NEW BUSINESS
Stephanie Greene, chairman of the Advisory Committee, reported that Central Region state organizations rotate the responsibility of electing the Central Region Director. Illinois is responsible for electing an individual from GCI to serve as Central Region Director for the term 2013-2015. She read the suggested criteria for applicants from the NGC manual. Stephanie announced that Dolores Wilt will take applications and advised the Board that the GCI Central Region Director should be elected at the August 2012 GCI meeting.
There was discussion on how the organization should operate. At present Garden Glories art work can cost $1500, but can also cost as little as $250 depending on the software used. Some felt the organization should support efforts of the organization: Equipment should be bought as by a business should belong to the business, and be passed on. However, there is a transition issue and software purchased years ago may no longer be functional. These items can be budgeted for (office equipment and software). A realistic budget can be determined if everyone turns in expenses even though they do not wish reimbursement. Some feel GCI is not a business but a volunteer organization, so some of the above comments don’t apply. The Finance Committee will discuss these issues.
At closed club member-only garden walks, the closed event can be covered by the individual garden owner’s homeowners insurance and the garden club can be insured with the $50 policy. If the garden clubs and homeowners wish extra coverage for a members-only event, or insurance for an event open to the public, the fee for coverage is $150.
Adjournment: There being no further business and no objection, the meeting adjourned at
12:10 P.M.

The report will be filed for audit.
First Vice President, Membership: Marilyn Smrcina reported she had attended District II and IX President’s Meetings, and attended District I Fall Meeting and the Central Region Meeting in Wisconsin. There have been 3 requests for club memberships and three requests of clubs seeking membership in GCI. To date seven clubs and one affiliate remain unpaid. Home GC of Wheaton submitted a letter of resignation. Okaw Valley Garden Angels have been told to submit a letter of resignation after expressing the need to drop. Beverly Garden and Culture Club has been intermittent in seeking membership. Heaven and Earth Growers cannot be reached and have not been active at the address listed.
Marilyn moved that the resignation of Home Garden Club of Wheaton be accepted, and that GCI drop the Heaven and Earth Growers GC and Beverly Garden and Culture GC. The MOTIONS were seconded and carried. Marilyn moved that GCI accept the application for membership of the Garden Club of Evergreen Park, #8-47. The MOTION was seconded and carried.
Awards: Susan Cooney reported that 42 yearbooks were received for judging and 110 applications for awards. She asked for anyone who would take a group of entries to help with the judging.
GardenGlories Editor: Veva Schreiber reported the winter issue is being worked on for delivery in January 2011. The state convention will be featured along with the registration blank in the winter issue that covers January, February, and March. The website will be updated including the calendar, new designs featured, and advance notice of schools planned with dates where available. Book reviews, horticulture and features will be new versions and website addresses added to the links page.
By dropping one issue of GardenGlories there could be a savings in excess of $4000. If the mailing goes from publications-postage to non-profit, commercial advertisers must be dropped. One commercial advertiser has dropped their account and the economy may affect increasing new commercial advertisers. GCI will lose about $3000 in advertising using electronic communication. According to input from club members they are not ready to go to electronic communication. By putting out an email bulletin and a hardcopy bulletin to non-email members, monthly pricing plans for not-for-profit would be $50 a month for 8000 members to be prepaid for 6 months. It allows members to be kept informed more easily and timely. Cutting back on the number of pages in GardenGlories doesn’t cut back on costs but by about $200. Veva moved that the Board drop one issue of GardenGlories and publish it 3 times a year. The MOTION was seconded and carried.
Veva moved that the Board consider the establishment of an electronic bulletin to be published between the issues of GardenGlories to supplement and keep everything updated. The cost to have it professionally done for 8000 members would be $50 a month with constant contact. A special server needs to be used which is not presently available at the state offices. It will take time to see the nature of how an electronic bulletin will work. The MOTION was seconded and carried.
Scholarship: Lorraine Wirges reported the two $1000 scholarship recipients at Southern Illinois University at Carbondale have been announced as Jared Brewster majoring in Plant and Soil Science with specialization in turf grass management and landscape horticulture and Ashley Jennings majoring in Plant and Soil Science within Landscape Horticulture. Mark Sullivan was awarded the 2010 Jonathan Baldwin Turner Award. The application for the NGC scholarship is posted on the NGC website under YOUTH. Members are encouraged to pass along this information.
Youth Activities: Yeanne Markham reported that she spoke at the District IX leadership meeting regarding youth activities. She will be submitting an article encouraging clubs to get involved with Earth Day or Arbor Day that might involve the young people in local schools. The Central Region Chair changed the deadline for poetry and essay entries from January 1, 2011 to December 20, 2010. The state deadline is December 1, 2010. Copies of the winning 2010 poem from the NGC poetry contest were passed out; it was also published in the Central Region bulletin.
Cathy Sell inquired if an award for Earth Day could be added to the Arbor Day award. She also suggested forming an award for individual children who participate in a club’s activity. President Greene and Susan Cooney have discussed the issue of proposing an award for Earth Day. Any new award can be added to the 2011 Awards Book. Yeanne asked to be included in any discussions or committee meetings concerning the new award.

Nancy reported that through the introduction of Intelligentsia to District VIII by Stephanie Greene the recycling program of 150 pound coffee burlap bags from all over the world, coffee grounds and coffee chaff has become a huge and successful project. Every Thursday Nancy and her husband pick up these products. Some uses are for filling the bags with grass clippings and leaves, then allowed to decompose for use in growing plants, use burlap bags instead of black plastic in the garden, another idea is to line hanging baskets with the burlap which holds water better. Throw coffee grounds under hosta plants to keep slugs off, and mix the coffee chaff into garden soil. Garden Clubs have made ‘Grow Green’ grocery bags from the burlap bags. Nancy should be contacted if anyone is interested in the bags or coffee grounds. She may also be able to get free coffee from Intelligentsia for meetings or conventions.
