Leadership Roles and Responsibilities


Core Leadership Positions

President

The president is responsible for leading the executive team and RU SHRM in congruence with the Chapter’s mission. The President leads by example and provides coaching, guidance and support to the executive team and ensures each understands their respective roles and responsibilities.

Tasks, Duties, and Responsibilities

  • Preside at all Executive Council and Chapter Membership meetings
  • Act as chairperson of the Executive Council
  • Appoint committee chairpersons and preside as an ex officio member of all committees
  • Administer the business of the chapter between meetings
  • Attend Student Organization Leaders Meetings or assure a representative is present
  • Lead the creation and implementation of an annual Operating Plan
  • Create/implement/maintain a succession plan to identify potential student chapter leaders
  • Uploads/submits all required forms to SHRM headquarters
  • Liaison with the professional and national chapter

President-Elect

The President-Elect works closely with the President to accomplish tasks, duties and responsibilities. The President-Elect fulfills the role of President during absences or resignation and oversees the activities of Chapter Directors and Chairpersons of Committees.

Tasks, Duties, and Responsibilities

  • Perform all duties of the president in his/her absence, inability or request
  • Work directly with President to ensure organizational mission is accomplished
  • Work with each Director to develop and implement departmental goals and ensure completion of tasks and projects
  • Responsible for coordinating the semester calendar of events for the chapter
  • Attend and participate in all scheduled Chapter Membership and Executive Council meetings
  • Participate in the development and implementation of short and long term strategy planning for the chapter
  • Assist with projects as requested

Vice President, Programs

The Vice President, Programs provides oversight for all RU SHRM events and programs. The Vice President, Programs works closely with and provides coaching, guidance and support to the Director of Professional Development, Director of Corporate Relations, and the Director of Fundraising and Events.

Tasks, Duties, and Responsibilities

  • Oversee all programs conducted at regular meetings of the members, social functions and any workshops and/or seminars sponsored by the Chapter
  • Appoint committee chair(s) and subcommittees to plan and implement activities associated with the program year
  • Oversees case competition team planning and preparing
  • Plan a joint chapter activity with a local SHRM student chapter
  • Attend all scheduled Chapter Membership and Executive Council meetings
  • Participate in the development and implementation of short and long term planning for the chapter

Vice President, Membership

The Vice President, Membership uses recruitment strategies to enthusiastically attract prospective members to RU SHRM to increase membership and achieve membership goals. The Vice President, Membership works closely with and provides coaching, guidance and support to the Director of Student Relations.

Tasks, Duties, and Responsibilities

  • Manage the membership function to successfully achieve an increase in chapter membership
  • Provide an annual update to existing/prospective members about SHRM student member benefits
  • Create a membership acquisition and retention plan
  • Maintain an up-to-date roster of names and addresses of all chapter members
  • Audit the membership roster annually to ensure chapter records match SHRM records and report missing members, students not in the chapter, and students who graduated
  • Plan and execute membership drives and prospective membership events
  • Attend all scheduled Chapter Membership and Executive Council meetings
  • Participate in the development and implementation of short-term and long-term strategy planning for the chapter
  • Assist with other projects as requested

Treasurer

The Treasurer manages the chapter’s funds. The Treasurer effectively engages the executive team and Student Advisor and other expert resources in developing budget proposals that support recommended program initiatives including advising on the chapter’s financial viability.

Tasks, Duties, and Responsibilities

  • Responsible for gathering, distributing and managing the chapter’s funds and maintaining financial records
  • Establishment of an annual budget
  • Inform all officers of funds budgeted for chapter activities prior to planning for the year
  • Track and report expenses incurred against approved budget plans
  • Ensure timely deposit of revenues and member fees after receipt
  • Prepare and report a monthly statement of revenues and expenses, detailing individual program expenses.
  • Attend all scheduled Chapter Membership and Executive Council meetings
  • Attends training sessions conducted by Regent University’s Business Office and ensures proper completion of business office forms

Secretary

The Secretary oversees all communications between the executive team, members, and guests. The Secretary takes accurate minutes at all meetings and shares them electronically. The Secretary works closely with the Director of Chapter Information Systems, Director of Social Media, and the Director of Communications and Marketing.

Tasks, Duties, and Responsibilities

  • Take accurate minutes of meetings
  • Distribute meeting agenda and previous meeting minutes to executive team
  • Circulate sign-in sand sign-up sheets at meetings
  • Tracks member attendance
  • Make copies available of relevant announcements and any other materials for distribution at chapter meetings
  • Completes and submits the Student Chapter Information Form for submission to SHRM Headquarters
  • Attend all scheduled Chapter Membership and Executive Council meetings
  • Other duties as assigned

Support Officer Positions

Director of Social Media

The Director of Social Media oversees all social media platforms. The Director of Social Media develops and implements social media strategies to promote member engagement.

Tasks, Duties, and Responsibilities

  • Lead the strategy, planning, implementation and optimization for RU SHRM’s social media platforms
  • Find create and new ways to use social media to engage chapter members and promote the Human Resources profession
  • Updates chapter Facebook, LinkedIn, and Twitter pages and ensure information is current and accurate
  • Embody a welcoming, friendly tone and voice in every post
  • Generates, edits, and publishes content on a regular basis
  • Promotes member engagement on all social media platforms
  • Responsible for promoting student participation on SHRM’s Student Programs social media platforms
  • Ensure the proper use of the SHRM “Affiliate of” logo
  • Attend all scheduled Chapter Membership and Executive Council meetings

Director of Communications and Marketing

The Director of Communications and Marketing oversees the publishing of the chapter newsletter, article submissions to SHRMStudent Focus, and all marketing efforts of the chapter.

Tasks, Duties, and Responsibilities

  • Develop and implement a communications and marketing plan
  • Publish a chapter newsletter each semester
  • Promote SHRM activities/events in all newsletters
  • Responsible for submitting articles for publication in SHRMStudent Focus
  • Recruits student chapter volunteers to write articles for SHRMStudent Focus
  • Contact interested student organizations to advertise upcoming chapter events
  • Create marketing materials
  • Promote upcoming meetings and events on campus in print and/or electronic formats
  • Promote chapter activities in the community
  • Ensure the proper use of the SHRM “Affiliate of” logo

Director of SHRM Merit Awards

The Director of SHRM Merit Awards oversees the chapter’s achievement of the Merit Award. The Merit Award is the highest honor recognizing the chapter’s promotion of the Human Resources profession and the professional development of chapter members. The Director of SHRM Merit Awards ensures completion of necessary requirements to receive the award and report the chapter’s status to the executive team.

Tasks, Duties, and Responsibilities

  • Develops and implements strategies to ensure achievement of the Merit Award
  • Advise, track and record how chapter activities fit national SHRM Merit Award guidelines
  • Report chapter point totals a minimum of two times a semester
  • Submit the Student Chapter Merit Award application to SHRM National
  • Responsible for ensuring the chapter’s SHRM engagement to include tracking student member attendance at professional chapter meetings
  • Promotes student conference attendance (Regional and National)
  • Organizes a team for the Case Competition

Director of Chapter Information Systems

The Director of Chapter Information Systems oversees the chapter’s website and provides technical assistance in the use of AV equipment and live streaming. The Director of Chapter Information Systems is in charge of the chapter’s records stored on Google Drive and ensures the appropriate access level for each executive team member.

  • Maintain and regularly update the chapter Web site
  • Promote SHRM activities/events on the chapter website
  • Assign sharing access and user rights in the chapter’s Google Drive
  • Responsible for setting up the live streaming of all meetings
  • Provide technical assistance as needed for all meetings and events
  • Ensure the proper use of the SHRM “Affiliate of” logo

Director of Student Relations

The Director of Student Relations fosters the relationship between the chapter and its members. The Director of Student Relations ensures all prospective and active members feel welcomed. The Director of Student Relations works closely with the Vice President, Membership on recruitment efforts and alumni outreach and tracking.

Tasks, Duties, and Responsibilities

  • Welcome new members and help retain existing members
  • Recruit new members from HR classes and assist in all recruitment efforts
  • Promotes joining SHRM National and provides access to student member application
  • Assist and mentor students in ways that enrich their chapter membership experience
  • Maintain graduated student database to which student information is transferred from the membership database to this alumni database and record graduating student job placement information, including hiring company and position

Director of Professional Development

The Director of Professional Development actively identifies and coordinates all professional development activities for the chapter membership. The Director of professional development educates and promotes the benefits and value of the SHRM Assurance of Learning Assessment.

Tasks, Duties, and Responsibilities

  • Responsible for all development opportunities to include internships, mentoring and career development
  • Promotes the benefits and value of the SHRM Assurance of Learning Assessment (SHRM-CP) for graduates of HR (or related) degree programs
  • Informs and updates members of Assurance of Learning benefits, test administration information, and eligibility requirements etc.
  • Organize study groups for the SHRM-CP exam
  • Seek out internship opportunities and job openings to be posted on chapter website and shared with members electronically
  • Works with HR SHRM to organize and coordinate a mentorship program
  • Works with Director of Corporate Relations to coordinate company site visits or job shadow opportunities to chapter members

Director of Corporate Relations

The Director of Corporate Relations develops relationships with local business and human resource professionals. The Director of Corporate Relations identifies and coordinates guest speakers, arranges site visits and/or job shadowing opportunities.

Tasks, Duties, and Responsibilities

  • Contact and coordinate speakers for chapter meetings
  • Identify speakers on various topics of interest to chapter members
  • Send formal invitation to present
  • Send a confirmation letter with the time, date, topic and directions to campus to all invited speakers
  • Act as host for all guest speakers
  • Works with Director of Chapter Information Systems to schedule audiovisuals
  • Send thank you letters after their visit
  • Generate the speaker calendar each semester and maintain a speaker database to keep track of past speakers, topics and chapter members' evaluation of their presentation
  • Works with Director of Professional Development to coordinate company site visits or job shadow opportunities to chapter members
  • Work directly with the Vice President, Programs on all speaking engagements

Director of Fundraising and Events

The Director of Fundraising and Events coordinates and plans strategies for fundraising, chapter events, and community development. The Director of Fundraising and Events will recruit members from RU SHRM to volunteer on fundraising, events, and projects.

  • Creates and implements a fundraising plan for the chapter
  • Plans and organizes social functions, workshops and seminars sponsored or co-sponsored by the chapter and fund raising events
  • Plan and implement chapter projects to benefit the community
  • Responsible for recruiting and coordinating volunteers for chapter/university marketing/recruitment and retention programs
