Rackley Events App Instructions
Parent Instructions:

Log in (type in email address and create password)
Search for relevant pool (for e.g.test pool)
Use membership passcode to access relevant pool, most Membership passcodes are pre-set at pool postcode but please ask your pool reception for their passcode to ensure this is correct.
You should already have landed on the swimmer profile page, now create a swimmer profile using the “+ swimmer” function (if you can not see the “+ swimmer” icon ensure at the bottom of the screen “swimmers” is selected). Input child’s name, age, gender, and swimmer level (it is very important to input the correct level, as children are automatically nominated in the appropriate races by their swim coordinator according to their level) so if you are unsure of your child’s level ask at the front counter or swim instructor!
Now that you have set up your profile you can quickly access events on the races page or the challenge page as they are loaded by your swimming coordinator
Nominate your child by selecting nominate on the main event page and save child’s name to lock in the nomination
Note: the parent does not require putting the child in individual events as this will be done by the swim coordinator just prior to the day dependent on nominations. The learn to swim coordinator will choose races relevant to children's lesson levels. If for some reason you are unable to make the event or even need to leave the event early you can simply and instantly remove them.
Check your child’s progression through their Rackley races journey on their personal profile where all their completed events will be logged. This is found by pressing the progress icon at the bottom right of your screen!
Learn to Swim Manager instructions:
Admin Role:
Go to the swimmers page and hit the Parent/Guardian icon at the top right of your screen. Now change the default role of Parent/Guardian to Admin utilising the Admin code supplied (admin code is the membership code + 20 e.g test membership 4520 admin 4540)
From here we can access “all” (make edits, make nominations, check progress) of children registered on the app under the pool that has been logged into.
To create a Rackley Race hit the Rackley Races icon on the bottom of the screen to create a Challenge Event hit the Challenges icon at the bottom of the screen
Now hit “+ race” top right of the screen
Enter the event name
Enter the event time and date
You only need to add events at this point if you want to. The swimmers don’t nominate in individual races. The swimmers are nominated in the event as a whole. The learn to swim coordinator is responsible for creating events relative to levels and allocating those levels to the races created and then swimmers automatically get slotted into allocated events.
At this point you are able to invite another pool to your event or keep it within your own swimmers. If you have invited another pool to the event it will appear live on their swimmers profiles as it does with your own ready for them to nominate.
Your event will now be live and visible for your swimmers to nominate in!
As nominations come through they will become visible with their level within the events page. In order to see these swimmers ensure you are still on your Admin user role (If you’ve gone out of the app and back in it will default back to parent mode). Click the little blue arrow on the right hand side of the event box, this will take you to the events event list (of which we haven’t added any events to yet). Here you can also toggle across to swimmers and see all the nominated swimmers
Let’s add some events whilst in the events page you will see two option buttons at the top of screen “Duplicate” and “edit”. To add events we need to press “Edit”.
We can now make multiple changes to the meet. We need to go to Events “+event” (bottom right).
We now choose if the event will be timed or not?
Now we name our event e.g. 15m noodle race.
Now choose the level or levels that are relevant to this event.
Once all events have been entered select save
Now ensure you save all edits to the meet before leaving the edit meet page, by selecting save.
Once you have entered all events and nominations are in you can simply allocate your swimmers to the events by toggling the “Swimmer allocations” icon to the “on” position at the top of your screen.
On race day!
On pool deck the instructors will change their user role to the “race starter” role. Again this is done in the top right of the swimmers page the require passcode will be the pools membership passcode +10 (Test membership 4520 starter 4530)
Now go to your event page and select “open meet” on your chosen event.
Then choose ok on the pop up
We can now go into the meet by selecting the little blue arrow
We now need to put swimmer into their heats we can do this by selecting the “Marshall” icon on the event page.
We now have a list of swimmers we can put into heats, these swimmers are listed in order of their level
To create a heat press the “+ heat” Icon and hold down chosen swimmer and drag into the heat
Once the designated number of chosen swimmers are in the heat you can now create another heat and or go back and run the created heat.
Note: you can have multiple people on the starter role so for e.g. Marshaller creating heats, whilst a starter is starting the races created that have been created by the marshaller (Both logged into the starter role).
Starting a race is simple just move from the event into the heats page by hitting the little blue arrow. All heats created in marshalling will automatically appear within this page.
Select “Run Heat”
Select “Start” and a Beep will be heard to announce the start of the race you can simply plug your phone into a speaker for this beep to be heard by the swimmers.
Press stop and save - Note: if a swimmer did not complete the event you can simply toggle next to the swimmers name to indicate this.
Then “Finish Heat”
And repeat the process until all heats have been completed
Go back to event list page by taping the blue back arrow at the top left of screen and repeat the process for the remaining events
Once all events have been completed return to the event page and close the meet and the run event will now move over to the complete event page from the current event page.

All events can be run at the same time on separate devices with the exception of timed events! Timed events must run in order of the event list and only one timed event can be in operation at any one given time, this timed event can however be run at the same time as a non timed event though.
Timed events
Timed events are run as per the above non timed events.
At the time of creating a timed event the event creator will be asked how many lanes the event will be run on.
When the meet is opened parents will get the option to keep time with a “Keep Time '' green icon Button appearing at the bottom right of their screen.
Note: time keepers can select to keep time at any given point, meaning you can switch timekeepers at any time easily and have multiple time keepers per lane.
Once parents select to keep time they will then select a lane to lock into, please ensure you have parents allocated to all lanes required for the selected number being utilised.
Races will be marshalled and started as per normal. Ensure the children are in the correct lane selected, as this will align with the time keepers phone at the end of the lane.
Time keepers will need to press start at some point during the race and their time screen at this point will lock into the starter's phone and adjust time accurately to align with the Beep. They then just need to press stop and save at the completion of the race.
Note: the starter function can manually add a time if required for example if stop watches are being used.
