What we do
Administration
• Arrange contract management training for District and School HR Admin staff
• Maintain an updated record of all relevant role-players and key stakeholders
• Compile comprehensive reports on HR Admin for decision making by District Director on district resources
• Provide reports to District Director and Regional office on contract management and compliance
• Oversees procurement and health and safety responsibilities at the District office
• Manage functioning of all systems such as filling, debtor, disaster recovery and telephone system amongst others
• Implements laid down systems to manage and control administrative expenditure
• Pre-approval and monitor the review of contracts prior to payment
• Records management and provides information upon request
• Set objectives for, monitor and appraise the performance of Admin staff in the District
• Facilitate administrators’ workshops
Logistics and Procurement / Transport Management
• Approve the procurement of goods/services/equipment based on District threshold
• Oversee District Tender Committee’s functions with respect to procurements activities to achieve compliance and value for money • Manage the preparation and issuing of certificates for the payments for projects undertaken
• Undertake M&E exercises to ensure that government projects are executed in accordance with relevant policies and specifications • Manage the process for planning, directing and coordinating the supply, transportation, storage and distribution of goods and services required for the District and schools.
• Manages logistics and directs daily operations
• Manage and control the operations of the District’s fleet of vehicles to transport goods and passengers.
• Recommend the buying, selling and maintenance of vehicles and coordinates the usage thereof. ICT Support
• Work with the Region/Headquarters to plan and coordinate the acquisition, maintenance and use of IT systems for the District.
• Implements ICT strategies, plans and operations of the District to ensure the ICT infrastructure supports the District’s overall operations and delivery of education
Property and Maintenance Management
• Implements a Maintenance Plan of the District resources and facilities
• Oversee the maintenance of all District facilities, equipment and resources to ensure the safety of staff, students and all visitors; extended use of resources and equipment.
• Organize, direct, control and coordinate the construction, alteration and renovation of office/school buildings, and the physical and human resources involved in the property management function at the District.
• Monitor the facility maintenance.
Reporting
• Send collated personnel data and statistics to Headquarters monthly
• Submits to the Headquarters periodic administrative reports
