Covid Special Conditions of Hire Summer 2021


Note: These conditions are supplemental to, not a replacement for, the hall’s ordinary conditions of hire.


General

You, the hirer, will be responsible for ensuring that your event is both legal, safe and risk assessed at the time and date the event takes place and that those attending your activity or event comply with the COVID-19 Secure Guidelines while entering, occupying and leaving the hall. You must ensure that you have adequate insurance to cover the activity you are running.



The Jubilee Hall is available from 26th July 2021 for bookings. This will be reviewed at the beginning of September, or sooner if guidelines change. Anyone breaching this condition of hire will not be allowed to hire the facility again.


Special Conditions


The Hall is regularly cleaned but it is not guaranteed to be Covid clean. You will be responsible for cleaning frequent touch points (door handles, light switches, toilet handles, wash basins and all surfaces likely to be used during your period of hire) before other members of your group or organisation arrive and to keep the premises clean throughout your period of hire. You will be required to clean again on leaving.


  • You will request everyone using the premises use the hand sanitiser provided (or their own) on entering the premises. Hands should be cleaned regularly. Soap and paper towels are provided.


  • You will keep the premises well ventilated throughout your hire, with windows and doors open as far as convenient. You will be responsible for ensuring they are all securely closed on leaving.


  • Social distancing is no longer a requirement. However following your risk assessment you may want to continue with some form of social distancing at your activity.


  • Face coverings are no longer required by law, but the government expects and recommends that people should continue to wear them in crowded and enclosed settings, to protect themselves and others.


  • You will be responsible for the disposal of all rubbish created during your hire, including tissues and cleaning cloths. Please take your rubbish home with you.


  • You will make sure that everyone likely to attend your activity or event understands that they MUST NOT DO SO if they or anyone in their household has COVID-19 symptoms, or if they are self-isolating.


  • In the event of someone becoming unwell with suspected Covid-19 symptoms while at the hall you should immediately send them home, terminate your activity and inform the hall manger / booking secretary, Liz Bates 01494 874233 / David Howkins 01494 857760.



We will have the right to close the hall if there are safety concerns relating to COVID-19, for example, if someone who has attended the hall develops symptoms and thorough cleansing is required or if it is reported that the Special Hiring Conditions above are not being complied with, whether by you or by other hirers, or in the event that public buildings are asked or required to close again. If this is necessary, we will do our best to inform you promptly and you will not be charged for this hire.


If we see the infection rate increasing or another significant consideration, but public buildings are not required to shut, to The Jubilee Hall Committee reserve the right to make their own decision on whether the building is open.


Please be aware that we may need to CLOSE the Hall at short notice.
