Road repairs

Key points are:

1. The surface of several parts of Hampshire Drive has been deteriorating for years, with multiple pot holes now in a damaging and hazardous condition
2. Parts of the road have been resurfaced in the past and ad hoc pothole repairs undertaken from time to time, but the situation is now so bad that major work needs to be done
3. Residents were contacted by Mainstay in August 2014 with a large payment demand for re-surfacing, as adequate provision for this in a 'sinking fund' had not been made by them or their predecessor LSH
4. Residents opposed this and held a meeting with Mainstay on 15th October 2014, at which Mainstay admitted their demand and the 'estimates' this was based on had not gone through their proper procedures - a situation which was described by them as a 'catastrophic failure' of their usual systems
5. A further meeting was held on 19th November 2014, at which proposals for the necessary work were presented. At this meeting, residents pressed their case that immediate pot hole repairs be done to see them through the winter period and a single campaign of re-surfacing be undertaken in the Spring of 2015.
6. An informal meeting of residents took place on 3rd December 2014 to discuss this further, review correspondence received and agree the date for the next meeting with Mainstay
7. 2nd-4th December 2014 - All Drains Solutions conducted a camera survey of the drains in Hampshire Drive at the request of Mainstay
8. Tuesday 16th December 2014 - formal meeting with Calthorpe and Mainstay to discuss this issue - it was agreed that the potholes would be repaired immediately and this work is now scheduled for Friday morning, 19th December 2014. The detailed specification for the re-surfacing was presented at this meeting for residents' consideration.
9. A report from All Drains Solutions was made available to JGM by email on 16th December 2014 and was circulated to the residents email group
10. Fri & Sat, 19th & 20th December 2014 - Mainstay's contractors have repaired about half of the potholes that were agreed when we met with them and officers of Mainstay at 09:00 on the 19th and walked the road. We are hoping the remainder will be done before Christmas.
11. Mon 22nd December - the worst of the pot holes in the odds part of the road were repaired, leaving a few shallower ones which can be avoided
12. A meeting with Mainstay & Calthorpe took place on the 28th January 2015 at which the specification prepared by Nick Young of Mainstay was agreed to be acceptable for going out to tender
13. As of 11th April 2015, we have received a summary of the tender responses and will address these at a meeting with Mainstay and Calthorpe on 28th April 2015
14. The tender from Amey was accepted on 28th April 2015 and the work is scheduled for the 26-29th May 2015
15. We are now in 'monitoring mode for the 12 months up to May 2016.
16. The warranty period is now over and the repair is regarded as complete.
