A change has been made to the Funding & Sponsorship section of the study record. The “Eligibility Main” button can now only be selected by members of the RDNCC Eligibility team. This means that only members of that team are able to select that button against a funder, change the selection from one funder to another or delete the funder against which the button has been selected. This change applies to all study records, including commercial and devolved nation-led study records.
The Minimum Data Set for commercial study records led by devolved nations has been streamlined to remove the Feasibility Status field. The feasibility status is not relevant to commercial studies led by devolved nations so it will no longer be required to make those records live.
A new field is available in all study records led by Scotland - “NRS Approval Date”. This field records the date that a study completed its study-wide review in Scotland and will be used for reporting on study setup activities.
A fix has been released for an issue in the Non-commercial Portfolio Application which locked the study record for editing for all users
The commercial submission has been updated to remove the requirement for locations identified as part of the Site Identification service to be “approved” by RDNCC National Portfolio Managers before the Company Representative is able to view them. This change is being implemented to support the new Identifying Locations for Research Locations system for the Site Identification service.
A fix has been implemented for an intermittent issue that prevented AcoRD Specialists from accessing certain SoECAT applications in CPMS. Once the fix is in place, the permissions will be corrected retrospectively to prevent any further access issues.
The performance of the My Service Applications dashboard has been improved so that it will always display the studies and applications for all users, even when those applications contain a large amount of data.
A fix has been implemented on the Non-commercial Portfolio Applications Dashboard for National and Local Portfolio Managers to prevent applications with the status of Draft or with an inactive status in the backend from appearing on the dashboard
The Study Settings options in the study record have been updated to show only the current settings used by the RDN. Where a study record has one or more of the historical settings saved, those settings will be retained and can be edited as needed.
The Attachments tab of the Study Record has now been updated to display the submissions that are associated with the study. If a non-commercial study has a SoECAT submission or an application for RDN Support, this will now be visible on the Attachments tab in the study record. Commercial studies will display all feasibility service submissions associated with the study.
Study Support Service comms, published 10 July 2025
CPMS release 5.38 (10/06/2025) introduced an updated display of the Attachments tab in the CPMS Study Record which now shows all submissions that are associated with a study.
If a non-commercial study has started or completed an online SoECAT and/or an application for RDN Support via the Non-commercial Portfolio Application service, this is now visible in the Attachments tab. As before, if there is an IRAS submission associated with a study this is visible in the Attachments tab.

The status of the SoECAT submission or RDN Support Application will be displayed and this increased visibility enables you to provide tailored advice regarding access to RDN services.

An issue preventing NPM users from approving pending changes in the study record has been resolved
The NIHR logo in the automated emails sent from the SoECAT module and the My Service Applications dashboard has been updated to display correctly
The Non-commercial Portfolio Application service has been updated to allow National Portfolio Managers to change the status of Completed applications to In Progress where the study has previously been assessed as Not Eligible for RDN support. This new functionality will allow the RDN Eligibility Team to review the application again when amendments are made as part of an appeal to the original decision.
The Commercial Submission application questions have been updated to include new questions and guidance text related to RDN services such as the Scoping Locations for Research dashboard, the Associate Principal Investigator Scheme and the Patient Engagement in Clinical Development service.
The Part B PDF export of the Commercial Submission has also been streamlined to only show the relevant questions and answers for each service in order to improve the readability of the form.
The CPMS Study Details APIs have been updated to include five new dates to assist with reporting and portfolio management in the Local Portfolio Management Systems. The new fields are:

Updates have been made to the backend of CPMS to support the Sponsor Engagement Version 3.0 release which will occur on Wednesday 7 May 2025
An issue affecting the funding streams that could be selected by National Portfolio Managers in the CPMS study record has been fixed to ensure that the correct funders always have funding streams selected.
A fix was released to an issue that occurred between 28 April and 2 May where CPMS did not send out some automated emails. The missing emails have been identified and resent. An emergency fix was released on Friday 2 May in CPMS.
The My Service Applications Dashboard has been updated to no longer show applications for SoECAT and RDN Support that are associated with study records that have been deleted from CPMS. These records were causing confusion for users because the applications appeared to be active although they were associated with study records that no longer exist
The SoECAT dashboard for AcoRD Specialists has also been updated to no longer show SoECAT applications that are associated with study records that have been deleted from CPMS
Local Portfolio Managers are now able to edit the Lead RRDN field in study records that are in Draft for both Commercial and Non-commercial studies and also for Live Commercial study records
The Interactive Costing Tool will now allow Company Representatives, National and Local Portfolio Managers to view a read-only version of the Study Resource Review while the service has the status of In Progress. This feature should mitigate delays caused when the Company Representative is contacted with queries during the review of their submission, since they will now be able to refer to their submission in the live system
The Interactive Costing Tool will now always show the manual entry Staff Role, Time Required and/or Unit Cost boxes when a user manually enters an activity
The ICT will correctly ignore deleted activities that have no visits when a Company Representative resubmits their Study Resource Review after it was reverted
Funders with a funding stream will always allow users to search the drop down menu for the relevant funding streams
The Study Record in CPMS has been updated to reflect the transition from LCRN to RRDN

An issue causing the drop down menus in the Interactive Costing Tool to appear empty has now been fixed so that users will be able to search the list of activities as normal
An issue preventing users from downloading the Funder Export of their SoECAT application due to duplicate tab names in Microsoft Excel has been corrected by preventing users from using the name “Standard of Care” for a Per-Participant Set

Security upgrades including updating client libraries and session expiration functionality
The commercial submission has been updated to support RDN Transition: Text on the agreement page and attachments tab has been updated to reflect the new organisation; and functionality has been updated to show linked RRDNs when adding CIs and sites.
The Non-commercial Portfolio Application has been updated to support RDN Transition: The NPA dashboard has been updated to display RRDN in the table and filters (LCRN will continue to be displayed where no RRDN has been associated with the submission); the read only view of the NPA has been updated to enable RRDN to be displayed where recorded; and text on the submitted screen has been updated to reflect new structures.
The IRAS Submission tab (visible to NPM users only) has been updated to allow the RRDN associated with new submissions to be displayed. However, RRDNs will not appear in the list until HRA releases an update to the standard area of IRAS that allows users to select an RRDN when making a submission. This is expected to be from 5 February 2025.
The CPMS GetStudies and GetStudyID APIs have been updated to support the RRDN transition. The following new data items are now included: Lead RRDN, Network Support Withdrawn and Withdrawn date, Study managed by CRO and CRO organisation.
An update has been made to the SoECAT to remove On Hold information when the SoECAT is reverted, amended and re-authorised to improve reporting on the triage service timeline.
Fix to ensure that when data from IRAS triggers an update of the study status to “In Setup, Approval Received”, the study record ‘Modified Date’ is also updated. This ensures any systems (mainly LPMSs and NIHR Learn) that use CPMS study data will be kept up to date.
Fix to ensure all relevant answers (Q13, 7a, 7c) are copied from a previous commercial submission to subsequent ones so that users don’t have to re-answer questions.
Fix to prevent SoECAT On Hold comments from being deleted whilst a SoECAT remains in the On Hold status. CRNCC-2439 PRB0040440 - On Hold comment being deleted from SoECAT
The Lead Local Portfolio Manager (LPM) permissions in CPMS have now been updated to use RRDNs instead of LCRNs. All LPM users have been assigned to an RRDN in CPMS in this release. Following the addition of the Lead RRDN to active study records in the previous release, the Lead LPM permissions will now be granted on the basis of the RRDN that an LPM is assigned to and the Lead RRDN for a study.
The Non-commercial Portfolio Application will now ask applicants for their Lead RRDN instead of Lead LCRN.
The Lead RRDN will be copied to the study record when the application is completed and deemed eligible.
The Lead RRDN will now be copied into correspondence regarding NPA applications for awareness.
Users will also be able to select RRDNs as stand-ins for primary care sites.
The study settings are now updated to show the new RDN study settings and to remove the retired settings
The CPMS Study Record has been updated to remove some references to LCRNs and replace them with RRDNs:
The banner at the top of the study record now shows the Lead RRDN for England-led studies
The Sites table on the Participating Organisations tab has been updated to show “RRDN” in the table header and the search boxes for adding sites

The retired study settings are still visible due to a technical issue - Research Delivery staff completing this question are advised to only select one of the first four options in the drop down menu
An issue preventing National Portfolio Managers from deleting study statuses is now resolved and NPMs can delete study statuses as normal
The previous RTT calculation in CPMS being used to provide updates to the Sponsor Engagement Tool, did not take into consideration whether the study had already met its recruitment target. When the study's planned closure date is in the past, it was possible that the calculation could return an RTT concern - displayed in the Sponsor Engagement Tool - even if the recruitment target had been met.
Sites in CPMS will be updated across the system to show relationships to RRDNs instead of LCRNs
The SoECAT application has been updated to allow users to select an RRDN as the Authorising Organisation and the send emails to the RRDN to alert AcoRD Specialists in the region
On re-submitting a Reverted SoECAT, Study Representatives will be prompted to select an RRDN instead of an LCRN as the Authorising Organisation to make sure requests to review SoECATs going forward are no longer associated with LCRNs
The SoECAT dashboard for AcoRD Specialists has been updated to allow filtering by Lead RRDN
The headings on the tables in the My Services Dashboard will be updated show “Lead Network Health Board” for SoECAT applications and “Lead Network” for Non-commercial Portfolio Applications instead of “Lead LCRN”
The Interactive Costing Tool dashboard has been updated to remove references to LCRNs and to update hyperlinks to the new NIHR website
National Portfolio Manager users will now be able to update the UK Target field of non-commercial Study Records. Previously, the UK Target was a calculated field showing the sum of the targets for the four UK nations.
Lead LPM users will be able to update the UK Target in live non-commercial records
New functionality released into the Sponsor Engagement application today will allow Sponsors to update specific data items (study status, key milestones and UK target) directly in CPMS through a new data linkage. This new data linkage will support the increased quality of the data held by RDN about the studies on the portfolio by allowing Sponsor to provide updated data and feeding that through to the RDN portfolio monitoring system (CPMS).
A new study note category will be implemented in the study record called "Lead RRDN note", this will replace the old "Lead LCRN note". All notes with the old category "Lead LCRN note" will still be available to view in CPMS, however new notes will need to be created with the "Lead RRDN note" category.
An issue in the Non-commercial Portfolio Application that allowed applicants to submit their application without a Secondary Outcome Timepoint has been fixed so that all mandatory data items will be included in the applications
A new field is now available in the CPMS study record to allow users to record the name of the Lead Regional Research Delivery Network (RRDN) for the study
The commercial submission has been streamlined and simplified to improve the Company Representative's experience when completing the form and to provide clearer information about a study to potential research locations.
Backend changes in CPMS will be released to support the Phase 2 development in the Sponsor Engagement tool, due for release next month
An issue with the SoECAT module, where the data appearing on screen was showing differently in the Funder Export has been corrected
New functionality that will enable an NPM or Lead LPM to edit the short and/or full study title of a CPMS study record, so that they can more effectively keep the study record up to date.
Updates to the commercial submission to allow multiple parent conditions (two or three) where the parent question is the research category. This is part of ongoing work to streamline the commercial submission form. This update will improve the Company Representative's experience when filling in the form, and improve the intelligence gathered about studies to better support the identification of research locations.
When a Non-commercial Portfolio Application is reverted back to the applicant to edit, an email will now be automatically sent out from CPMS to the applicant. The email will include a comment from the RDN Eligibility team to explain what actions the applicant needs to take to resubmit the application for review.
In the SoECAT application, the Scottish Special Health Board “NHS National Waiting Times Centre Board” has been added to the list of lead networks, to facilitate the assignment of the correct AcoRD Specialist in Scotland.
When CPMS receives an update from HRA to indicate that a study has received approval, the study record will now be sent to NIHR Learn for the Associate PI Scheme in a timely manner
In the SoECAT application, a fix has been implemented to prevent the accidental creation of duplicate Standard of Care sets. The duplicate sets caused the Funder Export to fail, the export issue should be resolved by preventing duplicates from being created.
Data required to audit the study record is now being recorded correctly to facilitate monitoring of business critical data fields
The Portfolio Eligibility Team will now be able to change the status of a Non-commercial Portfolio Application that was marked as “Abandoned” to “In Progress” when this is required. An email will be sent to the study team to inform them that the application is now progressing through the eligibility review process again.
The commercial feasibility submission is now updated to streamline the questions required to request each service. The aim of this change is to improve study startup and initiation by removing questions that may be duplicated or re-used elsewhere in the application, or may not be appropriate to ask at the point in the time of the submission.
The commercial feasibility submission is now updated to remove duplicated questions about the study protocol. The protocol date and version are now required fields as part of uploading the document to the submission.
The “Submission For : New Study” page of the commercial submission has been updated to clarify which fields are required to proceed to the commercial submission questions. The validation error messages have been updated and clarified and the contact information for the RDNCC Industry Team displayed on the page has been updated.
When an attachment upload fails in the Non-commercial Portfolio Application area of CPMS, a warning message will be displayed to users if the attachment fails to upload successfully.
When Company Representatives create a new submission for a new study from the My Commercial Submissions area of CPMS, they will now be taken into the same workflow as the “Apply for a service for a new study” button on the home page. This will ensure that they are able to access the correct set of services depending on the funding of their new study.
Triage Officers can now mark a SoECAT application as being “On Hold” when that application is waiting on information from external agencies. The Triage Officer can leave a comment related to the “On Hold” flag and this information can be reported on as part of the SLAs for the SoECAT service
Access to the My Commercial Submissions area of CPMS has been updated to align with the NCVR pilot project for ATIMP and Early Phase Trials
Special characters, including angle brackets, will now save correctly in the inclusion and exclusion criteria fields of the commercial feasibility submission
In the Non-commercial Portfolio Application, when Study Coordinators select “Not Applicable” in answer to the question about applying for ethical approval, the text box allowing them to enter details of why their study is not applying for approval will now appear
In the commercial feasibility submission, the visibility of comments against sites in the Site Intelligence service outputs has been improved so that the comments are available to users at the right point in the service
The dashboard used by the National Portfolio Managers to deliver the commercial feasibility services has been updated to improve the efficiency of the team and remove manual processes for managing workload
The proposed Excess Treatment Costs Per-Participant Value will now be stored for all SoECAT applications to allow the Study Startup team to monitor high-cost studies
A new footer has been added to all pages of CPMS with links to the CPMS User Terms & Conditions, Privacy Policy, Accessibility Statement, feedback form and release notes
Company Representatives will now be alerted when the Interactive Costing Tool is unable to produce the Excel export due to a missing Per-Participant Arm, visit or activity

Transition from Clinical Research Network to Research Delivery Network
Text on the website of CPMS that previously referred to the “Clinical Research Network” or “CRN” has been replaced with “Research Delivery Network” and “RDN”, respectively
Text referring to “Local Clinical Research Network” or “LCRN” will remain in place until October 2024 when the RRDN transition will occur
A fix has been delivered to improve system performance where a user account had study roles on more than 500 study records
When users are mistakenly given both the Study Resource Reviewer and Site Representative role, they will be able to access the areas of CPMS required for both roles
Study Resource Reviewers will only be able to see In Progress submission in the Commercial Study Submissions area of CPMS and will not be able to access the My Commercial Submissions, which is reserved for Company Representatives
A fix has been delivered to prevent the Non-commercial Portfolio Application from creating duplicate submissions
Changes to CPMS note types will be implemented shortly to support changes arising from the Springboard Transformation Programme, specifically, close out of the CRN SSS Performance Monitoring SOP and phase in of interim ways of working (to be officially launched in April 2024), ahead of the introduction of the new Study Performance Service later in 2024. We are removing CPMS note types linked to the CRN SSS Performance Monitoring SOP and replacing them with notes that can be used in the interim.

This note type is to capture the name and email address for the main NIHR CRN network contact (individual) providing the (on request) study performance service during this interim period

The site table on the Participating Organisations tab of the Study Record has been improved:
The default view of the table has been updated to show the fields that are most important to users of CPMS, including Network Supported and Final Site
Clicking on a header in the table will now sort the table A-Z or Z-A in both View mode and Edit mode for all columns
The search box (above the site table on the right hand side), will now return results by site name in both View mode and Edit mode
The Non-commercial Portfolio Application form has been improved to make it easier to view and complete the application form by improving the spacing of the questions in the form and better utilising of onscreen space
The commercial submission form has been improved to alert Company Representatives when a protocol or Schedule of Events is required to complete their submission. This improvement will reduce the likelihood that a submission needs to be reverted and thereby reduce delays in delivering feasibility services
The commercial submission view for the Company Representative has been streamlined to remove elements on screen that served no purpose
The “New SoECAT” button will always appear for studies on the My Service Applications dashboard so that users can create a SoECAT for any non-commercial study
A fix is now in place to allow users to record multiple secondary specialties on study records
A fix to the Capacity & Capability dates on the Design tab of the study record will ensure that dates are saved and validated in the correct format (DD/MM/YYYY)
When CPMS receives an update from HRA to indicate that a study has received approval, the study record will now be sent to NIHR Learn for the Associate PI Scheme in a timely manner

Standardising the reasons will allow the team to analyse the Feasibility service and identify areas for improvement.

Users will no longer be able to enter an Actual Closure Date when the study status is Open To Recruitment.
When the IRAS submission feed updates the study status to “In Setup, Approval Received” the study record will be prompted to appear in the GetStudies API as an updated record.
All user accounts are now available to add as study contacts in the Manage Study Contacts menu in the My Service Applications dashboard. (Previously, only user accounts that had logged into CPMS at least once were available to add as contacts.)
CPMS will no longer automatically open a new browser tab when users navigate to different parts of the application e.g. from the Home page to the Studies list
Users can still right-click to open a new tab if they wish, but the default now allows users to work in the same browser tab.
This should alleviate some of the issues users have been experiencing when CPMS thinks users have been inactive and ends their session.
A new Setup & Closedown activity type of General Procedure has been created to allow previously unit based Departmental activities to be calculated more accurately according to staff role(s) and time required for the specific study in question.
Additional itemised unscheduled activity costs have been removed from iCT study arms with a new Unscheduled Activities section created. This means users only need to enter additional itemised costs once across the whole study, rather than in individual arms, removing duplication of work. This sits in line with the All Other Fees section of the Financial Arrangements Appendix of the updated HRA UK model agreements.
Users retain the ability to move scheduled activities from the All Participants and Some Participants tables in the study arms into the Unscheduled Activities section. Users are also able to move activities from the Unscheduled Activities section back into the All Participants and Some Participants table of one or multiple study arms in one action.
The study level iCT arm summary calculations now provide an estimated total price of running the study at UK sites from draft status onwards. Overheads (indirect costs and capacity building) and an average research Market Forces Factor (MFF) value are used to calculate the estimates. This improves transparency and supports budget setting.
The Financial Appendix has been renamed as the Finance Schedule in line with changes to the UK model agreements. The Finance Schedule wording has been updated and this document can be used to populate the Financial Arrangements Appendix of the model agreements.
The Study Resources guidance text within the commercial submission has been updated to reflect changes to the HRA mCTA and advises users on what should no longer be included in the iCT.

To support ongoing work with the NIHR DDaT office, updates have been made to standardise the IRAS ID validation rules across CPMS. The following rules are now in place:
When creating a new non-commercial record for a SoECAT or Non-commercial Portfolio Application (public users) an IRAS ID is mandatory and must now be of five to seven numeric characters with no spaces.
When manually creating a new study record (NPMs only) an IRAS ID is optional but if provided must be of five to seven numeric characters with no spaces.
When editing the IRAS ID in an existing study record (NPMs only) the field is optional, but if populated must be a numeric value of up to seven characters with no spaces (this is to accommodate older studies with IRAS ID of less than five characters)
No changes have been made to commercial submissions; the IRAS ID field remains optional and can be populated with any numeric value.
A ‘Funding Status’ data field has been added to the ‘Funding and Sponsorship’ section of the Eligibility tab in the study record. It will be used to indicate the availability of funding for research costs for the non-commercial study as provided as part of the application for CRN support and/ or by the study sponsor.
A SoECAT application can only be authorised when a cost attribution is available for all activities and visits. When the cost attribution “Unknown” is present, the application cannot be authorised.
The banners in the SoECAT application have been updated to display more specific information to each user based on the status of the application
New functionality is being released to support a new digital link that will enable the NIHR CC to share selected funding data (via REALMs) with the CRN to support the eligibility review process. Full connectivity will not be enabled until April. Changes have also been made to the Non-commercial Portfolio Application service so researchers will not need to provide funding information, if this has been supplied via the digital link. This work has been led by the NIHR Digital, Data and Technology Office Interoperability workstream and further details will be communicated in due course.

In preparation for CPMS release 5, a final round of end-to-end user acceptance testing will take place over two weeks, commencing 9 February. User acceptance testing is a vital part of the development process. It’s when ‘real-life’ users, for whom the system is being developed, try out the functionality and provide feedback on whether or not it meets their needs. User feedback obtained this way feeds back into development to ensure the final product is fit for purpose.

Coming soon: CPMS release 5 - a new look, and a new service integration module and online SoECAT 28/01/2022
In March 2022, CPMS release 5 will deliver a new-look homepage, integrated study team dashboard and a new ‘service integration module’ that will pave the way for CPMS to offer a single place for users to access CRN services. The services that will be accessible from here initially include the new online SoECAT, and the Non-commercial Portfolio Application service. The vision is for our commercial services to be integrated into this new user-friendly gateway in the future as well.
The new online SoECAT will be rolled out in a phased manner with funders being approached in stages to ensure that neither the system nor users are overburdened by engagement of the new online tool. Grant funders will notify applicants directly if they expect to receive exports from the new online service within their guidance documentation and there is no requirement to complete the online SoECAT unless the applicants themselves are told to do so.
Mandatory IRAS ID
With CPMS release 5, an IRAS ID will become mandatory for all studies requesting CRN services through the integration module. Across NIHR and other research system stakeholders (e.g. MHRA and HRA), the IRAS ID will now be used as the common study identifier. This vital tool will enable traceability across a whole study lifecycle - from funding through to delivery and dissemination. It will enable interoperability/data sharing with organisations across the research landscape, to streamline services for users. Further communication and guidance will be published in due course.
User acceptance testing: opportunity to be involved

Several changes have been made to the Research Activity Confirmation screen to improve usability:
DMND0006044 - Filters on the Study Site and Detailed View will now be visible by default so that they are immediately available without having to select the "Show filters" button first. The show and Hide filters functionality is still available if needed.
DMND0006043 - A new filter has been added to "Hide lines with zero participants" to make it easier to find uploaded data.
DMND0006042 - in the Detailed View, the column for "Parent Organisation" is now displayed by default so that site/parent relationships are clearer. The functionality to show and hide different columns in the display is still available, just the default setting has changed.
DMND0005989 - the hyperlink to the Research Activity Confirmation Guidance now opens NIHR Learn in a new browser tab. You may have to login to NIHR Learn to proceed to the guidance but the CPMS confirmation page will also remain open after selecting the link.
The new release in CPMS includes some changes to the data flows between CPMS and LPMS in two areas: study details data and, after research activity data has been uploaded, messages sent between the systems about the data's confirmation status.
Study details - this will have minimal immediate impact as the changes are now only being released in CPMS. The LPMS providers need to undertake some work to consume some or all of the new data before this will become evident. The changes being made to the data feed include:

Eligibility status: The study's eligibility status will cease to be a single value (the status for English studies) and will now be provided to indicate eligibility in each of the four UK nations individually , this will enable studies in different nations to be managed separately. This is a mandatory change that all LPMS providers need to apply, the target date for implementation is 1 March 2022.

There have been a steady number of cases where this status value has failed to send from CPMS to LPMS which has caused issues with LPMS workflow and prevented data from completing the confirmation process after upload. The problem was complicated as there were three different contributing causes but these have now been resolved and the update will allow the correct status information to flow into the LPMS.
The correction will potentially impact data going back to June 2021 so there will be a backlog of research activity that will need to be reviewed, especially that which was identified as ""not accurate"" in CPMS.

Non-commercial Portfolio Application service now available to studies that do not require HRA Approval: A number of small changes have been made to the Non-commercial Portfolio Application form to support opening up of this service to studies that do not require HRA Approval, as previously communicated, these studies will no longer need to submit a manual R2 application.
From 10 November, non-commercial public health and social care studies that do not require HRA approval should apply for CRN support via the CPMS Non-commercial Portfolio Application service. Please ensure you are familiar with the new service.

From 10 November, commercial companies completing the commercial submissions form for the NIHR site identification service will be able to specifically indicate whether they wish to approach the NIHR national Patient Recruitment Centres to be participating sites in a research study.

Visual inclusion of overhead values used for calculations in iCT - Previously the multipliers in iCT (Indirect Cost, Capacity Building and Market Forces Factor) were hidden in the background calculation. This update enables both the Sponsor and the Site to be able to see the percentages or values used in the calculations. These will appear at the top of the relevant calculation columns within iCT.
Functionality to allow NPMs to delete study statuses: From 10 November users with an NPM role will be able to delete study statuses. Therefore colleagues and customers wishing to request a change to this field no longer need to contact Service Desk, rather they should contact the CRNCC Research Delivery Team at the relevant study mailbox: crncc.portfolioa@nihr.ac.uk, crncc.portfoliob@nihr.ac.uk, or crncc.support@nihr.ac.uk

PRB0041575: iCT - Download Discrepancy
Issue on iCT organisation screen, when exporting word document the was missing totals for "Some participants". After code review, the totals were tallied for "All Participants" so this has been updated to check for both All and Some participants. Feedback from Phill Good, there is a section for other costs which the "Some Participants" should appear in.
PRB0041592: iCT - When deleting a visit occurrence within a deleted visit in the site level costing, total costs for the visit are increasing.
At the point at which the indirect costs and capacity building costs were calculating the total occurrences it was filtering out deleted occurrences/activity visits but they needed to also exclude occurrences that weren't deleted but were in a deleted visit
Database script ran to resolve issues raised as part of PRB0041591 regarding LPMS RA data not returning after the IDG change. As a workaround a script will update any user-ids retrospectively in the table to correct the email address.

After this time LPM edits of CPMS study records can continue as normal and the sheet which was set up as a workaround will be retired. Any studies which have been unintentionally locked as a result of this defect will be reviewed to enable editing.
We’re aware that in some cases the portfolio qualification date has been set to null for studies that have been impacted by this defect and are working to restore these values as soon as possible. Following deployment, if you identify any study notes which have not been added correctly, it would be much appreciated if you could please add them to the study record. If you’ve held off adding Managed Recovery notes to the study record or the sheet, please add them at your earliest convenience post-deployment.
PRB0041567 The change to the eligibility tab to restrict access to edit to NPM is likely to have caused the issue. This may have restricted LPMs from saving the data, instead saving data as blanks on fields that were already populated.
The problem caused by the change has been resolved by its removal but the original change requirement is now outstanding - also note the similarity with PRB0041553 LPM makes a change in CPMS should not require NPM approval

Some studies that are either old, open for a long time and still recruiting, or recent Urgent Public Health (UPH) studies that have very high participant recruitment due to Covid, are experiencing slow load times when opening the study. The cause is populating the “Recruitment Summary” field on the Design tab, for both view and edit mode, because a query is reading all the recruitment data to create a summary from data in normalised tables; creating too many lookups in one go.
Studies with an overall recruitment data count higher than 50k, start to get slower when opening to the point users will notice. As of Feb. 2021, only 5 studies have more than 50k participants. (CPMS ID: 14152,8963,15084,45621,45822).
PRB0041443 Unable to save more than one Principle Investigator (PI) at a time in the "Investigator Name" fields in the site table on the participation organisations tab
If you enter more than one PI name on the Participant Organisations tab before saving, the PI name entered moves to the wrong site.
Affects user experience as we have to re-enter these when they are wrong; and to enter each PI one by one and save to avoid it.

PRB0041527 Special characters blocking Excel export in iCT
As part of the interactive Costing Tool / Study Resource Review, Costing Templates won't export to Excel when you click on 'Export to Excel' in the commercial submission when the worksheets in the Excel document contain any of the following characters: :\\/?*[]"}" in the tab names.
The validation needs to be on the upload and needs to prevent spreadsheets that do contain these characters in the tab names from being uploaded

Patch releases are communicated to CPMS user groups but public users are unaware of impending server downtime and could lose data. The banner will provide a warning reminder that is visible to all users and which can be activated for all future patch releases.

PRB0041544 - manually created studies incorrectly set as Pre-Submission instead of Draft. Prevents study from uploading study data
Since the R4.0.5 patch released on 13 Jan, study records manually created by the PET team/RDD have a record status of Pre-Submission instead of Draft - MDS incomplete. The outcome is that the study cannot be moved out of Pre-Submission, which means the record cannot be made Live, and then Research Activity cannot be uploaded. Impacts study records manually created by the PET team, approx 15 studies per month including UPH and Devolved Admin led studies which are created in this way.
21/01/2021 workaround: a script runs every 5 mins to change incorrect pre-submission to Draft. Problem to be downgraded from P2 to P3 as a result but definitive fix still required
Deferred again from 02 12 2020 due to issues with automation testing: resolved as ‘timing issues causing tests to fail on overrun’ and fixed by extending test timeout
Deferred from 18/11/2020 while PRB0041537 was under investigation / being resolved as a higher priority.

This group of problem tickets were collectively related to the LPMS start date and associated issues allowing incorrect data into CPMS (the LPMS start date, on the Design tab of the study record, was previously automatically set as 01/04/2019 as soon as the record was created, see below)
They should stop some incorrect data being uploaded and avoid confusion by the user - specifically when the date of the original opening to recruitment is later than 01/04/2019. For all new studies this date will now be null and only set to when the study first opens to recruitment or when the method of recording recruitment changes to LPMS - whichever is the later.
Note, these fixes prevent incorrect dates being applied for LPMS Start in the future, they do not change any dates that have already been created in the database and a script will be required to identify where these are and to modify them - follow-up action required to modify database.

For existing studies there is work ongoing to set the LPMS start date to the latest date of 01/04/2019, original date study opened to recruitment or date upload method changed to LPMS.
PRB0041482 - LPMS upload study allows manual uploads

The selector on the study site table on the design tab there is a placeholder for Site ID and Study Trust ID, but these do not pull through to the table, even though all other selections can be done. Business impact: it is impossible for users to tell sites with the same name apart in this table; leads to incorrect reporting. Current workaround: check ODP next day to see if the data is showing against the correct site.

PRB0041493 Study Submission load error appeared to be fixed by PRB0041521 but that was likely just an artefact of the elevated permissions.
This fix has required a re-work of PRB0041521 to ensure permissions are only applied at the expected levels and Company reps are not able to edit/delete their, or any other, study records. PRB0041493 now believed to be an issue with writing data about users gaining iCT Viewer role into a database permissions table; this also to be resolved.

The NIHR CRN has been working with the HRA and MHRA to ensure business processes are aligned with the Combined Ways of Working (CWOW) pilot.
Changes made to the IRAS system, to support CWoW, mean that non-commercial Clinical Trials of Investigational Medicinal Products (CTIMP) studies, progressing through the CWoW pilot, are no longer received directly into CPMS for consideration.
The CRN has therefore developed a new non-commercial study application module in CPMS, through which non-commercial study teams can apply for CRN support. The new application module will go live as part of CPMS release 4, scheduled for Tuesday 11 August 2020.
CPMS release 4 will introduce an updated homepage, with a new access point for studies wishing to apply for CRN support. This new access point should only be used by companies to access the usual commercial submission area, and by English-led, non-commercial CTIMP studies that are participating in the CWoW pilot. A temporary splash screen will be displayed to relevant users at login to inform them of this change and an infographic detailing the impact of release 4 on commercial users will be distributed in due course.
The new non-commercial study application module functions in a similar way to commercial submissions where applications for NIHR CRN support are made directly to the CRN via CPMS and offers a number of benefits: Investigators will supply a tailored set of data that will enable eligibility to be assessed, with fewer queries raised, and study records to be populated automatically. Data supplied will be visible across the CRN and devolved administrations.
The new module should only be used by English-led CTIMPS that are being processed through the CWoW pilot and replaces the existing manual email based application process that has been in use since March. All other non-commercial studies should continue to apply for CRN support in the usual way, either via IRAS or, if an IRAS submission is not required, by liaising with their local CRN. Roll out of the new module to further study types will occur in due course and in line with HRA/MHRA expansion of the CWOW pilot.
Guidance outlining the changes and how to use the new functionality is linked in this post and will be added to NIHR Learn shortly. There are two documents, one for ‘public users’ (study teams and commercial representatives) and one for national and local portfolio managers (NPM/LPMs). The latter is issued as a working document.

PRB0041269 issue relating to the Excess Treatment Cost drop down functionality has been released into live successfully tonight.
When CPMS R3 was deployed and research activity data came in from the LPMS providers it was identified that when the API sends multiple RA updates associated with the same study, for studies where the status was 'Open to recruitment' the audit table records multiple 'update to Open with recruitment' lines. This was quickly identified by the CRN CC BI team who developed a workaround to enable ODP reporting. A fix to this will be deployed this evening.

1. Preventing duplicate sites
After a site has been copied across from the Site Intelligence table in the feasibility submission into the study record, the copy icon should disappear so that you cannot copy across multiple versions of the site. However, it was identified that although the icon disappears initially, if you refresh the page the icon reappears and allows multiple duplicates of the site to be sent across to the study record. Even though the system shows you a pop up to say it hasn't been copied. Prior to this patch being deployed PA and the CRN CC have been working together to review duplicate study sites on a daily basis and ensure they are deleted as soon as they are identified.
2. Nullified Roles being changed to Terminated when Organisation is terminated
When an organisation is Terminated in the Reference and Terminology Service (RTS) , all of its roles are Terminated, including any that had previously been Nullified. This contradicts the requirement that Terminated and Nullified roles can't be changed. Only active roles should be terminated when an organisation is Terminated. This impacts reporting, for example on CRO activity and therefore a fix is being implemented.
3. Inactive specialities
Those of you who were involved in User Acceptance Testing for 2.5 may remember this as story 202 where new functionality was delivered which enabled us to mark Organisations, Roles and Note Types as inactive which resulted in these types no longer appearing as an option for selection but still showing against records where it was selected pre deactivation. This release will deliver the same functionality for Specialties and Sub-Specialties. This will enable us to produce accurate and efficient reporting.
We will be deploying a batch of problem fixes to the Reference and Terminology Service (RTS). Whilst this is happening, CPMS will be offline and unavailable. This work is planned to start at 7am and CPMS should be back on line by 10am.

HRCS Key Data Issue
Following the deployment of CPMS Release 2.5 it was identified that there was an issue linked to the new HRCS Health Category functionality. In summary, when changes are made to a CPMS study record by an LPM or other role (outwith NPM) which ordinarily would not require further NPM approval (e.g. LPMs reporting no new research activity or leaving a study note) it now causes the HRCS codes to be arranged into alphabetical order within the ‘Identifier and Status’ tab.
This then counts as a change to the Minimum Data Set (MDS) within the record, which locks the record and is flagged to an NPM for approval. This is therefore currently resulting in an increased number of changes pending approval for the national Research Delivery team to review and work through. The team are aware of this, and will work through them as part of their normal approval processes.
Records that only have one HRCS designation, or in which the HRCS designations are already in alphabetical order, are not affected.
Unlocking the Current Link between Health research categories (HRCS) and International Classification of diseases (ICD) data fields in CPMS. This will enable us to more accurately record both of these classifications of disease in CPMS. Having the right ICD code will help us in understanding the incidence and prevalence of diseases which will be hugely beneficial in identifying gaps in research.
In CPMS 2.5 we have delivered a number of small changes, requested by CPMS users, to improve their use of the system and better support our business processes and reporting requirements
Improvements to the Capacity and Capability API. The Capacity and Capability API (automated data exchange) between LPMS and CPMS has been Live since October 2017. In CPMS 2.5 we have delivered a number of changes which will improve the processing of this API and fit better with our business processes.
Release 2.5 also includes a new Application Programming Interface (API) which will send research sites from our Local Portfolio Management Systems to the Central Portfolio Management System: a significant step towards the realisation of the Integrated Research Intelligence System and great preparation for Release 3.0 which will deliver the Research Activity API between LPMS and CPMS.
Improvements to the way we provide Research Terminology Service data to IRAS and delivery of a number of small changes, requested by CPMS users, to improve their use of the system and better support our business processes and reporting requirements
The API related changes developed as part of CPMS 2.5 require development and testing by the LPMS Providers before the full business benefit can be realised.
The CPMS delivery team have been working with the LPMS Providers throughout the CPMS development phase sharing documentation after each sprint. Following CPMS 2.5 go-live LPMS Providers will commence their development phase. The CPMS delivery team is meeting with the LPMS Providers 2 weeks after CPMS 2.5 go-live to understand their individual plans for development and testing. End to end testing will then be completed to ensure the APIs work as expected before go-live. Further information on these timelines will be shared via the CPMS Community and CRN Connect in the coming weeks.
During the development of CPMS 2.5 we came across a defect in CPMS Live which is enabling duplicate sites to be created in CPMS. The fix for this defect will be deployed as a ‘patch’. This ‘patch’ will also include a piece of functionality developed as part of CPMS 2.5 that will link GP surgery sites to the patent organisation of the GP Practice they belong to.
Enabling the National Portfolio Manager (NPM) role in CPMS for either England, Scotland, Wales or Northern Ireland to delete and reinstate a duplicate record. In preparation for the annual datacut, the Coordinating Centre ensured duplicate study records affecting the datacut were deleted. However, we are aware a number of duplicates remain in the system. Information about review of these duplicates, as well as how to bring any duplicate records not on the list to the attention of a CPMS NPM can be found here.
The CRN CC Business Intelligence team will also develop an ODP App showing which duplicate CPMS records have been deleted to support local and national reporting.
CPMS NPM users who are deleting a site will be able to have visibility of site details when deleting a duplicate site. This will give users more confidence they are deleting the correct site and will reduce checking time.
Incorporated in to this release was enhanced functionality for Capacity and Capability, a means by which to identify Biosimilar studies more effectively and the development of functionality the removed the need to keep an offline Funders Database
This new release includes 7 changes and various fixes to existing problems. Included in this release is the prerequisite technology that will very soon allow our LPMS providers to share data automatically, we'll keep you posted as work progresses on this work.

Incorporated functionality for interfacing with IRAS and the LPMS Providers (all APIs were built for the IRAS and PAF forms, Get Study, Capacity and Capability and Research Activity). This release includes the following new areas of functionality.
IRAS integration :
CPMS will now receive PAF and IRAS submissions directly from IRAS. PAF forms are received immediately on submission by the investigator. IRAS forms are received following review by the HRA to confirm the submission is valid.
Both these events (receipt of a PAF, or receipt of an IRAS submission) will result in the creation of a new study record, populated with the IRAS ID, Study title and Acronym as present in the IRAS/PAF submission. These newly created studies WILL NOT yet have been assessed for eligibility for network support. This is in contrast to previous practice, where studies were only initialised onto the Portfolio / CPMS once they had been deemed eligible.
Key features of IRAS integration :
View of PAF submissions for LCRNs (new table available in the side column) - this can be filtered by lead LCRN (as indicated by the investigator). The full PAF can be accessed as a PDF, from this table.
View of new IRAS submission information from the associated study record (link in attachments tab of the study record). This view includes the Part C (Trust) information.
Automatic copy of the Trusts included in Part C of the IRAS form (and many other data items in the IRAS form) triggered by the central portfolio team after confirmation of study eligibility. This will support population of the site list in CPMS.
Important points to remember :
Studies in CPMS now include studies where an eligibility decision has not yet been made. This allows earlier visibility of studies, but requires that network staff be aware of the eligibility status of the study in CPMS. Further information on how the eligibility status is displayed in CPMS is available in this document.
The PAF and IRAS submissions received only include those submitted after this functionality was enabled in CPMS, and not historical information.
LPMS functionality :
CPMS now has the ability to interface with Local Portfolio Management Systems (LPMSs), with three flows of information (detailed below). A Business Change project is underway in collaboration with the LCRNs and the four main LPMS providers to activate these interfaces, and we will be providing more updates on this work in the coming weeks and months. In order of expected activation the three flows of information are :
Transfer of study record information from CPMS to LPMS (this will replace the current, manual transmission of information)
Transfer of Study-Site level Capacity and Capability information from LPMS to CPMS - allowing information entered at a site to flow to CPMS with no requirement for manual data entry in 2 systems.
Transfer of Research Activity data for a Study-Site from LPMS to CPMS, again allowing the data entered at a site to be reflected in CPMS (following validation checks) without the current manual aggregation and uploading of information by a single study contact.

When you click this link, you receive several prompts to ensure you have performed all the required checks and have a backup of the data before completing the delete request.
CPMS 1658 - Manual addition of information to a Site ID response. When providing a Site Identification response (Adding a site), you can provide some additional items of information that are then displayed in the Site ID table, and are copied into the study record with the site information - items include the LCRN contact details, PI name, and proposed upper and lower network targets.
CPMS 2120 - You can now view the site code in the site search results, as well as the Site name, Trust name and LCRN. This should support selection of the correct site where advanced users know the ODS codes for their sites. You can only search for a site name - BI provides reference lists of site codes/names and site-Trust.

This is available in the Participating Organisations tab. The PI name is displayed by default, while other columns in this table are hidden by default (Final site, Site route, Network Supported) in both Edit and View only mode. Use the Table control button at the top right hand corner of the table to hide/display the columns you want to see (a box with the number 10 and an icon with 3 horizontal lines - click the 3 horizontal lines to be able to choose which columns are displayed in the table).
When adding a new site, you need to save the study record between adding the site and adding the PI name.

CPMS 2031 - ‘Special characters’ displaying incorrectly - fix to show these as the correct characters. (e.g. of incorrect display : ST GEORGEu0027S HEALTHCARE NHS FOUNDATION TRUST). This should be corrected in R1.2 but the underlying cause of this has been hard to pin down, so this release may correct some but not all instances of these.
CPMS 2111 - Fixed the incorrect behaviour where a site search would only return a single record for a site name, even if there were multiple sites with the same site name, but distinct site codes with different mapping/Trust relationships. When searching for a site with multiple relationships to different Trusts, you should now receive multiple results with the same site name, but different site codes and trust relationships.
CPMS 2127 - Reduced the email validation stringency so this should now allow creation of users with email formats like : someone.somewhere@something.university.ac.uk. Note this does not apply to validation in the study record or submission (e.g. study email address) - these will be managed less urgently.
CPMS 2115 - Linked sites appear in unlinked site list and vice versa. Mostly for testing by BI team. Appeared as Trusts appearing blank in ‘Add a site’ search and Trust names appearing in the ‘Link site’ search.
CPMS 2117 - Issue where some study records would not save has been resolved.
Defects / fixes not obvious to front-end users:
CPMS 2152 (defect) - LPMS API - a field defined in the API as being required is not required, and was not present in the study record - removal of this field from requirements, rather than in system.
CPMS 2153 (defect) - LPMS API - Correction of a number of fields in the LPMS API (Get study details) that were not being populated in the transmission of information to an LPMS correctly
CPMS 2119 - Service desk now have the ability to delete submission documents on request as a workaround for the defect where the front-end functionality to delete a document failed.
To fix a defect that restricted access for a section of the Clinical Research Network
We have made some enhancements and fixed some key defects to CPMS and are pleased to announce these are now available to all users.
For Commercial Submissions, network staff can now search, sort and filter the table that lists all submissions and, within each Submission, there is now a link to the ‘parent’ Study Record to make it easier to work across the two. We’ve also revised the text on the company view of Submissions to make it clearer that the functionality is for Commercial users.
For Research Activity, we now allow users to download a full list of validation errors if they are having difficulties uploading their Excel files. This option is made available if a user is presented with a screen saying their uploaded Research Activity file could not be validated.
For various tables within the Study Record, we’ve fixed an issue with saving data and restored pagination which improves the user experience. We’ve fixed a number of other defects in various areas of the system that will improve stability, corrected user access issues and corrected some issues with functionality.
Behind the scenes, we’ve added Google Analytics to help us anonymously understand how CPMS is being used and on what devices and have updated the Privacy Policy to reflect this. We’ve also corrected some issues with reference data within the application.
