Volunteer Service Agreement

This Volunteer Service Agreement ("Agreement") outlines the mutual understanding among the New Hampshire Division of Travel and Tourism ("NHDTTD"), Granite State Ambassadors ("GSA"), which provides contracted management of the New Hampshire Information Booth at The Big E, and each individual who serves as a booth volunteer. Its purpose is to define expectations, responsibilities, and standards of conduct so visitors receive accurate information and a warm, professional New Hampshire welcome.

By signing this Agreement, I acknowledge that I am voluntarily offering my services at the New Hampshire Information Booth at The Big E and agree to the following terms:

1. Nature of the Volunteer Relationship

I understand that I serve as a volunteer and not as an employee of NHDTTD, GSA, The Big E, or the Eastern States Exposition. I will not receive compensation, wages, or employee benefits in exchange for my service. My volunteer service is at will and may be ended at any time by me or by GSA, as the contracted booth manager, with or without notice and for any lawful reason. GSA maintains volunteer insurance, subject to the terms described in Section 6.

2. Booth Role and Expectations

I understand that the New Hampshire Information Booth represents the State of New Hampshire and promotes travel, attractions, events, regions, and tourism businesses throughout the state. I agree to:

• Welcome visitors warmly and provide helpful, accurate, and impartial travel information.
• Become familiar with the booth, available materials, New Hampshire regions, and referral resources.
• Follow the direction of GSA booth management and all NHDTTD, GSA, and Big E requirements.
• Represent NH, NHDTTD, and GSA positively and professionally throughout each assignment.

3. Orientation, Scheduling, and Attendance

I agree to review the required orientation and current booth information at visitnh-bige.com before my first shift and to follow updates provided there or directly by GSA booth management. I will use the designated scheduling system responsibly, arrive on time and ready to serve, remain for my full shift, complete required check-in and check-out procedures, and provide prompt notice if I cannot fulfill a commitment. I understand that reliable attendance is essential to maintaining safe and effective booth coverage.

4. Conduct, Appearance, and Visitor Service

I agree to follow the Volunteer Code of Conduct and Professionalism Guide, the current Big E orientation, and all booth-specific instructions. I will maintain a neat appearance, remain attentive and approachable, and treat visitors, tourism partners, event personnel, staff, and fellow volunteers with courtesy and respect. I will not use my volunteer role or booth access for personal promotion, political activity, solicitation, or unauthorized distribution of materials.

I understand that failure to meet these standards, follow management direction, or support a positive visitor experience may result in reassignment, removal from a shift, loss of booth privileges, or dismissal from volunteer service.

5. Confidentiality, Communications, and Media

I may have access to non-public information regarding visitors, volunteers, staff, tourism partners, schedules, credentials, or booth operations. I agree to:

• Respect the privacy and confidentiality of individuals and organizations.
• Refrain from sharing sensitive, internal, or security-related information without authorization.
• Refer complaints, incidents, unusual requests, and questions I cannot confidently answer to GSA booth management.
• Direct media inquiries and requests for official comment to authorized NHDTTD or GSA representatives and not speak on their behalf unless specifically authorized.

6. Safety, Insurance, and Assumption of Risk

NHDTTD and GSA will make reasonable efforts to prepare volunteers for their assignments and provide a safe and organized working environment. However, neither NHDTTD nor GSA can identify, prevent, or eliminate every potential hazard or guarantee the safety of any volunteer. I understand that my participation is entirely voluntary and at my own risk. I agree to follow all safety, emergency, security, access, and crowd-management instructions issued by GSA booth management, NHDTTD, The Big E, or the Eastern States Exposition. I will use reasonable care for my own safety and the safety of others and will promptly report hazards, incidents, injuries, illnesses, damaged or missing property, and potential claims to GSA booth management.

Except as otherwise required by law, I accept responsibility for the risks and personal expenses associated with my voluntary participation and understand that NHDTTD and GSA are not responsible for injuries, illnesses, losses, damages, or expenses arising from risks inherent in or incidental to my volunteer service.

7. Travel, Admission, Credentials, and Personal Arrangements

Unless expressly stated otherwise in writing, I am responsible for my own transportation, lodging, meals, parking, and other personal expenses. Any carpools, shared lodging, or travel arrangements made with other volunteers are voluntary, personal arrangements made independently by those individuals. I will use admission passes, parking passes, badges, and other credentials only as authorized; will not transfer or duplicate them; and will promptly return anything unused or report them missing as directed by booth management.

8. Photo, Video, and Media Release

I grant NHDTTD and GSA permission to photograph, record, or otherwise capture my likeness, image, voice, or name while I participate in approved Big E volunteer activities. I understand that these materials may be used without compensation for tourism promotion, education, reporting, or volunteer recruitment.
