PTA Board Elections happen at the end of every school year. Each board member can be in their role for a max of two consecutive years if elected and below are the required positions. In order to raise and utilize PTA funds to support the students and school, we must fulfill the requirements of a FULL PTA BOARD, including having an elected President, Vice President, Treasurer and Secretary. Please consider participating and volunteering to ensure we fill the required positions and help support student growth and enrichment. The more members we have to support these roles, the easier it is for us each to manage a portion of the overall mission of our PTA.
Oversees and coordinates the work of an executive board to run a PTA effectively. Helps the event chairpersons as and where needed
Hosts monthly PTA meetings
Serves as the official contact, communicator and representative of a PTA
Designated as an authorized signer for PTA checks, contracts and authorizations for payment
Works with other PTA leaders to connect families, school and community to support student success
Works as the primary aide to the president
Helps lead a PTA towards specific goals consistent with PTA purposes and policies
Performs president’s duties in their absence
Carries out other duties outlined in unit bylaws and standing rules or as assigned
Must attend monthly board and association meetings
Takes minutes at board and association meetings and records them for future audit
Works with the other members to host programs and helps in fundraisers
Maintains permanent treasurer and budget records to track unit funds and financial transactions. Shares monthly teasurer report in PTA meetings
Pays all PTA bills as authorized by board or association
Ensures taxes and reports required by PTA bylaws, insurance or federal and state governments are completed and submitted by the due dates
Our auditor is responsible for auditing books and financial records of a PTA to determine their accuracy
They shall present written reports on audits to the board and the association for adoption
Works closely with the treasurer and other financial officers in handling PTA funds
Keeps a record of all PTA funds collected, deposited and disbursed
Prepares monthly and annual financial reports
This is our biggest fundraiser and we need a dedicated chairperson for this event to roll it successfully with the help of volunteers and PTA members
There are multiple steps involved and the responsibilities are shared amongst the board memebers
Scholastic Book Fair happens twice a year and the chairperson connects with school administration and Scholastic to schedule the dates that the school will host
The chairperson should also be available during that week of the Book Fair for set up, store management, and clean up
In coordination with the school and with the help of the board members, secure volunteer support and plan the event from setting up the store to closing after the fair
In coordination with the school administration, the chairperson needs to select and share the book giveaway dates and be available on that day to give free books to the kids. Time needed would be roughly 2 hrs from start to finish
The chairperson with the help of the president plans the Math Olympaid for the intermediate students in grades 4-6
Pick the team and start giving online training once or twice a week with the help of other parent volunteers
Set up the monthly test dates and be present when the test is happening in school
The chairperson will be responsible to pack the prizes for the kids with the help of the volunteers and deliver it to the admin for class distribution. It is a monthly program the first half of the year and the second half of the year, it will be in alternate months
Plan the week to celebrate daily themes and treats for all staff
With the help of the board members, brainstorm sponsorship ideas and secure local business donations
Secure volunteers to help and make sure to be physically present on that week to succesfully deliver the program
A school can never have enough programs and with family participation, a lot can be done even with less funding!
