Thank you for all of the patience you have given us while we worked with ADP and PWL to sort out the "new" system and figure out how best to manage PTO (referred to as "leave" by West Lafayette).
You may now confirm your balances for PTO (vacation leave), personal time, and sick time. These should be in your ADP Profile. Review how to find your balances and request time off in this Quick Reference Guide for ADP Time Off.
If you have already entered requests or taken time off, those hours should be reflected in the balances you see.
If you have time you would like to report, please send that to pgpayroll@purdue.edu. You may not enter time for payroll periods that are past.
You may plan ahead with your manager and put your time on the calendar for the rest of the year.
Please let us know at pgpayroll@purdue.edu if there are any problems or questions related to your ADP Leave Profile (PTO, personal, or sick time).
How Will PTO Work?
Here is an overview of how the system is set up and balances will be handled when someone separates from the university:
All of your hours for PTO, personal days, and sick time will be available at the beginning of each calendar year. They are available for you to use as of January 2nd.
You may not use more time than you have available according to the accrual policy. If all of your time has been used or scheduled, the system will not allow you to enter more. That means you may have to cancel or move the PTO time you planned and already put on the calendar. Your manager can make changes or you may ask for assistance from pgpayroll@purdue.edu Your HR Business Partner is always available for questions.
ADP will accrue your PTO, according to the policy, as the calendar progresses. If you are like most of our employees, this means by the end of the year you will have accrued all of the time you had available to take in that calendar year. If you should leave PG as an employee:
Policy may grant you 20 days of vacation. You leave PG in June and have not taken any of that time. The university will owe you for the time you have accrued from Jan 1 to your departure date.
Policy may grant you 20 days of vacation. You leave PG in June, having taken all of that time. The university will deduct the amount of time you used but did not yet accrue, from your final paycheck.
Finally, we know that ADP has not yet added the bereavement leave option. It's coming. The time to grieve the loss of a loved one is still available to you.
If there are other questions related to planning your PTO, please talk with your supervisor or HR Business Partner.
We are in the last phase of change related to the HR Transition! Our first Performance Evaluation cycle in SuccessFactors is about to begin.
Some of you may have already uploaded your goals, after reviewing them with your manager. If you haven't taken the step to put them into SuccessFactors, now is the time. You may put them directly into the Performance Appraisal form. You are entering goals you already had, that were in Workday before the transition. You probably had a mid-year check in on progress against those goals, and now you are wrapping them up for this 2021-2022 year. Everyone should already have access to their Performance Appraisal Form in SuccessFactors (login with your BoilerKey).
2021-2022 Performance Evaluation Schedule
March 1 - 15: Employee Assessment
March 16 - April 8: Manager Assessment
April 11 - 20: Unit Calibrations
May 2 - 20: Individual Performance Review Meetings
The form is a bit different in several ways:
Although there are still two sections (Goals and Competencies), each is now a weighted portion of the overall performance rating.
75% for Goals
25% for Competencies
The university will apply these proportions across all Schools and Departments. Please do not attempt to edit the percentage allocation for the Goals or Competency section.
For the Goals Section, you should prioritize your goals and weight each of them. You may want to discuss the relative importance of your goals with your manager for guidance about individual goal weights.
Even though the Goals Section of the performance appraisal contributes 75% to the overall score, the total of the percentages for your goals in this section must be 100%. Examples include:
4 goals weighted at 25% each
3 goals, 1 weighted at 60% and 2 weighted at 20%
The expectation is you would have no more than 3 or 4 goals. A goal important enough to be included in the performance appraisal would not be less than 10%. Things that may be less than 10% in the grand scheme, often called "other duties as assigned," fall into the Overall Job Performance rating in the Competency Section.
There may be activities like the support of a PG Move or something that in another year would have easily fallen into the "other duties" category, but has been more important and time demanding this past year. If you have an activity like that, make it a formal goal in the Goals Section. That way, it can be given the appropriate attention and weight in your overall performance rating, rather than being valued less as a part of the Competency Section. which contributes 25% overall with its 3 or 4 competencies.
There are 3 Competencies that apply to everyone, with a fourth for Supervision if you are a manager. This section contributes to 25% of the overall performance evaluation score.

The IRS requires Purdue Global, as an employer, to report whether an employee and dependents (if applicable) had coverage in 2021. Therefore, employees receive Form 1095-C, which details whether they were offered health coverage by Purdue Global and during which months.
Employee forms were mailed on 1/31; however, the 1095-C is not required to be submitted in order to complete a tax return — taxes may be filed as normal.
Forms are now available online through the BenefitFocus member portal accessible through the GHC OneLogin page. Forms can be found under Tax Documents in the menu on the left side of the page.
Questions can be directed to Human Resources at 765-494-2222 or hr@purdue.edu.
2021 W-2s will be mailed to the employee's home of record by the January 31, 2022 deadline. Electronic versions of the 2021 W-2 Forms will not be available in Workday, SuccessFactors, or ADP.
All Purdue Global Employees have both a Purdue Global Identification Number (PGID) and a Purdue University Identification Number (PUID). You can find both your PGID and your PUID in the APL system with these instructions.
The following information is for everyone who must record their hours to be paid, and for their managers who must approve that timecard.
Employees will enter time on their first ADP timecard on December 27, 2021. It will cover the work period from December 26, 2021 to January 8, 2022. This check will be paid on January 14, 2022.
Managers must approve this timecard by noon on January 10, 2022.
First, it is important that the employee and manager have set up a Boilerkey.* A Boilerkey is required to access ADP to record hours worked or to approve them. Access the directions to set up your Boilerkey on the Purdue Global Landing Page.
Once you have your Boilerkey, scroll down to the next section on the page and find four boxes. Click the bottom right box that says: ADP Timekeeping Training Resources as shown in the screenshot below.
You will now land on a page that has the training materials you will need (highlighted in the screenshot to the right).
Employees: click the first link on your list for directions to record your time.
Supervisors: click the first link on your list for directions to approve time.
If you have questions after reviewing the directions, please contact your manager or HR at PGHR@purdueglobal.edu.
The following information is about a change to the way you will accrue and record your paid time off (PTO).
With the transition in January 2022 to ADP as our payroll system, your vacation time will be accrued in the same way and at the same rate as all full-time employees. The current practice of three weeks as a standard number of vacation days will end.
Your salary will continue to be paid according to the Letter of Engagement (LOE) you receive via the APLnext system.
What will change is that you will now record your "time off" in the ADP payroll system. There will be a record of how much time you have accrued as a FT employee and how much time has been taken. Tracking will now be part of the official payroll system. This is important if you change your FT status, because unused vacation time is paid out.
Review the directions to request PTO.
Questions or problems with Boilerkey should go to PGHR@purdueglobal.edu.
Once on the PG Landing Page with a Boilerkey, scroll down to the section showing the four boxes and click the bottom right box: ADP Timekeeping Training Resources as shown in the screenshot below.
The second bullet under Employee Resources is "Requesting Time Off" as shown in the screenshot to the right.
If you have questions about this process, please contact your Chair or HR at PGHR@purdueglobal.edu.
