When a member of the Residence Life staff (Pro Staff, Admin, RA, HA, etc.) needs to enter a room, perform the following:
Residence Life staff are permitted to enter a room without Campus Safety unless there is a suspicion of marijuana (see marijuana policy)
When entering the room, the Residence Life staff member needs to knock 3 times and announce “Residence Life”.
The Residence Life staff member waits around 3-5 seconds and then repeats Step 1 by knocking 3 times and announcing “Residence Life”.
The Residence Life staff member then waits around 3-5 seconds and if no one comes to the door they will then knock 3 more times and announce “Residence Life Keying In”
If a student is locked out of their room at any time, they will be charged to have someone key them back into the room. The charge to be keyed back into the room is $30. The charge is the same whether it is during the day or during the evening hours.
Lockout step-by-step:
RA is contacted by Campus Safety, ResLife, or via Duty Phone
RA asks for the building/room number
Prior to arrival, RA must confirm via Symplicity or Resident Roster the resident(s) that live in that assignment
Confirm resident identity via OneCard or State ID
Informs the student that the lockout fine is $30, and ask if they wish for you to unlock it
RA unlocks the door; asks to confirm that the student has not lost their key
If the student has lost their key, please follow the Lost Key Procedure
Input the lockout charge on Symplicity
Residents (search name) >> Select resident >> Batch Options >> Create Charge >> Charge Template: Lockout Fee >> Change the Charge Term >> Create Charge
The student will be given two weeks to pay the fine, otherwise, they will receive an email reminder from the Office of Residence Life
If payment is not received by the deadline, a hold will be placed on the student's account
When a student reports a lost key to an RA, the following protocol will go into effect:
RA will explain to the student that for their key to be replaced, they must visit the Office of Residence Life between 9a-5p to report the key missing/lost
Upon arrival, a ResLife staff member will charge the student via Symplcity and notify them that their locks will need to be changed. The price is $250 per lock change.

The ResLife staff member will notify the student and all roommates when the lock change has been performed and how to pick up their keys
When a maintenance issue is observed or anytime a resident reports a maintenance issue, the following protocol will go into effect:
Either the RA who witnessed the maintenance issue or the student reporting the issue will submit a maintenance request via the following online form SPU Maintenance Request Link
Make sure to include the building and apartment/room number in the "Action Requested" space of the form
If an RA is on duty during the time of the request, they must include the maintenance issue in the RA duty log. If the RA is not on duty, they should notify their Community Director of the maintenance issue and the steps they've taken
The RA must keep their Community Director aware of any maintenance requests that are not being completed.
Purpose: To ensure students have a safe environment to live and study while complying with the Saint Peter's University residence hall policies and procedures. Residents of the room that are found in disorder, non-compliant, or otherwise uninhabitable will be given notification that corrective action is required and that a follow-up inspection will be scheduled.
Frequency: Inspections will occur 4 times a year (2 times per semester); typically during the months of September, November, February, and April. They will be facilitated by the Resident Assistants (RAs).
Inspection Primary Areas of Concentration:
Smoke detectors to ensure they have not been tampered with
Cleaning of oven, stove, and refrigerator (open the fridge)
Cleaning of bathroom, bedroom, and common areas
Excessive trash
Prohibited items list (i.e. hookah, alcohol, drug paraphernalia, etc.)
If these items are found, RAs shall call Campus Safety/Admin
Items hanging from the sprinklers
Evidence of pets
Evidence of smoking inside the building
Procedure:
Students will ONLY be notified at the beginning of the academic year of the inspections occurring in the residence halls
Only authorized personnel (RAs, CDs, and Residence Life staff or designee) will be able to enter a student's room/apartment for inspections.
The inspections will occur at the designated dates/times provided by Residence Life and must be completed within one week.
These dates and times are not to be given to residents.
Authorized staff members must conduct the standard key-in procedures if residents are not present.
During the inspection, the authorized staff person will issue a pass or fail slip to the residents of the room. If the room or apartment fails inspection, the resident(s) will be given 24 hours to become compliant before the room or apartment is re-inspected.
If a room or apartment fails inspection a second time the residents will receive notification of failure and issued a fine (if applicable).
During an inspection if resident(s) are found in violation of Residence Life Policies and Procedures, an incident report will be generated and forwarded to the Dean of Students. (See Duty & Incident Reports)
