Welcome to MCBC's 'Shared Resources'—your temporary file exchange. This special folder is designed to help our church family seamlessly connect with the broader community by offering a convenient way to share files briefly with our valued external guests (such as guest speakers or event attendees) without them needing to create an account within our internal system.
As stewards of our church's digital resources, we encourage everyone to use this space mindfully for its intended short-term, external sharing purpose only.
For ongoing ministry work and collaborative projects among church members, please continue to use your designated ministry-specific folders within our internal system.
This folder simplifies sharing with outsiders who do not have an MCBC login.
This folder makes it easy to give temporary access to those outside our church network. Here's how:
Get the Link:
Navigate to the specific file or folder you wish to share within the "Shared Resources" folder.
Right-click (or use the three-dot menu ⁝) on the file/folder.
Select "Share" (or "Get link").
Adjust Permissions (If Needed):
Ensure the sharing setting is set to "Anyone with the link can view."
Important Security Note: If you temporarily need an external party to upload files or make edits, change the permission to "Editor". Remember to revert this setting back to "Viewer" as soon as their task is complete for security.
Copy the Link:
Click the "Copy link" button.
Send the Link:
Paste this link into any communication method – WhatsApp, email, text message, or even a QR code generator – to send it directly to your external guest. They will be able to access the file/folder without logging into an MCBC account.
It's simple to get your files into this space and keep it organized:
To Add Files/Folders:
Drag & Drop: The easiest way is to simply drag files or entire folders from your computer directly into the "Shared Resources" folder (or any subfolder within it) in your web browser.
"New" Button: Alternatively, click the + New button at the top left of the Google Drive interface, then select "File upload" or "Folder upload."
To Delete Files/Folders:
Move to Trash: Right-click on the file or folder you wish to remove, and select "Move to trash" (or the trash can icon). This helps keep the folder tidy and manageable.
To ensure the security, efficiency, and effectiveness of this shared tool, please adhere to these guidelines:
Mindful Use: We trust in your responsible use of this feature for its intended purpose of temporary external sharing.
Usage Review: Usage is thoughtfully reviewed. In rare instances where usage might diverge from our guidelines, we will reach out to offer guidance and ensure the resource remains beneficial for all.
90-Day Retention Policy: To keep this shared space effective for everyone, please ensure files are not held in this folder for longer than 90 days (as measured by their last modification date). Files beyond this period will be automatically placed in the trash.
