ABOUT
The Office of the College Registrar, under the Office of the Vice President for Academics and Research, is a service-oriented unit that provides accurate, efficient, and responsive support to students from admission to graduation and even as alumni. It oversees enrollment, student records, graduation processing, and alumni verification, while ensuring compliance with government requirements. Guided by professionalism and integrity, the office strives to provide consistent, courteous, and genuine support to the entire academic community.
ORGANIZATIONAL STRUCTURE
Managing Student Registration and Enrollment
Handling enrollment procedures for new and continuing students, including course selection, sectioning, load evaluation, and registration support in coordination with academic units.
Ensuring Regulatory Compliance and Implementing Academic Policies
Upholding institutional academic policies and ensuring compliance with government regulations, including the preparation and submission of required documents to agencies like CHED, TESDA, DepEd, PEAC, and BI.
Coordinating Class Scheduling and Academic Calendar
Preparing class schedules in collaboration with program heads and deans, ensuring efficient room and faculty assignments, and aligning schedules with the institutional academic calendar.
Serving as Liaison to Government and Accrediting Agencies
Coordinating with regulatory and accrediting bodies for audits, data submissions, reports, and compliance visits, and representing the institution in academic registry-related matters.
Managing and Archiving Student Academic Records
Maintaining accurate and confidential academic records, including grades, enrollment history, residency, and academic standing, and ensuring long-term storage and retrieval of student data.
Managing Curriculum and Updating Academic Program Listings
Supporting the implementation of approved curriculum revisions and ensuring updated and accurate encoding of academic programs, courses, and requirements in institutional systems and publications.
Processing Document Requests and Verifying Academic Record
Facilitating student and alumni requests for official documents such as transcripts, certifications, and diplomas, while also responding to verification requests from authorized third parties.
Generating Student Data Reports and Supporting Institutional Research
Preparing enrollment, academic performance, and graduation reports to support decision-making, accreditation, and compliance with external reporting requirements.
Conducting Degree Audits and Managing Graduation Services
Reviewing academic records to ensure completion of program requirements, processing graduation applications, and supporting the release of diplomas and coordination of graduation ceremonies.
Supporting Academic Advising and Retention Initiatives
Providing enrollment and academic data to assist academic units in advising students, identifying academic risks, and implementing interventions that support student retention and success.
