We have being managing conference apps for high level meetings since 2016.
The most renowned apps for meetings such as Cvent and Whova allow the organizers to go paperless: the participants can roam light and free from the traditional conference bag, while getting the last updated program, maps, documents, media, important security notifications and enabling the participants to ask questions, share their opinion, experiences or photographs on the social media feed in a secure, closed digital environment.
They also allow for a richer conference experience because of their integrated services: real time engagement statistics on popular sessions or topics, chat rooms, interactive Q&A, real-time polls and surveys among others.
But our value does not come solely from implementing the app features, but from our experience of very close following up of the communications among organizers and participants, tied to continuous content update.
Our services include:
Assisting the organizers with the purchase or sharing of an existing app license
The management of the conference app: App setup, notifications and content update (agenda, participants and speakers databases, documents, app sections). We develop our own tools to manage the flow of documents for instant publication of presentations, related documents, other digital media, and everything related with what happens on or behind the spotlight during the meetings.
Mass email communications to the participants to launch the app and whenever it is needed by the organizers.
Support for the participants and organizers using the app
Support the coordination of the flow information and digital media among the organizers and participants.
Being the human link between the participants and the organizers: Because we spend a fair amount of time helping the participants setting up their wifi, charging their phones and adding them to the databases we end up knowing them and following up on their needs and demands for the organizers, face to face as well as in the app messaging and social feed.
