PSU Managed Leaves moves to AbsenceTracker on May 18.
A: We are transitioning from manual PDF forms and OnBase to a streamlined digital portal to ensure campus-wide compliance with Oregon’s evolving leave laws (OFLA/PFML). This change provides you with real-time access to your case status and allows managers to better plan for departmental coverage via the new Manager Portal.
A: No. AbsenceTracker is used to manage the protection and eligibility of your leave. You must still submit your regular PSU timesheet or leave report to your department for payroll processing as you always have.
A: This is critical for Phase 1 (May 18 – June 30).
1. The Standard (800-242-1888) remains the administrator for your PFML pay and legal job protection.
2. PSU AbsenceTracker is where PSU tracks your actual time away from work to ensure your service credit and internal benefits remain accurate.
You must contact both to ensure you are paid correctly and your time is recorded.
A: During your initial intake in AbsenceTracker, you will see a question asking if you would like to apply for DSLB. If you select "Yes," the system will automatically flag your case for review. Note: DSLB is currently available only to eligible AAUP members who have exhausted their own accrued sick leave.
A: For standard sick calls (cold, flu, etc.), follow your department’s normal call-in procedures and record the time on your PSU timesheet. AbsenceTracker is generally reserved for protected leaves (FMLA/OFLA) and accommodations.
A: You can log in using your standard PSU Single Sign-On (SSO) credentials at https://portlandstateuniversity-ss-ss.ess-absencetracker.com
A: Log into the portal and look for your active case. Click the Pencil Icon (top left of the case dashboard) to "Modify Case." You can then upload your new medical release or adjust your estimated return date.
A: Intermittent time should be reported in AbsenceTracker by Friday of each week. Important: This reporting is for your leave record and does not replace your department’s standard call-out procedures. You must still notify your supervisor or follow your unit’s specific protocol for reporting an absence (e.g., calling in before your shift starts). If you are also receiving PFML pay, remember you must also report those same hours to The Standard.
A: Please notify the Leaves Team and your supervisor immediately. You will likely be required to submit an updated medical certification or medical release to support the move to an intermittent or continuous schedule. You can initiate this change in AbsenceTracker by selecting "Modify Case" and uploading any supporting documentation provided by your physician.
A: For SEIU members, bereavement leave (up to 4 days) runs concurrently with other protected leaves. You should initiate your request in AbsenceTracker and the Leaves Team will provide specific instructions based on your union contract.
A: You will receive an automated email notification once a decision is made. You can also log into AbsenceTracker at any time to view the Departmental Calendar, which shows the status of all active leaves in your area.
