Installation Options
When you have successfully downloaded the Installation Package, you will be given two options for installing DES accounting system.
Single or Multi-User Installation
You may choose to install DES accounting system in either of the following configurations:
• Single-User
Install DES accounting system and the database file in a single, standalone computer. Refer below for “Single-User Installation”.
• Multi-User (Network)
Install both DES accounting system and the database file on the computer that will act as the file server (referred to as the DES Server), and install the workstation components on each user’s computer. Refer below for “Multi-User Network Installation”.
Important Things to Consider Before Installing
Ensure that your computer(s) meet the minimum requirements :
System Requirements
Minimum configuration:
- Windows 2000, Windows XP
- Microsoft SQL Server 2000 (or higher version)*
- 10MB of free disk space for database server
- 20MB of free disk space for desktop client
Recommended Configuration:
- Windows 2000, Windows XP
- Microsoft SQL Server 2000 (or higher version)*
- 256MB of RAM
- 10MB of free disk space for database server
- 20MB of free disk space for desktop client
- 1024x768 screen resolution or higher
*Note : You will also need to purchase and install Microsoft SQL Server 2000 (or higher version)
for database management system
Transitioning From Another Accounting System
To ensure that DES accounting system continues where your existing accounting system has left off, decide on a suitable cut-off date to move your accounting records into DES accounting system.
Make sure you can balance your existing accounting records by checking on your Trial Balance, Accounts Receivable Listing, Accounts Payable Listing, Inventory Listing, your last bank reconciliation, and list of outstanding checks as of this transition date. You will refer to these reports after entering and reconciling your accounting records to verify that all accounting figures has been accurately captured into DES accounting system.
Determine Your Accounting Policy
You will need to comply with your organisation’s accounting method before you begin to use
DES accounting system:
• Cash Accounting
Revenue is recorded when payment is made by customer .
Payment of expenses to Creditor are recorded when they are paid.
• Accrual Accounting
Revenue is recorded when billing to customer is made.
Expenses are recorded when they are incurred.
Single-User Installation
This section guides you through the installation of DES accounting system on a standalone computer for a single user.
1] Log onto the computer as a user with Windows “Administrators” Group rights.
2] Shut down all running programs.
3] Open SQL Server Enterprise Manager. Right-click on Database -> All Task -> Restore Database.
4] On Restore Database screen, type des in the textbox beside restore as database label.
Select From device option -> select devices -> Add -> File name option -> select file des from your installed folder
(DES database), next click OK to restore.
5] Go to your default installed application folder, and double-click on des.reg to register your data source name in the
windows registry.
6] Next, go to default installed application folder (DES acctg system), double-click on Setup.exe to install
DES Application.
7] The InstallShield Wizard will now guide you through the installation process. Follow the onscreen prompts to
complete the installation.
8] When you click Finish to complete the installation, you might be prompted to restart your computer.
The installation of DES accounting system on your computer is now complete!
Multi-User Network Installation
This section guides you through the installation of DES accounting system for multiple users in a network environment. Below are the installation procedures:
• Install the database file and application components on the DES Accounting Server.
• Define users access rights to des database.
• Install workstation components on each user’s computer.
Step A – File Server Install
1] Log on directly to your Server, as a user with Windows “Administrators” Group rights.
2] Shut down all running programs (inclusive programs running at taskbar).
3] Open SQL Server Enterprise Manager. Right-click on Database -> All Task -> Restore Database.
4] On Restore Database screen, type des in the textbox beside restore as database label.
Select From device option -> select devices -> Add -> File name option -> select file des from your installed folder
(DES database), then click OK to restore.
5] Go to your default installed application folder, and double-click on des.reg to register your data source name in the
windows registery.
6] Next, go to default installed application folder (DES acctg system), double-click on Setup.exe to install
DES Application.
7] The InstallShield Wizard will now guide you through the installation process. Follow the onscreen prompts
to complete the installation.
8] When you click Finish to complete the installation, you might be prompted to restart your Server. Restart
your server.
9] Change the permission properties of the \DoubleEntrySystem folder on the Server to be a shared folder
for all DES users. (If running under Windows XP or Server 2000, you will also need to change the folder
permissions from Read to Full Control)
The installation of DES Accounting system on your Server is now complete!
Step B – Adding Users and Basic Setup
Add users and, grant read/write access rights to des database.
Step C – Workstation Installation
Workstation components for DES Accounting system must be installed on every user’s workstation. Complete the following installation at each workstation.
1] Log onto each computer as a user with Windows “Administrators” or “PowerUser” Group rights.
2] Map a network drive to the \DoubleEntrySystem shared folder on the Server.
3] Shut down all running programs.
4] In Windows Explorer, go to the mapped network drive, open the DoubleEntrySystem\Install folder,
and double-click on setup.exe. Follow the onscreen instructions.
5] At the end of the installation, click Finish. Depending on your operating system, you will need to restart
your computer.
Getting Started
Setup A - Preliminary Setup in DES Accounting
1] Click on Start -> DES
2] You will be prompted to enter :
username : justin
password : password
3] You may begin to use the functionalities and features on each modules (Inventory / AR / AP / Cash / GL)
How to create a new database for a new company
1] Log into Enterprise Manager from SQL Server
2] Go to Tools, choose SQL Query Analyzer
3] Select des as your default database
4] On the blank query form, type : delete from Journal_T
5] Click on Execute Query, to remove all data in Journal_T
6] Next, delete from [All Tables], except for the following tables (cannot be deleted)
1) Type_t
2) Category_t
3) Sub_Category_t
7] Log on to DES, and start creating a new COA, Inventory, AR, AP and Cash code
