CLSA Pickleball Executive Team
All members of the Executive committee are volunteer pickleball players who assist in running the Club. In addition to the duties described below, the members of the Executive committee attend meetings and make decisions on behalf of the general membership.
Coordinator
The Coordinator runs the club so it grows vibrantly, harmoniously and efficiently. He/She coordinates the functions of all other Executive Committee members so they work together to achieve goals. He/She responds to all external and internal communication with the club.
Secretary
The Secretary communicates decisions made by the Executive Team to the membership via email announcements and periodic newsletters. The Secretary takes the minutes of Executive Committee meetings and the AGM and emails them to the Executive Committee members for approval.
Treasurer
The Treasurer keeps a detailed 'cash record' of all money received and paid by our Club and deposits the excess cash from this 'cash record' to our Club bank account. The Treasurer issues checks as necessary for some larger expense items. The Treasurer prepares a Financial Statement for the AGM and for each Calendar Year which is always reconciled to our Club bank balance.
Equipment Coordinator
The Equipment Coordinator is responsible for the purchase of balls for Club use.
The Equipment Coordinator ensures equipment i.e, balls, nets, posts are in game condition for each session.
Social Convenor
The Social Convenor organizes events such as lunches or the Christmas dinner for members of the Club. In this respect the Social Convenor circulates a sign-up sheet to the members, books a venue and collects any relevant funds.
Attendance Director
The Attendance Director tracks attendance and compiles statistics when required. It is helpful for this person to have a working knowledge of Microsoft Excel or a comparable spreadsheet program.
At beginning of any new registration session (January, May) the Attendance Director liaises with theTreasurer and CLSA front office to compare registration lists for accuracy of Annual and Seasonal members. The Attendance Director creates attendance sheet templates for monthly use to keep accurate attendance records of members who are Annual, Seasonal or Visitor Bands.
Each month end, the next month’s attendance sheets are created and posted on the attendance board. The Attendance Director ensures there is a sharpened pencil attached to the board for member use, as well as a supply of name tags/marker pens. After each Club play day the Attendance Director totals the attendance numbers and reports these numbers to the front office. All prior monthly attendance sheets are kept for future compiling of statistics as required for the Executive and/or CLSA.
Past Coordinator
The Past Coordinator supplies information to the Executive Team so decisions that involve past experience may be made seamlessly.
Webmaster
The Webmaster updates the website to ensure it is current and it provides information about our Club to the public.
