There has been a major change to how personal data held electronically is now protected. Personal data is information relating to an identifiable living individual. Whenever personal data is processed, collected, recorded, stored or disposed of it must be done within the terms of the General Data Protection Regulation (GDPR).
The Sailfish Association undertakes to collect and use your personal data in compliance with the General Data Protection Regulation (GDPR). Our legal basis for processing this data is our legitimate interest as a sailing organisation.
We use the data for the administration of your membership, the communication of information and the arrangement of events. With one exception shown in the next paragraph we do not share this information with any other organisation. Your personal data is not passed on by us for use by any other third parties whether or not connected with sailing.
Because we use Google to provide the platform for our members-only Forum and Website you should also check that you are happy with their privacy statement/terms & conditions as in order to maintain privacy of these you will need to sign in through the Google login page. With your permission the email address you give us will be placed on a Google access list specific to our members Forum/Website.
Your personal data which we collect when you apply for membership is recorded in our membership database. The Honorary Treasurer and the Honorary Secretary both keep a membership database. These are stored on their personal computers. When necessary the information is made available to the Magazine editor or Spares secretary.
The officer’s databases contain full address details, email addresses and phone numbers. A record is kept of subscriptions paid or owing and areas in which you showed an interest in sailing.
On the Association website there is an abbreviated membership list giving the following details: Name and number of boat, name of owner, town of residence and participation in Forum/Website access. This can only be accessed by other members.
When members post messages on the Forum their identity is not disclosed in full unless they wish to give further details themselves.
We will hold your information while you are a member and for an indefinite period after you cease to be a member either by resignation or non-payment of the annual subscription in case of any queries regarding your membership.
