PSU Managed Leaves moves to AbsenceTracker on May 18.
Step 1: Log in to AbsenceTracker and select the "My Team" tab from the top navigation.
Step 2: View your direct reports' active leave cases, pending requests, and upcoming return-to-work dates.
Step 3: Expanded Visibility (Second-Level Managers): If a department lead or second-level manager needs visibility into a specific case, email the name and Case ID number to leaves@pdx.edu.
Pro-Tip: If an employee is missing from your list entirely, it indicates a mapping error in PeopleAdmin. Please notify your HR Business Partner to trigger a data sync.
Step 1: Click the Calendar Icon on the left-hand sidebar.
Step 2: Toggle between "Monthly" and "Weekly" views to see overlapping absences.
What you see: Shaded blocks representing protected leave. This allows you to identify capacity gaps before they impact your deadlines.
PENDING: The employee has started the request; HR is awaiting paperwork.
DESIGNATED / APPROVED: The leave is legally protected. You must hold the position or provide the approved accommodation.
CLOSED: The employee has returned to full duty or the request period has ended.
A: No. AbsenceTracker is HIPAA and ADA compliant. You will see the impact (dates/hours), but the "Absence Reason" is restricted to HR Admin views.
A: Consistent with PSU policy, employees must initiate their own requests to provide legal consent. This maintains the integrity of their personnel file and protects medical confidentiality.
A: By default, only the direct supervisor in PeopleAdmin has visibility. To grant access to a second-level manager for a specific case, email leaves@pdx.edu with the manager's name, PSU ID, and the Case ID. Note: This grants access to the specific case only, not the employee's entire history.
A: Simply forward the notice to leaves@pdx.edu and we will update the routing in the system to ensure the correct supervisor has visibility.
