ENROLLMENT
A child enrolling at Shady Grove School should present upon enrollment:
1. Birth certificate or hospital birth record.
2. Immunization record.
3. CDIB Card & Blue Tribal Card (if applicable).
To enroll in the following classes a child must have attained the age listed by September 1st.
o Four-Year-Old-Program: four (4) years old
o Kindergarten: five (5) years old
o First Grade: six (6) years old
A student under suspension or expulsion from another school district will not be considered for enrollment until the term of suspension or expulsion has been completed.
ARRIVAL AND DISMISSAL
The school day for all students begins at 7:50 a.m. in the Cafeteria with the Flag Salute, A Moment of Silence, and Birthday recognitions. Breakfast is served from 7:30 a.m. to 7:50 a.m. Class roll will be taken upon the classes’ arrival from the cafeteria. Any student who does not arrive at school in time to come from the cafeteria with his/her class will need to stop by the office to notify the administration of their arrival.
Parents who transport their child to and from school are encouraged to have their child at school during the above listed times. A child entering a classroom late or leaving early not only interrupts his/her education, but also the education of his/her classmates.
School is dismissed daily at 3:05 p.m. Students in grades PreK-4 are released to parents or taken to the buses at 3:00 p.m. Grades 4-8 are released at 3:05 p.m. If school must be dismissed early because of an emergency situation every effort will be made to make parents aware of the situation.
During the winter months it may be necessary to call school off or dismiss early because of inclement weather. The decision to call school off will be made prior to 6:30 a.m. and will be broadcast by the following: KJRH (channel 2) KOTV (channel 6) and KTUL (channel 8).
During threatening weather bus routes may be delayed for the student’s safety and protection.
ATTENDANCE
In order to receive the greatest benefit from the education process, a student should be in class every day possible. If illness or other legitimate reason keeps a child from attending school, parents are requested to notify the school of the absence either by phone or by sending a note to the teacher. If a child has an extended illness, a verification statement from a doctor may be requested.
Students absent without reason either with or without parent knowledge for a period of five (5) days may not be allowed to return to school until after a conference between Parent(s) and the principal.
TARDINESS
A student coming to class late not only misses a part of the lesson being presented, but also interrupts the learning of the rest of the class. Students should be in their seat and ready to work when the bell rings. A student who has been tardy three times during a nine-week will be credited with an absence for that grading period.
AFTER-SCHOOL PROGRAM
An after-school tutoring program is offered to students from 3:05-5:30 p.m. MONDAY through THURSDAY. Bus transportation will be available at 4:00 p.m. for students who reside in the school district. Children of parents who both work outside the home may stay until 5:30 p.m. The parent is responsible for transportation if the student stays after 4:00 p.m. Transportation of a non-resident student at either time is the responsibility of the parent.
EARLY DEPARTURE
A student needing to leave school prior to the end of the day should be checked out through the office by the parent. If someone other than the parent is to pick up the child, the parent should notify the school by phone or send a note with the child. Teachers will not release a child from the classroom until notified to do so by the office.
WITHDRAWAL FROM SCHOOL
A student withdrawing from school should have a parent notify the school at least one day prior to withdrawal so teachers will have time to tabulate the student’s grades. Withdrawal grades will not be released until all financial obligations have been met and all teachers etc. have signed off on the check-out sheet.
Student records will be forwarded to the student’s new school upon request from receiving school.
REPORT CARDS
Report cards will be given to the students following each nine weeks grading period. Parent of students in the lower grades may be asked to sign and return the report card to the teacher.
PARENT/TEACHER CONFERENCES
PROGRESS REPORTS
Parent/Teacher conferences are scheduled during the 1st and 3rd grading periods. Progress reports will be available for the parent at this time. This should give the parent ample time to work with the child and the teacher to correct any deficiencies prior to semester grades being calculated. Progress reports will be sent home with students if parents are unable to attend.
HONOR ROLL & HONOR GRADUATES
Student honor roll lists will be published for each nine weeks period. Students who have all A’s on their report card will be listed on a Superintendent’s Honor Roll. Students with no grade below B will be listed on a Principal’s Honor Roll.
In selecting students for Valedictorian and Salutatorian honors a point scale will be used as follows: A=4, B=3, C=2, D=1, F=0. Grades will be calculated from the first semester of the sixth grade through the first semester of the eighth grade (five semesters) and calculations will be carried to the second decimal place. In the case of a tie, co-valedictorians or co-salutatorians will be named.
To be eligible for honors, a student must be in attendance three (3) of the five (5) semesters as listed above. In addition, any student suspended from school for discipline problems during the above listed time period will not be eligible for honors.
STUDENT TESTING
Shady Grove School participates in the Oklahoma School Testing Program Act (OSTPA). The testing program measures skills attainment through an assessment each April/May. Students who do not perform satisfactorily on the tests shall be provided opportunities for remediation. Students submitting a Home Language Survey noting an additional language spoken at home will be assessed for English language proficiency using the WIDA ACCESS or other assessment model.
In addition to state mandated testing, Shady Grove School evaluates students with a benchmark testing program. This testing points out strengths and weaknesses of individual students, allowing teachers to provide appropriate settings and materials for the child. Benchmark assessments are administered throughout the school year. Parents are encouraged to stress to their child the importance of doing their best by being prepared and rested. Results of testing will be provided.
PROFICIENCY PROMOTION
Upon request of a student, parent or guardian, a student will be given the opportunity to demonstrate proficiency in the state competencies as set forth in the Oklahoma Academic Standards (OAS). Proficiency will be demonstrated by scoring at the ninety percent (90%) level on subject area tests administered by school personnel. A student demonstrating proficiency at the 90% or above level will be advanced to the next level of study in the appropriate curriculum area(s). The decision on the placement of a student will include parent/guardian input and will take into consideration such factors as social, emotional, physical, and mental growth.
TEXTBOOKS
Students will be responsible for the replacement of lost, stolen, or damaged textbooks. The cost of replacement will be prorated on a five-year book lifespan. Students will be required to pay the replacement cost for textbooks older than five years.
DISCIPLINE
One of the most important phases of a student’s educational development is that of learning proper behavior, cooperation, respect, and self-discipline. It is the school’s responsibility as part of the total educational process to assist in the development of self-discipline. In the process, sometimes it becomes necessary to impose penalties on students for inappropriate behavior that interferes with the educational process.
The following methods may be employed in an attempt to correct discipline problems:
1. Counseling-May involve the classroom teacher or administrator as a result of first or infrequent occasions.
2. Detention-Student may be required to make up class time during recess or a school activity.
3. Ineligibility-Permission to participate in extracurricular activities will be denied.
4. Corporal Punishment- Only when allowed by the parent on the enrollment form and then after multiple opportunities to correct behavior and with parent acknowledgement.
5. Suspension/Expulsion-Parent will be notified to pick up the child immediately.
Students will be disciplined in accordance with Shady Grove School’s Discipline Guidelines. A complete listing of this policy may be obtained through the school office.
GUIDANCE AND COUNSELING SERVICES
Guidance and counseling services are available for every student at Shady Grove School. These services include assistance with education planning, interpretation of test scores, occupational and career information, study help, help with home, school and/or social concerns or any question that the student would like to discuss with a counselor. Students desiring to speak with a counselor should contact the administrative office. Counseling services may also be available through the Cherokee County Health Department, Cherokee Nation, W.W. Hastings Hospital, Bill Willis Community Mental Health Center, CREOKS, or Children’s Medical Center.
NO-BULLYING POLICY
Bullying, in any of its forms, to include electronic communication, will not be tolerated, and will be dealt with by administering appropriate disciplinary action which will range from conferencing with the offending student to long-term suspension.
A complete copy of this policy may be obtained through the superintendent’s office during regular school hours.
PARTICIPATION IN EXTRA-CURRICULAR ACTIVITIES
Shady Grove School offers students the opportunity to participate in many activities including various athletic programs, academic contests, band concerts, and other activities scheduled as the year progresses. The school provides personnel to supervise these activities; however, accidents, injuries, etc. may occur despite the best effort in supervision. Therefore, neither Shady Grove School nor its employees can be responsible for any charges, fees; etc. that may occur as a result of accident or injury, while the student is participating in school-sponsored events.
The Parent/Guardian may be requested to sign a disclaimer prior to the student’s participation in any event.
ELIGIBILITY REQUIREMENTS FOR

Students are urged to regard the bus as an extension of the classroom as far as conduct is concerned. Riding a school bus is a privilege. Inappropriate behavior may result in the suspension of bus riding privileges.
School buses are considered public transportation and must follow the Federal Transportation Act, therefore, if the federal government reestablishes COVID restrictions, bus riders would be required to wear a face mask while on the bus. Walkers and bicyclists should wait until buses have departed before leaving school grounds.
SCHOOL BREAKFAST & LUNCH
Students are served breakfast and lunch free, but are not required to take a food tray. Students are encouraged to take a food tray even if bringing their own meals. The cafeteria is considered an extension of the classroom and students should conduct themselves accordingly. Shady Grove School participates in the National School Lunch Program. This institution is an equal opportunity provider.
WELLNESS POLICY
Purpose:
The link between nutrition, physical activity, and learning is well documented. Healthy eating and activity patterns are essential for students to achieve their full academic potential, full physical and mental growth, and lifelong health and well-being. Healthy eating and physical activity, essential for a healthy weight, are also linked to reduced risk for many chronic diseases. Schools have a responsibility to help students learn, establish, and maintain lifelong healthy eating and activity patterns. Well-planned and effectively implemented school nutrition and fitness programs have been shown to enhance students' overall health, as well as their behavior and academic achievement in school. Staff wellness also is an integral part of a healthy school environment since school staff can be daily role models for healthy behaviors.
Goal:
All students in Shady Grove School District shall possess the knowledge and skills necessary to make nutritious food choices and enjoyable physical activity choices for a lifetime. All staff in Shady Grove School District are encouraged to model healthful eating and physical activity as a valuable part of daily life.
To meet this goal, the Shady Grove School District has adopted a school wellness policy with commitments to nutrition, nutrition education, physical activity, and other school-based activities that support student and staff wellness.
Guidelines and standards for this policy are available in the school office.

HEALTH SERVICES
Shady Grove School provides health services for all students as a part of the total education program. The chief purpose of the services is to assist students in developing and maintaining appropriate health care standards as it relates to their nutritional, social, physical, and psychological needs. Instructional and support services in the areas of nutrition, guidance and physical education will be provided and integrated into the regular classroom programs by staff members.
On a referral basis, additional student services may be provided by the Cherokee County Health Department. Various health professionals, including Public Health Nurses, Nurse Practitioners, Physicians, Nutritionists, Social Workers, Child Development Specialists, Speech/Language Pathologists, Physical and Occupational therapists and Public Health Community Workers, as well as other health care providers, may provide services to the child in a clinic or home setting.
These services are provided in order to support and promote healthy lifestyle behavior, enhance physical, intellectual and emotional growth and development, and reduce the possibility of illness and injury. It is believed that early identification of problems and the initiation of appropriate support services will reduce the likelihood of further complications or disability and will assist the student in maximizing their greatest academic potential.

Contact the Superintendent’s office for information regarding meningococcal disease, vaccine, risks, reactions, etc.
STUDENTS WITH DIABETES
Upon the School’s receipt of notification from a physician and the parent/guardian that a child is diabetic, the school will work with the student and parent to develop a Diabetes Management Plan for the student while at school or participating in extra-curricular activities. For students with continuous glucose monitoring with electronic access to glucose numbers, a school nurse, diabetes care assistant, or other school staff may download the necessary electronic applications or software to a school electronic device or their personal electronic device, in the absence of a school provided device, with written permission from the student's parent or guardian. A school nurse, diabetes care assistant, or other school staff shall not be responsible for and shall not be subject to disciplinary action for lack of any monitoring of electronic glucose numbers outside of school hours or school-sponsored activities.

The use of the internet is a privilege, not a right, and in-appropriate use will result in a cancellation of these privileges. The system administrators and teachers will deem what is appropriate use. The District complies with the “Children’s Internet Protection Act” by having filtering software and appliances in place for all network traffic. Immediate Adult supervision is also needed.
A complete copy of this policy may be obtained in the Superintendent’s office during regular school hours.

MCKINNEY-VENTO HOMELESS EDUCATION ASSISTANCE PROGRAM
August 4, 2025
The Shady Grove School District is committed to providing all students with quality educational experiences. We recognize the challenges that homeless children and youth have faced in enrolling, attending, and succeeding in school. These provisions promote greater stability for homeless children and youth and ensure that each has equal access to the same free, appropriate public education, including a public preschool education, as other children and youths. In addition, homeless students will not be separated from the mainstream school environment. Shady Grove is committed to removing barriers of homeless students’ access to academic and extracurricular activities as well as removing the stigma of homelessness.
The McKinney-Vento Homeless Assistance Act guarantees a child who qualifies as homeless the right to attend one of two schools: the school of origin or the local attendance area school. For further information on the McKinney-Vento Act, visit the National Center for Homeless Education (NCHE) website at http://nche.ed.gov or contact the toll-free HelpLine at 800-308-2145. The Oklahoma State Department of Education provides additional information and answers to frequently asked questions about McKinney-Vento Homeless Education on their website at http://www.sde.ok.gov. Please contact the District’s Homeless Liaison, Emmett Thompson, at 918-772-2511 for additional assistance.
