bowling, or being involved in the social interactions and opportunities the bowling and club provides. For some lucky ones it could be for all 3 reasons! If there is ever a matter which hinders your enjoyment of any of the above involvement reasons you need to be aware of what course of action to follow to resolve the matter.

Following is an agreed course of action if an issue/concern/ complaint (i/c/c) ever needs to be pursued, in relation to the Trinity Bowling only, (nb in brackets is the course of action if a club captain is in place):

· If an i/c/c arises over a team bowling matter then in the first instance approach either the team captain, vice-captain or selector with the i/c/c. In all probability the matter will be resolved following this conversation, or it may need a discussion between the 3 officers of the team, which might occasionally need to be referred to the next club committee meeting. If either of the latter 2 options occurs a response will be verbally communicated to you as soon as possible by the person you first spoke to. Hopefully the matter is resolved in a positive manner.

If though you feel the i/c/c has not been resolved to your satisfaction then your next course of action is to approach a member of our club committee (club captain) with your matter, after informing the captain, vice-captain or selector of your intentions. Note, a list of our club committee members (club captain) are (is) displayed in the club-house, in our white Fixtures booklet, on our web-site. Again the matter may be resolved with this conversation, or it may need to be taken to the next club committee meeting. In some circumstances it could be that you are invited to attend that meeting so that you can explain your i/c/c first hand if it is felt this may help the resolving of the matter in a positive manner as quickly as possible. Following the meeting when your matter was raised and discussed, a response will be verbally communicated to you as soon as possible by the club chairman (club captain).

If the i/c/c is of a bowling matter outside the jurisdiction of a team, or a non-bowling matter, raise your i/c/c with any member of our club committee (club captain). Hopefully the matter can be resolved with this initial conversation, but if not it will be taken to the next club committee meeting for discussion. Again a response will be verbally communicated to you by the club chairman ( club captain), hopefully resolving the matter to your satisfaction.

· If the matter is not resolved satisfactorily it will be left to the club committee to agree a course of action to bring the matter to a conclusion.

CLUB CAPTAIN

Responsible to : Chairman - Committee - Club members

Job Description:

This is a voluntary role held by a senior member of the club. You must be a positive role model for all members of the club in all aspects of club. Being a person who is an integral part of the club and who is well known by members of the club is also important. The club captain is a club official who at times will be required to help deal with various situations, and is required to be a good ambassador to the club.

Responsibilities and Duties.

A Club Captain should:

* Be available to players and other members of the club who wish to inquire about various issues which are considered to be official.

* Be available to players and other members of the club with regards to Club business and plans for the future of the club as a whole, or the development of certain aspects of the club.

* Be able to represent the club at meetings of the leagues / county(if required)

* Following all aspects of Willenhall Trinity Bowls constitution. Copies are available.

* Discuss any challenges and concerns that you have with the club management so they can be resolved in a timely positive manner.

* Make yourself known to all players and members.

Preferably the Club Captain role will be given to a member of the club who has been involved with the club for an extended period of time, and/or is well known throughout the club.

Understand the characteristics and needs of the players, members and supporters of the club.

Understand the competitions relevant to the club.

Have an understanding of the laws of the game.

Highly motivated and committed to the club.

WILLENHALL TRINITY BOWLING CLUB CHARLES STREET • WILLENHALL

CONSTITUTION – March 2014

1.0 NAME OF ORGANISATION

1.1 The Name of the Club shall be Willenhall Trinity Methodist Bowling Club. Hereinafter referred to as “the Club”

2.0 OBJECTS

2.1 The Object of the Club shall be to provide Crown Green Bowling facilities for all members

2.2 In pursuit of this object, but not otherwise, the Club has the power to carry out any lawful activity which will in the judgement of the committee further the object of the Club

3.0 POWERS

3.1 The land and buildings belong to the Bloxwich & Willenhall Methodist Circuit. The Bowling Club is an organization within the Circuit and the Circuit Meeting has appointed the Bowling Club Committee as the persons responsible for dealing with all Financial and Management matters related to the Club and the land, with the Club being accountable to the Circuit Meeting.

4.0 MEMBERSHIP

4.1 Membership of the Club shall be open to all and no application will be refused on other than reasonable grounds.

4.2 Full membership shall be open to church members within the Bloxwich & Willenhall Methodist Circuit.

4.2 Associate membership shall be open to all others after being sponsored by one member of the Club and accepted by the Committee.

4.3 Categories of membership shall be: a) Standard b) Senior Citizen (Over 65) c) Unemployed d) Juniors (Under 18).

4.4 Rates of membership subscriptions to be decided at each A.G.M. with special rates for categories b), c), & d).

4.5 Annual subscriptions shall be paid in advance and become due following the A.G.M. for that season.

4.6 Members who have not paid their first installment by April 30th or final installment by 30th June shall become ineligible to play in a Club team or to use the Club facilities until the subscription plus £1 fine has been paid.

4.7 A member may be removed from membership by the committee if he/she breaches any clause of this constitution or any rule made under it, provided that:

The decision to terminate membership requires a two thirds majority of the committee members present and voting;

The member has been given written notice of the intention to terminate membership and the reasons for doing so and the opportunity to address the committee before the decision is made.

5.0 OFFICERS

5.1 Officers of the Club to be elected annually by the members at the A.G.M. are Honorary President, President, Vice President, Lay Chairman, Vice Lay Chairman, Secretary, Treasurer, and Club Captain.

5.2 The majority of officers to be members of the Methodist Circuit

5.3 The Circuit Superintendent is Honorary President of the Club and together with a Circuit Steward is entitled to attend any meetings of the Club.

6.0 COMMITTEE

6.1 The Committee, also to be elected at the A.G.M. shall comprise, the Officers, the Captains and Vice Captains of the Club teams (not Senior Citizen Teams) plus one other member.

6.2 The Committee shall nominate representatives of the Club to attend meetings of the S.C.B.A. and local leagues, where they will represent the views of the Club and vote on behalf of the Club.

6.3 The Committee to have the full authority on all matters concerning management of the Bowling Green, Pavilion and behaviour of members

7.0 MEETINGS

7.1 An A.G.M. shall be held each year prior to the beginning of the Bowling season

7.2 A Prize Presentation evening shall be held each year at the end of the Bowling season.

7.3 Committee meetings shall be held during the season, generally each week, to discuss Club matters and choose teams.

7.4 Teams shall be chosen by the Committee with the recommendations of the Team Captains taken into account.

7.5 A General meeting other than the A.G.M. may be called by giving 28 days written notice to all members. The committee may call such a meeting at any time and shall do so if required by 5 members or 10% of the members, whichever is the lesser. In the latter case a notice of the meeting must be issued within 7 days of the request. Only the business specified in the notice may be considered at a General meeting called under this clause.

8.0 QUORUM

8. 1 A Quorum for a Committee meeting shall be 4.

8.2 A Quorum for the A.G.M. shall be 20% of the membership.

9.0 FINANCIAL CONTROL

9.1 All monies raised by the Club shall be deemed to be the property of the Club and deposited in a bank account in the name of the Club.

9.2 Withdrawals shall be made with the signed authority of two signatures from four nominated Officers of the Club.

10.0 DISSOLUTION OF THE CLUB

10.1 If the Committee agrees that they can no longer run the Club, they shall call a General meeting as Clause 7.5, the notice of which shall include the proposal to dissolve the Club

10.2 The Club may be dissolved if at least 10 members or 10% of the membership, whichever is the lesser attend the meeting and not less than two thirds of those present and voting supports the proposal to dissolve the Club.

10.3 The committee shall report this to the Circuit Meeting

10.4 In the event of dissolution, any assets of the Club remaining after the proper settlement of debts shall at the discretion of the committee be passed over to a charity or similar organization with objects compatible with those contained in this document.

11.0 AMENDMENTS TO THE CONSTITUTION

11.1 The Constitution of the Club may be amended by a 2/3 weighted majority of votes at an A.G.M. or G.M. providing 14 days notice has been given to all members of the meeting and subject to the agreement of Bloxwich & Willenhall Methodist Circuit.

12.0 RULES OF THE CLUB

12.1 The A.G.M. shall have the power to set Club Rules. Such rules shall be in accordance with the articles of the Club Constitution and the policies of the B.C.G.B.A.

APPENDIX TO CONSTITUTION - Club Rules

1.0 The Bowling Green to be opened in March until October. Months other than these to be closed, except for maintenance

2 .0 The Club shall be open on Sundays between the hours of 12noon and 5pm for non-competitive bowling or maintenance only. Competitive bowling shall include Club competitionns or any game where the outcome is of any consequence.

Where the green requires to be closed for maintenance, a notice will be posted informing members of its closure.

3.0 Visitors to the Club are welcome if accompanied by a member, a greenage fee of £1.00 will be charged
