Service Hours

BETA CLUB DIGITAL SERVICE HOURS

OSMS Beta Club is moving to a fully digital system for submitting, verifying, and tracking service hours. Members will no longer need to turn in paper service-hour forms. 

TWO SUBMISSIONS ARE REQUIRED

1. The OSMS Beta Club Service Hours Form

2. The National Beta app or website.

Submitting hours in only one location will not complete the process. Students are responsible for completing both submissions. 

Step 1: Submit the OSMS Service Hours Form

Before beginning, students should have the following information before submitting service hours:

• Date of service

• Name of the organization or location

• Descriptioon of the service completed

• Number of hours served

• Supervisor's full name

• Supervisor's valid email address

The supervisor should be an adult who was present and can confirm that the service was completed. Stuents and parents should not verify a student's hours unless the parent directly supervised an approved service activity. 

To submit the form:

1. Open the Beta Club Student Portal

2. Sign in with the student's school Google account

3. Select the link to Submit Service Hours

4. Enter all requested information

5. Double-check the supervisor's email address

6. Submit the form

**A separate form should be submitted for each service activity. 

After the form is submitted, the supervisor will receive an email asking them to verify the service. The hours will appear as Pending until the supervisor responds. 

Step 2: Enter the Hours in National Beta

After submitting the OSMS form, students must also log in to the National Beta app or website and enter the same service activity and number of hours. 

The information entered in National Beta should match the information submitted through the OSMS form. 

WHEN ARE HOURS COMPLETE?

Service hours are complete only when:

• The OSMS Service Hours Form has been submitted

• The supervisor has verified the service. 

• The activity has been entered in the National Beta app or website. 

**All three requirements must be completed for the hours to count.

USING THE STUDENT PORTAL

Students can use the portal to:

• Submit new service hours

• View required service hours

• See approved hours

• Check remaining hours

• Monitor pending submissions

• Review approved or rejected activities

Students should check the portal regularly rather than waiting until the service-hour deadline. 

If hours remain pending, the student should politely contact the supervisor and ask them to complete the verification email. 

STUDENT/PARENT PORTAL INFORMATION:

• 👩‍🎓 If the email matches a Student Email on our roster, it will open the Student Portal

• 👨‍👩‍👧 If the email matches a Parent/Guardian Email on our roster, it will open the Parent Portal and lets you select which child to view (for those with more than one child).

• ❌ Access will be denied for anyone trying without a correct email on our roster. 

IMPORTANT REMINDERS

• Beta Club members must complete 20 service hours.

• The service-hour year begin July 1

• A separate submission is required for each service activity

• Enter the supervisor's email address carefully

• Do not enter the same activity more than once in either system

• Check the Student Portal regularly

• Keep a personal record of service activities until they appear as approved
