Adding a Passcode to an existing meeting

Due to the Zoom security settings update, newly scheduled meetings will be required to use either a Passcode or the Waiting Room security feature starting on September 27, 2020.

To avoid access issues for previously planned meetings, any meeting scheduled prior to this Zoom setting change on 9/27/2020 will be retroactively set to use the waiting room feature.   If you prefer use a Passcode rather than a Waiting Room for existing or recurring meetings,  you are able to adjust the meeting settings to require a Passcode.

Option 1: Adding a Passcode to an existing meeting scheduled in Moodle

Important Note: If students continue to join a Zoom meeting through an integrated Moodle link, they will be brought directly to the meeting and will NOT be required to enter the passcode.  The course-embedded Zoom link automatically applies the passcode setting when students click Join. This is the not the case for a  simple meeting URL resource. 

Step 1:  Click on the Zoom meeting tool in your course.

Step 2:  Click on the meeting title.

Step 3 : Scroll to the bottom of the meeting details and click Edit this meeting

Step 4  : Uncheck the Waiting room option to disable this feature for the meeting, if desired.  

Step 5: Click the Passcode check box and enter your passcode in the field. 

Step 6: Click Save to apply the changes.

Note: If this is a recurring event, this change will apply to all future recurring meetings in this series. 

The meeting details will be updated to show that the Passcode has been enabled. If someone needs to join the meeting from outside of Moodle, sharing the Join URL that includes the password will grant automatic entry. 

Option 2: Adding a Passcode to an Existing Meeting That was Scheduling using the Zoom app or Website

Once existing or recurring meeting has been updated to require a passcode, participants, the host will need to communicate information to participants to ensure the can join the meeting. Options include sharing the passcode or simply sharing the new join URL that will include an embedded passcode that will be shown below. 

Important note about using Google Calendar: If you are updating a previously scheduled or recurring meeting with a passcode , you will need to manually update the invite in Google Calendar.  Zoom meeting included in a Google Calendar invite will not automatically update with passcode information. The meeting host will need to resend the invite or  update the existing invite to includes the passcode or the share the updated URL that includes an embedded passcode ( Step 11 below).

Step 1:  Go to https://Zoom.us.

Step 2: Click Sign in and login with your Zoom email and password. 

Step 3: Click the Meetings tab. 

Step 4: Hover your mouse over the meeting and click Edit.

Step 5: If this is a recurring meeting, a notification will appear, click Edit All Occurrences.

Step 6:: Uncheck the Waiting room option to disable this feature for the meeting, if desired.  

Step 7: Click the Passcode check box and enter your passcode in the field. 

Step 8: Click Save to apply the changes.

Note: If this is a recurring event, this change will apply to all future recurring meetings in this series.

Step 11: Select and copy the Invite URL with an embedded passcode or click Copy Invitation for complete details.
