Welcome to Self-Wise Counseling and IFS Therapy, a counseling service site. 5. Data Retention

• Contact form messages: Deleted after inquiry is resolved unless needed for legal or clinical follow-up.

6. Do Not Sell or Share My Data (California)

We do not sell or share your personal information for advertising or commercial purposes.

7. Children's Privacy

Our services and website are not intended for children under 13. We do not knowingly collect data from minors.

8. Data Transfers

Your information may be processed in countries outside your own. We rely on appropriate legal safeguards such as the EU-U.S. Data Privacy Framework and standard contractual clauses for cross-border transfers.

9. Data Security

We use Google Sites, Google Forms, and encrypted cloud storage protected by strong authentication and access controls. No data is stored publicly or insecurely.

11. Client Intake Forms and Therapy Notes

What We Collect

If you become a client, we collect and store:

• Contact details for emergency purposes 

• Demographic information 

• Mental health history and intake responses

• Session notes and therapeutic assessments

• Medical/medication information (if relevant)

• Signed consent forms

Why We Collect It

We collect this data to:

• Provide ethical, effective counseling services

• Comply with legal and clinical obligations

• Maintain treatment records and monitor progress

Storage & Security

Client data is stored securely using:

• Encrypted cloud storage (e.g., Google Workspace with HIPAA/PDPA compliance)

• Practice management systems (if applicable)

• Password-protected devices and accounts

Only your therapist and authorized personnel under confidentiality agreements have access.

Legal Basis

We process your sensitive data based on:

• Explicit consent

• Contractual necessity (to provide therapy)

• Legal obligation (clinical recordkeeping)

Retention Period

We retain therapy records for the legally mandated period:

• EU: 7–10 years

• Thailand: 5–10 years

• US (California): At least 7 years from final session

After that, records are securely deleted or anonymized.

Your Rights as a Therapy Client

• You may request to see your records.

• You may ask for corrections or clarifications.

• In some cases, you can request deletion (subject to legal limits).

• Please submit your request in writing, and I will respond within a reasonable timeframe. There may be a fee for administrative costs associated with retrieving and providing copies. In certain circumstances allowed by law, I may deny access to your records, such as if disclosure could seriously harm your health or safety. 

Overseas Data Transfer

I will not transfer your information to overseas recipients unless I have your consent or am legally required to do so.

If you have questions about this policy or your data rights, or concerns about your privacy, please contact me in writing. I will investigate your complaint and attempt to resolve it according to my complaint-handling procedures.
