What are your main problems with communication?
Changes in the field requested by clients, while capturing the costs of those changes by executing the appropriate paperwork to evidence the additional costs
What are your current forms of communication?
Email & text messages
How would you like to communicate with the team?
Not sure, I think the emails and text messages are sufficient. It might be that we need a better way to evidence communication to the tradesman and executing the change in work requested by the clients
What are the current ways you and your team document daily work?
We utilize a program called field-wire. It allows us to consolidate documents that are executed for each project, plans, change orders, etc. The program allows the superintendents to access files needed while they are on job sites
Does your team have a to-do list every day? If yes, how is it given/communicated?
Yes, currently I am executing a list in notes on my apple iphone or ipad and sharing it with everyone in the office
Who gives orders/tasks? How are these orders/taks decided?
Generally I will delegate the tasks in the notes sent the night before. For the most part everyone knows what their tasks are. The list sent the night before is mostly to identify any prioritized tasks or tasks that may be new
Do you have organizational goals? Are they daily, quarterly, annually, all? How are they shared with the team?
Typically, all our projects have schedules. These schedules are the goals. We are more profitable when we stay on schedule, by using less time to build the project
What are the current ways in which the head of the company makes sure goals are met?
Weekly meeting updates and daily tasks sent the previous night. The notes sent give us the ability to mark off tasks that are completed, and repeat the tasks that were not completed for the next day’s list.
Do you have a shared calendar?
No.
Do you have weekly/daily meetings? If yes, who is involved and what do they entail?
Yes, we have weekly meetings where we review each project to make sure we track any items that aren’t getting completed
Do you have a shared location (office) that everyone can access to conduct meetings etc.?
Yes.
Does everyone get a chance to share their opinions and concerns? How so?
Yes.
Does Allen Companies have an end-of-day check-up requirement in terms of communicating what has been done that day?
No.
Do you have team activities?
Not frequently.
