The Nominating committee Rosevelyn Medvigy, Jill Nelson, Terry Marcinczyk and Caron Watson, met on March 11th to discuss a plan of action. We created the slate that was presented to the board. Any member who would like to run from the floor, is welcome to do so after we present the slate to our general membership.

OFFICER POSITIONS ARE A 2 YEAR TERM AND OPERATE ON AN ALTERNATING YEAR SCHEDULE. Please see the Nomination Interest Form for offices currently up for election.
President
The President prepares for and presides over all meetings, serves as an ex-officio member of all committees except the nominating and audit committees, approves all expenditures prior to disbursement, represents the association and is a liaison between the school, township and PTA. The President helps to lead the association in its objectives, creates Agendas, file for all appropriate paperwork for the district, county, state and national organizations. He/She should be objective, organized, personable and diplomatic, have a good understanding of general PTA operations and must have served on the PTA Board for a minimum of 2 years.
Treasurer
The Treasurer keeps a full and accurate account of receipts and disbursements; makes disbursements as authorized by the President and/or Executive Committee, in accordance with the budget adopted by the Board of Directors and voted upon by the General Membership. The Treasurer constructs an annual report of the financial condition of the Manchester PTA, chairs the Budget Committee. The Treasurer presents a treasurer’s report at each meeting of the Board and General Members. The Treasurer is the custodian of the PTA checkbook, has checks and vouchers signed by two (2) persons (the Treasurer and one other designated Officer), ensures that the requirements pertaining to the office of treasurer have been fulfilled, which may include but are not limited to the filing of the appropriate Federal Tax Return (IRS Form 990N, 990EZ or 990). He/She must be organized, personable and diplomatic, have a good understanding of finance and financial operations and either be recommended by a past or present PTA Board Member or be a CPA.
Vice Presidents
The Vice Presidents assists the President in carrying out the duties and objectives of the PTA, assumes the duties of the President in his/her absence. The Vice President is a liaison between the school, parents and the PTA, represents their school in presenting their specific needs to the PTA, seeks programing and fundraising ideas for their school population. He/She flyers schools with approved notifications, oversees programs, represents the PTA at public functions, takes pictures of PTA events and attends monthly PTA meetings and events.
Vice President of Bylaws
The Vice President of Bylaws assists the President and Board of Directors in carrying out the duties and objectives of the PTA by learning and providing information on the rules and regulations set forth by the local, state and national PTA’s. The Bylaws Chairperson helps to provide and maintain the framework for the operation of the local PTA through the proper execution of its Bylaws and Standing Rules. He/She is required to be at every meeting of this organization and attend various training provided by this local, the state and/or national PTA. He/She must be organized, detail oriented, personable and patient, diplomatic, and should enjoy attending training, learning, following rules, and communicating with a variety of people. The Bylaws Chairperson also sits on the Executive Committee of this PTA.
Secretary
The Secretary is responsible for taking the notes/minutes at every meeting both Board Meetings, General Membership Meetings and Special Meetings. The Secretary types up, prints out and logs approved Minutes and Agendas, schedules meetings on behalf of the PTA, sends out approved correspondence in the form of email, postal mail, telephone calls, and faxes, reports all incoming correspondence to the Board and General Members. He/She verifies the financial statements and treasurer reports for accuracy. The Secretary (Secretaries) must be organized, friendly and willing to attend various meetings with the President.
CHAIRPERSON POSITIONS ARE A 1 YEAR TERM. Therefore, ALL CHAIRPERSON positions are open for nomination each year. CHAIRPERSONS are voting members of the Board of Directors and thereby required to attend Board of Director Meetings.
Book Fair Chairperson
The Book Fair Chairperson oversees the operation of the Book Fairs and literacy programs in each of the participating schools. She/He is responsible for the training of the Book Fair Leaders to help ensure that they can effectively do their job. She/He is the liaison between the book fair company and the book fair team leaders and VPs. The Book Fair Chairperson is responsible for ensuring the Team Leaders complete the tasks of booking, setting up, running, reordering, packing up and financial reports of the Book Fair by coordinating with each Book Fair Leader, reminding them of deadlines and procedures. The Book Fair Chairperson should check in with the Team Leaders frequently and encourage the Book Fair Leaders to become familiar with the reading interest of the students in the school and seek materials that represent those interests at the Book Fair. He/She helps Team Leaders to ensure flyers are created, approved and distributed, volunteers are contacted and scheduled appropriately and finances are handled correctly for the event. She/He will coordinate with the Vice President of each school that does not have a Team Leader to devise a plan of success for that school and/or make recommendations of cancellation. The Book Fair Chairperson develops a good rapport with the Team Leaders, Vice Presidents, and Media Center Specialists. She/He must attend meetings to report to the PTA Board and General Members literacy plans, book fair readiness prior to the and follow up after the Book Fair event, and all other literacy events, programs and/or projects. He/She must be organized, personable and patient, have a good sense of money, be reliable and have some computer skills.
Gift Auction Chairperson(s)
The Gift Auction Chairperson is responsible for researching and booking an appropriate venue for the annual Manchester PTA Gift Auction, planning the gift and donor campaign, recruiting and organizing volunteers, keeping record of obtained gifts and donors, creating and supplying guests with tickets, creating and printing programs, creating Gift Auction themes, suggesting Gift Auction fundraising incentives, fundraising, coordinating publicity, overseeing the presentation of gifts and decorations, and working with the various schools and community to ensure a successful event. The Gift Auction Chairperson is asked to attend the PTA Board and General Members meetings to report on the current status of the Gift Auction and Gift Auction efforts. The Gift Auction Chairperson(s) represents the PTA and its interest at all public functions and takes opportunities to promote PTA involvement. The Gift Auction Chairperson(s) should strongly believe in the mission and goal of the PTA, be highly organized, personable, passionate, energetic, artistic, creative, ingenious and have meticulous record keeping skills.
Holiday Shop Chairperson
The Holiday Shop Chairperson oversees the operation of the Holiday Shops in each of the participating schools. She/He is responsible for the training of the Holiday Shop Leaders to help ensure that they can effectively do their job. She/He is the liaison between the Holiday Shop company and the Holiday Shop team leaders and VPs. The Holiday Shop Chairperson is responsible for ensuring the Team Leaders complete the tasks of booking, setting up, running, reordering, packing up and financial reports of the Holiday Shop by coordinating with each Holiday Shop Team Leader, reminding them of deadlines and procedures. She/He will coordinate with the Vice President of each school that does not have a Team Leader to devise a plan of success for that school and/or make recommendations of cancellation. She/He must attend meetings to report to the PTA Board and General Members financial literacy plans, Holiday Shop readiness prior to the and follow up after the Holiday Shop event, and all other financial literacy events, programs and/or projects they would like to implement. He/She must be organized, personable and patient, have a good sense of money, be reliable and have some computer skills.
Membership Chairperson
The Membership Chairperson is responsible for encouraging the membership in the Manchester PTA, planning membership campaigns, recruiting and enrolling new members, keeping record of current membership, providing each member with a PTA membership card, suggesting membership incentives, applying for county, state and national Membership Awards, providing each Vice President and corresponding Chairperson with a list of Member volunteers for their school and their specific event. The Membership Chairperson is asked to attend the PTA Board and General Members to report on the current status of membership and membership efforts. The Membership Chairperson represents the PTA and its interest at all public functions and takes opportunities to promote PTA Membership. The Membership Chairperson should strongly believe in the mission and goal of the PTA and strongly believe in membership. He/She must be organized, personable, passionate, energetic, and have some computer skills.
Programming & Events Chairperson
The Programming & Events Chairperson should be organized, personable and patient, and should enjoy doing internet research, communicating with a variety of people via email, letters and phone calls and is responsible for:
Programming - researching and booking appropriate programs to bring to each of the school levels, coordinating with each school and vendor to acquire feasible dates and interest in the possible program. He/She facilitates the booking of the program, providing the PTA President with all contracts for signing. He/She sends out reminders to each Principal, Director or person in charge, VP’s, PTA President, Publicity and Treasurer of events coming to the facility.
Events - facilitating the execution and smooth running of the PTA agreed upon events to bring to the school and/or community. He/She will work closely with the President, Vice Presidents and Board Members to coordinate each event such as Cocoa Day, Candy Bar Bingo, Pie in the Face & Prom Basket Giveaway at the High School, Ice Cream Social, etc.
Publicity Chairperson
The Publicity Chairperson is responsible for creating PTA media in various forms. He/She should be organized, personable, have a way with words and have a good working knowledge of graphic design, and various social platforms. He/She is responsible for maintaining the internet & Social Media presence of the Manchester PTA. He/She creates and/or maintains (self or through subcommittee) the Manchester PTA website, Facebook, Twitter & Instagram accounts. Is responsible for creating flyers when needed and submitting to the appropriate Committee Chairperson and the PTA President for approval. Responsible for posting approved flyers and information that is in line with the mission and goals of the PTA, and monitors the social media sites for appropriate content.
Scholarship Chairperson (High School & Middle School & Mini Grants)
The Scholarship chairperson is responsible for the overseeing and implementation of the High School and Middle School Scholarship/Certificate and Mini Grant programs. The Scholarship Chairperson must be organized, personable, passionate, and energetic, possess public and telephone speaking skills, have good email etiquette skills and have some computer skills.
High School Scholarships - She/He creates or modifies the high school applications and cover letters (describing each scholarship Excellence By Example and Believe and Achieve) for the two different types of PTA High School scholarships. They must provide these scholarship applications to the Guidance Department at the High School. After the high school scholarship applications deadline date, the chairperson assembles a committee to select the recipients of each high school award. The Chairperson prepares packets of essays for each Committee Member to read and vote upon. He/She also schedules applicant interviews where students go before the Committee. In late April/early May winners are chosen and the Guidance Department is notified of who the winners are. He/She attends Senior Scholarship Night (late May) to present the awards. The chairperson will also communicate with the PTA along the way, providing updates about the progress through these steps.
Middle School Certificates of Excellence - She/He creates or modifies the form email to the middle school guidance counselor requesting the name of the selected candidate (based on PTA criteria) for each certificate awarded by the PTA (Music/Band, Chorus, Foreign Language and Art). The Scholarship Chairperson or PTA President will present the awards at the Middle School Graduation. The chairperson will also communicate with the PTA along the way, providing updates about the progress through these steps.
Mini Grant - She/He creates or modifies the mini grant application and cover letter. They must provide the approved mini gran applications to the Principals, Secretaries and PTA Vice Presidents at the appointed time. After the mini grant applications deadline date, the chairperson assembles a committee to select the recipients. The Chairperson prepares packets of applications for each Committee Member to read and vote upon. In late December/early January winners are chosen and the PTA Board, applicants, principals and Board of Education are notified according to the established PTA procedures. He/She attends the Board of Education meeting (set up through the BOE office) to present the awards. The chairperson will also communicate with the PTA along the way, providing updates about the progress through these steps.
Sunshine Chairperson
The Sunshine Chairperson brings happiness to each of the school levels. The Sunshine Chairperson provides cards of congratulations or condolences to teachers/administration/staff in our district, creates signs and invitations for sunshine functions. He/She coordinates and shops for the Teacher Appreciation Baskets, Teacher of the Year Gifts, Sweet Treat Day and the Volunteer Dinner. The Sunshine Chairperson develops a good rapport with school staff and periodically contacts school secretaries for sunshine developments. The Sunshine Chairperson maintains contact with the PTA Vice Presidents to stay informed on sunshine developments and reports his/her sunshine activity at Board and General Membership meetings. He/She must be organized, personable and friendly, and should enjoy doing kind things for others.
System Administrator
The System Administrator maintains the server and electronic archives. The System Administrator creates, updates and manages email and email addresses for officers and chairpersons, researches and creates forms, folders and archives to innovate, maintain and streamline the official workings of the PTA. Archives outdated information, reports, forms, programs, pictures and other forms of media for the purpose of creating and maintaining PTA history. He/She must have a very good working knowledge of various computer platforms, be very organized, and should enjoy doing internet research, maintaining servers, emailing and making phone calls.
TEAM LEADER POSITIONS IN EVERY SCHOOL ARE A 1 YEAR TERM. Therefore, ALL TEAM LEADER positions in every school are open for nomination.
Legislative Team Leader
The Legislative Team Leader attends meetings that pertain to the education of our district's children and parents. These include but are not limited to attending Board of Education Meetings and Towns Council Meetings, State Legislative Conferences and/or Workshops. The Legislative Team Leader would then comprise a brief report on pertinent information obtained and share this information at both Board and General Membership Meetings. He/She should enjoy the government workings, attending meetings and being the eyes and ears of the community.
Book Fair Team Leaders (one at each participating location)
The Book Fair Team Leader is responsible for the booking, setting up, running, reordering, packing up and financial reports of the Book Fair at a particular school/location. The Book Fair Team Leader should become familiar with the reading interest of the students in their school and seek materials that represent those interests at the Book Fair. He/She is responsible for creating and distributing approved flyers, contacting and scheduling volunteers and handling of the finances for the event. The Book Fair Team Leader develops a good rapport with the Media Center and supplies him/her with books of student interest. The Book Fair Team Leader reports to the Book Fair Chairperson and may be called upon to report to the PTA Board and General Members readiness prior to the and follow up after the Book Fair event. He/She also obtains and distributes interesting and appropriate books for the children (Book Giveaway). He/She must be organized, personable and patient, have a good sense of money, be reliable and have some computer skills.
Holiday Shop Team Leaders (one at each participating location)
The Holiday Shop Team Leader is responsible for the booking, setting up, running, reordering, packing up and financial reports of the Holiday Shop at a particular school/location. The Holiday Shop Team Leader should seek items/gifts that represent the interests of the students and families at their school and appropriate for their age groups. He/She is responsible for creating and distributing approved flyers, contacting and scheduling volunteers and handling of the finances for the event. The Holiday Shop Team Leader develops a good rapport with the Holiday Shop Chairperson and seeks assistance when needed. The Holiday Shop Team Leader reports to the Holiday Shop Chairperson and may be called upon to report to the PTA Board and General Members readiness prior to the and follow up after the Holiday Shop event. He/She must be organized, personable and patient, have a good sense of money, be reliable and have some computer skills.
Visiting Author Team Leader
The Visiting Author Team Leader is responsible for researching and booking an appropriate Author to bring to each of the school levels, coordinating with each Media Specialist to acquire feasible dates and interest in the possible Author. The Visiting Author Team Leader is the liaison between the Media Specialist, the schools and the PTA. The Visiting Author Team Leader develops a good rapport with the Media Center Specialists, Principals, and staff and develops a good working knowledge of student interest to help guide them in author selection. He/She should be organized, personable and patient, and should enjoy doing internet research, emailing and making phone calls. The PTA Visiting Author Team Leader is in regular contact with key people to gather information on Authors of interest that are being pursued by the Team Leader to present to the PTA Board of Directors for approval. The Team Leader will be in contact with the author and school on a regular basis to ensure that all deadlines and criteria are met. She/He will remind schools of arrival dates, author needs, supply the school with information packets when needed, arrange for hospitality, fill out all needed paperwork for use of space and seek follow-up feedback. She/He will present all contracts to the PTA President for signing and remind the PTA Treasurer of all payment dates.
